For the contact meeting where you assist the sponsor in finding out whether 
prerequisites for Open Space are met it is important to have the sponsor(s)

When it is clear that OST is the way to go the sponsor installs a Planning

important for the invitation). For healthcare you might try to have people from 
hospitals, the insurance business, patients, doctors, nurses, midwives,

list can become very long...in my experience there have been Planning Groups of 
6 all the way up to 35.
At the contact meeting there might be 3 to 8 people, usually around 5... this 
is not a contract meeting just a service for the sponsor to find out (and for 
me as facilitator also to find out) whether he wants to go with ost. Even if I 
am approached by a sponsor with the clear message that he wants OST, I 
suggest/insists on a contact meeting (usually 1,5 hours) to get the 
prerequisites discussion (in a way the sponsor has to convince me that the 
prerequisites are in place or how they can be met).
I charge no fee for the contact meeting (just reimbursment for travel etc.) and 
suggest that no decision is taken at the meeting itself but that both sponsor 
and I sleep twice and then have the next contact...

    I would ask that powerful sponsor to invite me to a contact meeting
    with a small group that would represent the whole system he is
    inviting (an actress, a statesman, an artist, a criminal, someone
    dead for a long time, someone recently died, a scientist...) to see
    whether the 5 preconditions for an open space are in place.

    Once that were clear and they still want me as facilitator, I would
    ask the sponsor to convene a planning meeting to come to an
    agreement on such important matters as the "theme" (I certainly
    would not propose one as I never do) and to draft an invitation
    (which I certainly would not offer to draft myself as I never do).

    About my fee? 0,0001% of the damage or good the participants were
    responsible for in their lives.
