Hi Bruce,
There's isn't a "going rate" or standard rate, it varies widely depending on the artist, exhibition, museum, format (SD or HD?) etc. Usually museums will budget per film, not per minute. A compilation reel of short excerpts might be an exception and budgeted per minute, but we've never done that. I'm assuming you mean a digital version, as film prints are an entirely different issue and pricing, and that you're inquiring re a film that includes the rights.
5 months is a long exhibition and we'd likely charge a bit more; the usual is 3 or 4 months. Some museums will offer a set fee; and some are much better than others in recognizing that film requires license fees/rental fees. Some museums and curators from the fine art world still think film should be loaned for free, like a painting. There's often a bit of re-education necessary in such cases.
You could start by asking the museum/curator what they have budgeted for the fees per film. But usually there's a large range, museums tend to pay more for historical or well known 'names' and often don't pay for new contemporary work (depends on the artist, though). Also who's prepping, is the rate for a final looped dvd (if appropriate), or a file? We only provide files or dvds, we do not allow any museums to telecine any film in our collection, or reformat. So there may be costs in this also. Finally, what does the rate include, onsite exhibition display only, or also use in accompanying evening screenings, online, etc.?
CVM does a lot of licensing of films for museum exhibitions, and consulting for museums on using films in their exhibitions. Hope this helps; you can email off list if you would like to discuss further, my email at CVM is cvmaccess at gmail.com
best regards,
