I would also suggest looking at Image Info Toolkit for creating keyword databases and Cumulus for asset management. If you really want Extensis Portfolio you can have my copy cheap. The reason I use Cumulus over Portfolio is the way Cumulus can easily nest categories. When I met one of the Portfolio programmers he spent about 15 minutes scratching his head before coming up with a very complicated solution to what Cumulus does easily. Why do I find nesting categories so important? It means I can dump images into project categories and then within those categories create further categories. For instance I can organise several ongoing book projects by creating categories for each book and then within that organise the images for each chapter.
Free demos are available for both these programmes.
Cumulus at www.canto.de IIT at http://software.pictures.de

He also has links to other solutions.
Additionally this subject has been covered a lot on the Stockphoto.net forum recently where you can find a lot of material in the archives.

Having done some research I have found a few products and I am thinking at
this point of using Photomechanic to manage captioning and data entry on
images en batch, and Extensis portfolio 6 for archive.
