Thanks Paul - the doc workspace doesn't sound quite right from my reading
so far, but I'll test it out.

1. Sending the docs means I'll have to programmatically copy the meta-data
back and forth as well, and as you mention, merging versions back when
multiple projects have worked on them is almost impossible. I'm wondering
about a variation on that at the moment though, where the link is an actual
'dummy' document, and that document somehow checks out and opens the target
doc. Could this fly, or will i get permission issues trying to do it in
word 2003 vba?

2. A custom or CQ WebPart sounds like my best option at the moment - just
got to work out how to integrate it with the list view so the users can
still perform all their folder stuff, and how I cope with multiple projects
for one system doc.

It's MOSS, so it's never quite that easy. :)

My preference for this type of temporary work is to use Groove. Infinitely
more user-friendly.

Otherwise you have a couple of MOSS options:

1. Use the default Send To function. Copy across the required files using
Send To. Pretty sure there is no issue in sending the copy back the other
way once you're done with it but you'd need to verify. Managing version
changes in the meantime could be interesting though. The Send To
functionality also allows you to track and notify changes back to the owner
or specified individual. It also adds a Manage Copies link to the View/Edit
Properties screen of the source(?) document. I'm still in the process of
playing with all this as we hope to use it quite widely.

2. Apply a unique value to a metadata column for required docs (e.g.
Keyword) and use a CQWP to display the list. Default WSS behaviour *should*
still open the document as intended, with correct document panel and option
to Edit. This works on my box.

Maybe not - I've not used them so it looks like asking the question is
paying off already!

I guess there would be a workspace per project, so the only thing I can
think of is when multiple projects are working on the same files.

Can you organise those workspaces into a site structure as detailed for
projects?

Are the original system docs physically moved to the project's document
workspace?

Will they go back to the same folder when done?

sure how it works or the implications. If you have any resources to point
me to, please let me know.

Does anyone have any suggestions on how to get his sort of functionality?:

Basically a 'project' view of the world with a project doc and links to the
docs elsewhere it involves. Those links point to their 'systems
documentation' with a life beyond the many individual projects that include
them.

This boils down to two requirements:

1 Required: A link to a target doc (in a different library) that you can
'edit in word'

The OOTB  link opens the target doc as required, but the name doesn't have
the java menu's edit word option, as a link isn't a document type... so I'm
thinking links might not be the best solution or at least a custom web part
to view them is required. That is not ideal as I need to keep many of the
standard doc lib features and I don't want to reinvent the wheel for all
those. Regardless, I'd also have to provide a pick list on the link form so
they can browse to the correct systems doc.

2 Preferable: Link reflects meta data on target doc

This is another 'canOworms' - I can certainly copy the fields that match
over via an event on the target doc lib, although it will require some
searching for all matching links. I don't think they should be moved back
the other way though. My gut feeling is I'd prefer the meta data to stay in
the one place with it's true owner, so again views or custom controls/web
parts with the same issues as 1.


I'm really not sure of the best approach - here's an idea of the structure
- and yes they are wedded to separate libraries and folder structures at
the moment:

                  Project Scope.doc
                  Link to ScreenA
                  Link to ScreenB
                  Link to ProcessA

System Docs Lib
      System Name
            ProcessA.doc
