My current practice, similar to Thomas's, is to ask each group to take notes but then summarize their group on a single piece of flip chart paper.  We can post these as a gallery of proceedings and photograph them as well.  Then we action plan by having people review those posters and identify what is important.

For the action planning process, same deal, except I have the action groups report to the main body what they are planning to do so that they can issue invitations to all in the room to join them.   I have been using a digital audio recorded to record these reports and then creating an index.  Also, in my wackier moments, I am enjoying sitting on the floor on the edge of the circle creating a single mind map for all of the action that is unfolding. Clients then use that mind map as a to do list, to check in on the progress of the action plan.

At times, especially during longer meetings including action-planning we do copies for all but many time they can stand reading at the newswall which also gets creativity going in a special way. My notion is though that it might not save that much paper because I think many people print the report once they get it. And I agree that it´s a nice thing to "get the book in hand" and read it on the way home.

The first time I facilitated an OST program in 2000 for an insurance company the participants and support team were aghast at the amount paper (and work) it would take to distribute documents for 100+ participants.  So we did it by email, the kind of practice we continue.  Some organizations set up a special internet site of some sort depending on their web/blog skills and interest, others use company/organization systems already in place.  Ask them how they want it.  Someone always knows!

Dear all

 

Do you always offer a set of notes for every participant? I experience resistance to the production of so much paper occasionally and would like to know how you handle this. (I am not a friend of notes on CDs - their production is not quicker than paper copies, and many can't look through it on their way home because they didn't bring their laptop along.) In OS events with enough staff also after the event, sometimes they put the notes (anonymized if necessary) in the internet.
