Just a suggestion. Can't we avoid the "sir" at least in the minutes? I think the minutes is an impersonal document. Though it is written by a person, it is not really as though he/she is speaking. So avoiding the "sir" should not be a problem. Even otherwise, especially in a peer group like this, it is better to avoid "sir"ing. Hope no one has any objection.
