Hi, Ed. Olivier has described a nice way to organize client-related tasks by
folder. The most exciting part of his vision is the idea of creating a
workspace for each client, and putting the client’s logo on the tab.
Assigning a graphic icon to a tab is a feature supported in the next release
(4.1.0) of MLO for Windows, which Andrey has just announced. Also, in my
opinion, the advantage of using folders is that they provide an easily
understood graphical presentation of your work for your various clients; you
can start at a high level for an overview of your workload and then dive
into a particular area to see the details.
That said, I would be more inclined to use contexts. Two reasons. First,
sooner or later you will have a task that benefits more than one client.
It’s hard to imagine how you would represent that using folders, but easy to
see how you could assign two or more contexts to one task. Second, contexts
are more amenable to hotkeys and shortcuts. Here are a few hints:
1. I sense that you are really interested in keeping your
keystrokes to a minimum. If so, be sure to assign short context names. Don’t
name your context @TheMetropolitanMuseumOfArt, name it @M.
2. Try this: open the outline view, find a section where
you want to add tasks, and click on a nearby task. Hit <insert> to create a
blank task. Type “Deliver Proposal @M” and hit Alt-Enter. You should see a
new task called “Deliver Proposal” with a context of @M.
3. Do it again, but type “Test Transaction @A; @B; @C” and
hit alt-Enter. This will work better if you create the new contexts @A, @B
and @C before doing the test. Remember to use semicolons as separators.
4. Open the Rapid Text Entry window. If the options
section is hidden hit the “options” button to reveal it. Turn on the first
two check boxes, multiple tasks and input parsing. Type @M in the context
field at the bottom, then in the main data entry section type the following
(note the indents). Then click the button that says Add 6 tasks.
Proposal
Describe work
Create estimate
Include overhead
Prepare documents
Deliver to customer
5. Hit f8 to bring up the context management screen.
Select a context and click the Properties tab. You can enter a hotkey. Of
course, it will work a lot better if you pick a hotkey that’s not already in
use. There may be some issues where this hotkey works in some MLO screens
but not others.
6. Make a gorgeous display like what Olivier was
advocating. Get release 4.1.0 as soon as you can. Create a tab for each
customer. For each tab, create a view that shows tasks for that customer,
organized however you find them most useful. Lock the tab to this view,
import a copy of the customer logo and assign it to the tab, and pin the
tab.
A couple of other neat things about contexts that you probably won’t use,
but maybe . . .
You can assign a location to a context, so when you walk into the client’s
office you get a reminder of the things you want to work on while you are
there.
You can assign a schedule to a context, so if you are supposed to be working
for client M on Mondays, you do not see client A’s work cluttering up your
to do list on Monday.
Disclaimer: my experience is with Windows and Android. I have no clue how
much if any of this stuff works on IOS.

You also:
- create a Inbox tab
- hit F3 on it, that will open it on a separate windows
- then, drag an drop you task to the folders
(you also can assign the logo of each company you work for to each tab)

I think I found a way to move Inbox tasks to folders: Right-Click and
Move-To. It takes 5 mouse clicks (including scrolling) and looking thru
cluterred list of tasks and folders to find the folder I want. Really?
Is there a better way? Maybe not folders? Contexts? Any help would be
appreciated. I WANT to like this tool... I WANT to use it... I just don't
yet know how to.
