I do not have a time laps, but maybe my experience with an online OS using Zoom and a digital wall in Miro might help: We tried to translate the steps from an offline environment to an online one, respecting the working elements as best as possible: Preparation: - Inviting participants and preparing them step by step on how to go to the ‘venue’ and sit comfortably there, by sending several emails with practical information and have a ‘technician’ standing by with a mobile phone number - We encouraged using two screens for the meeting: one for the talking circles and one for the wall - We prepared an online wall with a part for the Agenda, for News, for posters with the principles and the Law on a board in Miro; see https://miro.com/app/board/uXjVPKixqzA=/?share_link_id=132569744312 (I translated the headings, the text of agenda topics and reports is in Dutch) advantage of Miro: it is an infinite wall where you can frame parts, just as in a physical room. Participants do not need an account, they do not have to log in, they just need the link (set the sharing settings on ‘anyone with the link can VIEW) - As you see on the Miro board, the reports of the groups are made using a table format (1 table for every report), where users can type directly on the board; because this takes some experience, we had a ‘reporter’ taking notes for every break-out room - Preparing the main room and breakout rooms in Zoom (or Webex will also work); the titles of the break-out rooms can be added quickly during a short break after the agenda setting and then participants can see which topic is in which room and also the names of who is where; the main room also stays open Meeting, part 1 (half a day): The example on the Miro board is for an OS of two half days; we did 2 rounds on the first day and prioritizing and action planning on the second day. Some 60 people showed up. - Start in plenary in Zoom, welcoming, explaining the way of working, the principles and law of two feet - Explain how agenda setting is done; people raise their digital hand, get the microphone, announce their topic and a co-facilitator types the topic on a digital sheet, asks where it should go on the Agenda and puts it their - We did agenda setting for two rounds, negotiated combining/splitting/moving with the contributor, have as short break and naming the break-out room in accordance to the agenda - Participants used their ‘two feet’ to go to their preferred place - Every group filled in a report directly on the News wall in Miro; the reporter can share the typing by sharing screen, or by asking participants to look at the board on their own second screen (if they have one). - We asked to reserve 5 minutes at the end of each round to select 3 items they think are most important to follow-up and write them on the three post-its that are already provided under every report poster - After the two rounds everyone was invited back to the main room; we looked back on the meeting by asking participants to write their Tips and Tops in the Chat. First ‘My TOP is …..’ and then ‘My TIP is …..’ - We explained how the we will go further: Next week is the second half of the meeting, also half-a-day. The Miro board will stay open, you are invited to read the reports. Next week every participant will get 6 votes for selecting what you think is most important to work out in action plans - Lock all agenda items and reports, so they cannot be replaced accidentally - We also sent a pdf with a copy of the agenda and all reports to the participants; the pdf can be composed easily by making screenshots of the Miro board. Meeting, part 2 (half a day) * We continued using the same Miro board, set the sharing settings of the Miro board on ‘everyone with the link can edit’ * Welcome and looking back on the reports and the post-its with important items * Explain the voting procedure (use the voting option in Miro) * For the top 8 to 10 items we will do action planning in voluntary small groups * Agenda setting for the action planning round, * A part of the Miro board was framed for posters with the reports of action planning; the posters had some extra lines with ‘who is going to do what and when’. * When the agenda was set, we had 8 topics and after a short break (labelling the break-out rooms) participants went to their preferred break-out room * Again, we had a reporter for every break-out room to fill in the reports in Miro * After 1 hour, the planning round ended and everyone came back to the main room; every small group presented their plans in maximum 2 minutes per group. We recorded the presentations * Closing circle. Everyone who wants to share something gets the microphone (until time is up or no one wants to speak anymore) * Ending: please share anything else want to say about this meeting in the Chat by finishing the sentence (type in the Chat): I look back on this meeting …… * We made the proceedings of both sessions and sent a pdf to everyone. Looking back, we have put great effort in preparing the whole thing and getting the co-facilitators acquainted with the techniques and online environment. This paid off during the meeting, everything went rather smoothly, also due to the technician who provided personal assistance to people with technical issues. I have a detailed script in Dutch.
