We forward/receive all mail via a smarthost so that we can get it to "archive" all emails. We zip them up and monthly burn onto DVD. A simple tool like search and replace from www.funduc.com can then be used for the occasional and basic request such as you are experiencing. Very basic and for more functionality, just add dollars :-)
