Thinking about your needs, I look a little bit foward:

You Need:
- An secure option for archiving mail
- an option to give access to other people to the mails

My idea is:
Use the capabilities of Wordpress to accept posts by mail.

You gain:
- an totally external backup of your mails, one or more accounts, indexed on
SQL for future uses (also, you could backup all your mail in Wordpress and
move it to another capable SQL solution)
- A fast search system
- An escalable privacity for diferent class of mails given by paswords
- The option to "comment" mails
- The posibility to print to PDF only the mails that will be necessary (less
hard disk space, less archives)
- The option to foward (or answer) mail directly from here
- Your mail shareability is 24/7
- A complete konwledge of what are the most readed mails and more

You Need:
Any computer capable of run Apache, PHP and SQL (any mac with Mac OS X can
do) and a mail server. The solution dont needed to be local. You could rent
a hosting or use one you have.

You could reinforce the privacity using .htaccess and .htpasswd.

And in Entourage is simply a Foward rule.

Wordpress is a really solid option with really no-support needs. And start
this solution cost ... Mmm... No more than two hours of work (you dont need
"design", only a good readable interface).
