I suggest keeping it simple! As organizers we generally paid out of pocket for these things. Trying to organize collections for soda et al prior to events would have killed 90% of our events.
Mobile Money might make things easier, but I suggest that this should be a long-term goal rather than a prerequisite for this event. If you like, charge for sodas (or take donations/tips) at the event to try to recover the costs :) If the venue, speakers, and date are agreed upon, just announce the event and try really hard to get as many people there as you can!
