Hi

I also have a lot of projects that are shifting and changing and regularly 
something 
unscheduled pops up. Maybe a bit obvious, but what helped me most was to set 
aside time 
every week on Friday (as org habit "Plan Next Week") to (re)organise  tasks for 
the next 
week. I use org-timeblock for that. While that costs me something like 30 
minutes to an 
hour, it helped me a lot and I do not consider this lost time. I also plan in 
some gaps if 
possible for unscheduled things. Of course the plan does not always work, but 
then on the 
next Friday I plan anew.

For tasks I use schedule for when I wantt to do them (often more than one) and 
Deadline 
for when they really have to be finished and the classic TODO-DONE-NEXT-HOLD-
CANCELLED-WAIT
