Really sorry about this, but don't worry about the basics ... I took another look at the Tools/Rules menu options and see my way forward... (been getting a real lot about microsoft lately!). There are extensive options that I don't know how how I missed ... seems that necessity is the mother of paying more attention ... Still, if anyone has set up rules or applescripts I would love to hear from them... this would be great, to share specific strategies.
