Here is a quick copy paste of my routine. We hire/fire a lot of temp workers,
so I get a lot of practice:
(This is a subset, my actual documentation is like 5 pages long).
Table of Contents:
1. Create to do list. Gather info of where to send future calls, emails,
voicemails, etc.
2. Disable all important accounts/passwords (Top Priority)
a. Active Directory/VPN/Email Password
b. Application
c. Application
d. Application
e. Application
f. Application
3. Finish Retiring Accounts
a. Disable and Move the Active Directory Account, Change ‘SELF’
Permissions, remove from GAL
b. Move Mailbox in Exchange to different Information Store
4. Forward Items to Manager
a. New Email / Missed Emails
b. New Office Calls / Old Voicemails
c. New Cell Calls / Old Voicemails / Use GotVoice if they need to be
archived as MP3s
5. Paperwork
a. Hardware Inventory
b. Cancel PCS Services (Vision)
c. Sprint PCS Spreadsheets / Sprint EBA Billing
d. Directory Info
e. Give manager access to employee’s old email
6. User Data
a. Ghost the hard drive (optional)
b. Backup all user data to HR folder
c. Search for any PSTs

Hi All,
It has been a couple of years since we had a mass termination. We are looking
at letting around 7 people go next week. I am looking at my check list and
wanted to run it by the list - anything I am missing or shouldn’t have on it?

Generally management gets the group together in a conference room and then the
rest of the staff go to an impromptu staff meeting.
On our checklist we have:
1. disable user’s AD acct
2. reset user’s password
3. disable network port.
a. We now have Cisco IP phones that sit in-line between the computer and
the network jack. If I disable the port, they would not be able to use their
phone. What do you do? Log them off their computers instead?
4. Remove VPN access
5. Transfer phone to Front Desk Recption
6. Shut down email access
We then give them a CD with their personal contacts from outlook, and personal
files out of My Documents.
