except for the need to back up open (locked) files, I'd schedule a Robocopy or Xcopy incremental, starting with a full on Friday (so that any lengthy copy is not interrupted by user needs the next morning. (guessing 400gb might take a while to copy/backup) , and then incremental from that full on Monday thru Thursday for quick comprehensive backup of all files that changed since the full. Hopefully the user won't always have the same file(s) open
