[Archivesspace_Users_Group] Question re: Linking Finding Aids

Good morning,

I have external word documents for my finding aids. I would like to link those 
into the top level record for a record group or collection. I tried putting the 
location (full file name) in the external documents field. It has hyperlinked 
the name, but when I try to click on the link to the pdf, it is not opening the 
document.

Do the files have to live on the same server as my ASpace instance? What am I 
doing wrong?

Also, is there a better place to link external finding aids?

[Archivesspace_Users_Group] Job Opening - Temporary Processing Archivist

Off the top of my head. Could this just be the usual indexer lag that's 
exacerbated by the fact that 3.2 requires an external Solr and therefore can 
lead to a slight longer indexer lag? That'd be my guess - especially if the 
records do show up eventually.

If that's the case, then I think potential fixes would be related to networking 
setup (can you reduce the communication times between AS and Solr and can you 
make the Solr setup more robust (ie throw more compute resources at Solr)

I was testing my new install of v.3.2 and kept having a problem with imported 
records (both accessions and resources) not showing up after import.  
Sometimes, I could navigate to another module and then go back to resources or 
accessions and then they would be there.  Most of the time, I had to completely 
exit the program and then log back in for the records to appear.



I know I had similar issues with this in earlier versions.  Does anybody have a 
clue what might be going on?  I would love to be able to point my IT partners 
in the right direction, if there is something we can "tweak" to make this a 
non-issue.

We do this for the few manuscript collections we hold where we have taken 
possession of the individuals' personal library. Typically we call the series 
"library" or "personal library," and either enter book titles as item level 
records or attach a pdf listing of the books as an external document at the 
series level. In some cases, we have digitized versions of notable individuals' 
(public domain) books to make annotations available, and attach these as item 
level records in Personal Library series that otherwise do not have item level 
description.
I'm not sure how well all of this gels with EAD, but our first priority is 
making our holdings intelligible for researchers, and this seems intuitive for 
our users. I'd be interested to hear any horror stories from other users about 
similar setups, though.

This is a growing collection of difficult-to-obtain materials from the early 
years of this country (UAE), donated by two longtime expats.  The collection is 
a mix of ephemeral publications, scholarly reprints and white papers, 
government publications, and other materials.  I hope to be able to catalog 
some of the books and upload them to OCLC, but the collection as a whole says 
something about two significant members of the expat community here, and their 
activities over the past 50 years, and for this reason the collection belongs 
together, and merits description in a finding aid.  Smaller format items I have 
put in boxes and folders as I would archival materials, whereas books are 
shelved separately, but given a sequential volume number as their container 
number, at least for the time being.

I had the opportunity to select titles from the estate of Mr. Pachachi, a 
longtime diplomat and advisor to the rulers of the UAE, following his passing.  
Since there were many general interest titles, I skipped those and focused on 
books that were connected to his activities and his network of acquaintances, 
many of them represented through presentation copies of books given to him by 
their authors.

Here is an example where individual maps are cataloged individually in OCLC and 
in our library catalog, but which are difficult to search in that catalog due 
to its structure.  My hope is that a finding aid can provide a bird's eye view 
of the collection, and make them much more accessible.

In other collections that are predominantly archival, but which have 
significant donations of books that came along with them, we try to catalog the 
books in OCLC, with a 500 note linking it to the collection.

None of these are perfect solutions, and as an archivist, creating finding aids 
for collections of books or maps does feel to me a bit like going against the 
grain.  But as mentioned in other posts, this does help us to get books out 
there that might otherwise be hidden due to the length of time it will take to 
catalog them.   I am always happy to find examples from other institutions that 
might help me improve on these practices as well.

[Archivesspace_Users_Group] Books in the Archives

Good morning all,

Happy Monday.  Here's a conundrum to start off your week...

I'm a lone arranger with a large number of books within my archives.  I know 
that ASpace is not designed to handle books (but it can) and I have no other 
library catalog at my disposal.  Many of the books could be put within existing 
collections (defined as artificial assemblages).  My thought is to designate 
the last series in the collection as "books" and add the titles under that 
series record.

Has anyone done anything similar?  Thoughts? Concerns? Problems you've 
encountered?

Will appreciate any and all feedback on or off list.

We only label the boxes (and replace the labels when they yellow or fall off). 
Folders are done by hand with pencil.

The labels we use are Dymo 30625 which are in no way preservation quality.

using.  Regular Avery file labels?  Specialized labels with acid-free glue?  Is 
anyone concerned about the long-term preservation issues associated with sticky 
labels?  I've had too many older files that were labelled with sticky labels 
where the labels have fallen off so I'm generally shy about using them, even if 
they meet preservation standards



Very curious how folks are addressing these issues.

There's also a plugin that I've developed that allows you to print labels from 
the application itself. It does require some additional CSS depending on the 
label layout you are using, but there are some examples in the plugin. You'll

Question re: your statement.  I am using the (now) built-in Harvard plug-in to 
import my records into ASpace.  I have been using “multiple languages” in the 
"lang_materials" field.  With your statement, I am wondering if I can actually 
put the various languages, such as “English; French; Spanish” separated by a 
semicolon.  That would be much more useful that the term “multiple languages.”

The simple "language" property of resources and archival objects (which I 
assume is what is held in the obj variable in your code), that held a single 
ISO 639/2 language code, was scrapped in 2.7.0. Instead, there is now a 
"lang_materials" property, holding a much more complicated data structure, to 
allow multiple ISO 639/2 language codes and/or language notes to be added to a

Hello, this is Corey, ArchivesSpace PM at the University of Georgia. I hope

I'm excited to say we at UGA created our first custom plugin report for 
ArchivesSpace and wanted to share it with the community. The report looks for 
and returns broken URLs that may exist in note fields across all repositories 
in an ArchivesSpace instance. Those notes come from resources, archival 
objects, digital objects, digital object components, digital object file 
versions (URLs), subject scope and contents, agent person, corporate entity, 
family, and software. We've used it to find your standard 404 errors, but also 
other fun ones like 403s and malformed links.

You can find the code for the plugin here, just download the check_urls folder: 
https://github.com/uga-libraries/uga-archivesspace-reports.
 Info on how to install an ArchivesSpace plugin can be found here: 
https://archivesspace.github.io/tech-docs/customization/plugins.html.

The plugin isn't perfect, as it requires you to export it in CSV format, so if 
you install it and test it, please set the report as a CSV. Additionally, 
because it's doing many lookups, expect the report to run for a long time. We 
have over 5000 resources between five repositories and it takes us just under 
an hour to complete. Lastly, there is no way currently to limit the repository 
or notes being checked. Filtering results is best done in Excel by clicking on 
the third header row and using the Data > Filter feature. If anyone has any 
advice on how to do that in ASpace, I would greatly appreciate the feedback.

exporting the data in a usable fashion, and Alicia Detelich for her awesome

If you have questions about importing your data (not XML), I know you can 
export out of PastPerfect into a CSV excel file.  With version 2.8, you can 
import that directly into ASpace, after you have migrated the data to the 
import template.  Thanks to the work of Bobbi Fox and others, what used to be a 
plug-in for importing excel spreadsheets, is part of the core code with version 
2.8.

I would recommend checking out the work that Lindsey Loeper did at UMBC to 
convert PastPerfect XML to EAD, presuming you could easily import the EAD into

Good morning Miranda,

I do not believe that there is an existing import template for PastPerfect.  
That said, I know that PP will export into excel.  From there, you could use 
the Harvard plugin to get your data into ASpace.  (The plugin is part of the 
core code for version 2.8 (think I have the # right)).  If you're using an 
earlier version, you can add the plugin and use it to import resource records 
from excel.  (Your accession records can go in through the built in importer.

It is doable - it will just require a bit of extra work.

[Archivesspace_Users_Group] Help Please - System Setup Before Data Import

Good afternoon,

I am ready to start importing data into ASpace, but I know there are things I 
need to do to set up my ASpace instance before I hit "import."  I know I need to


  1.  Set My Repository Preferences (including controlled vocabulary lists)
  2.  Import location codes
  3.  Arrange notes per DACS order
  4.  Create top container profiles.

Are there things you wish someone had told you before import?  Other things I 
should set up before importing?

I'm working through the video tutorials in the Help Center, but I don't see a 
video titled "Setting Up ASpace Prior to Import" that would answer my questions.

out something ourselves to hack in a sub-subseries designation, but I wanted to 
see what/if anyone else was doing, as we'd like to try and build consistently 
with other institutions to make future inter-institutional collaboration go 
more smoothly.

Hi Lev,

What version of ASpace are you using?  I'm in 2.7.1 and Sub-Series is 
absolutely in the drop down menu for "level of description" field.

Might want to check your version and see if it is time for an upgrade.  No need 
to do your own programming if you don't really need to do so!

I was wondering if anyone is incorporating disaster preparedness as part of 
collection management in Archivesspace. For example, identifying collections 
for priority evacuation/salvage and then producing a report that lists those 
collections and their locations. People might have even decided to be more 
granular and designate priorities (low, medium, high) for all collections in 
their repositories.

[Archivesspace_Users_Group] I Feel the Need for Speed - Time Trials?

Good morning all,

I know our installations will all be different which will impact speed, but I'm 
very curious about the speed of processing that folks are experiencing.  Even 
the most basic tasks (like clicking on a record group/collection record to open 
it, seems to take a bit to perform it.  My system (v.2.4.1 in the process of 
updating to 2.5.1) is on a dedicated cloud server and I know it can be "ramped 
up" to generate more speed/power,  I just need some stats/data to convince IT 
that the performance I'm seeing is "below par."

Am I just being a big impatient or are other people seeing slow speeds as well? 
 Has anyone done any "time trials" for basic processes?  Has anyone done "time 
trials" for importing with the Harvard plug in?

If you are using a version of ArchivesSpace that has the "Enable Reorder Mode" 
button, the ctrl+shift+click doesn't work like it does in other windows 
programs.  Instead do the following to select multiple records:

Multiple records NOT adjacent:

1.  In reorder mode, hold down  key and click on the two columns of 
dots at the far left of the first record you want to move. This should 
highlight your selected title

2.  Hold down the  key and click on the two columns of dots at the 
far left of the second record you want to move. This should highlight your 
second selected title and provide a numeric designation of the order that the 
titles will be moved

3.  Continue until you've selected all the title you want to move then drag 
them to the appropriate location

Multiple records that are adjacent:

1.  In reorder mode, hold down  key and click on the two columns of

3.  Hold down the  key and click on the last record in the list you 
want to move.  This will highlight and enumerate all the records between the 
first and last record you selected

page.  Is this a bug that has been identified?  I'm in version 2.4.1 and we are 
self-hosting.

[Archivesspace_Users_Group] Help with "Lost" Series

Good afternoon,

I am working on moving legacy data into proper series within a collection.  I 
created several series and started moving objects into them using the Reorder 
Mode.  I have moved 9 items into Series I.  Now, when I select an object to 
move into that series, Series I no longer appears in my list of places to move 
it.

Help!?!  Am I doing something wrong or is my system having a pre-Thanksgiving 
mental fit?
