As I currently joined foss-nepal in google group, I am completely new and I don't know if I'm in the position to say this or not.. but I'll put it down.. Since you're shifting to a new location why not get a extra large room so that it can be used as a meeting room and as a seminar hall too. Also hackathons can be organized there with managed presentation and there won't be need to search for space. The rent for the extra room can be easily paid off by taking a small fee in each event.
