I am afraid this needs some penta hacking :-(

This is doable, but yes, needs a little hacking.
We do have per-people ratings, but currently they are only 2 fields made
up entirely for speaker quality. (and one field called Remarks)

Of course there is no reason why we cant just rename the two fields to
mean something different. And if we can go with just those two fields
there arent any code changes to be done, just a translation string update.

  a) is it possible doing what is mentioned above thru penta?

See above. If we can limit ourselfs to two fields - *easy*. Just tell me
how to name them. If we would need more - needs work.

All those fields rated from 1 to 5 right? How about:

Contributor:
1 - Seldomly
2 - Regular
3 - Active
4 - Very Active / Orga team

5 - Extra point for people organizing events/Talks/BOFs at debconf.

Members are supposed to

Requested amount:
1 Too much
2 A bit over fair
3 Fair
4 Between fair and travel help.
5 Just asking for some travel help (something like 30 % of the total?)

For this field, committee members can use as guide what they think it is
usual for travelling from every country and rate everybody following their
criteria.

Rewording welcome.

  b) is it possible at least adding the what do you do in debian? and
why you request sponsorship? (*) field? that i mentioned in the first
email? Then we just mail all the people and ask them to file those
  fields.

Adding new text fields to the interface isnt all that hard. We have done
it a lot of times already, in fact we do have our own schema within the
 database just for this stuff.
The only question is - at this point in time, do we get people to fill
out those fields before the meeting? With DebConf not being that far
away, we cant afford long delays anymore.

I think we should add the field, mail all people who asked travel sponsorship
and ask them to fill the field and in any case, do not make this compulsory
for getting sponsorship. I expect most the people file it and I volunteer
to work on this and mail and prod nicely people who does not do this in 48h.
I do not think we are asking too much here.

This is far from perfect, but I think it is better that last year. This is a
tricky and too much subjective issue.

Right.

During the who is responsible for what meeting we came up with Lodging and
Dining - aint that the same?

http://wiki.debconf.org/wiki/DebConf9/Teams#Lodging_and_Dining

In that case it would be Cesar and Anto.

 I did this for DC5, DC6 and DC8, I can provide
advise, but I don't want to do it again, specially taking into account
that I won't be there during the conference.

/me nods.

Last year, we charged the same amount for 6, 7 and 8 nights.

Why? To raise more money?

Last year we had a Room Preference box... Why Isn't it there anymore?

Good question :-/

Yeah, I think so too and I think that benefit (easier scheduling (and display
in the timetable) of the lightning talk event) is worthwhile.

Also I think the lightnig talk organizer should decide which lightning talks
to accept, prepare the speakers, etc. That all goes better with one event.

Thus I'll create a lightning talk event now - though I'd prefer not to be the
actual moderator at DebConf9 - any takers?

IMO it makes sense to have small videos for the lightning talks.

If the videoteam has the capacity to do them, we can always create IDs later
on and release them as different talks. So I dont think the single event
approach is a blocker to this.

In that case it would be Cesar and Anto.

The room allocation can be done by ANYONE. Cesar and Anto already
have a lot of responsibilities. Whoever does room allocation needs to
have the info from Cesar and Anto, but then they can work on.

Last year, we charged the same amount for 6, 7 and 8 nights.
 Why? To raise more money?

Not really, no. To make things simpler for everybody. Simplicity
helps everybody. Most people last year, came for 8 days, and we
didn't charge them extra for the extra day, so neither did we discount
one day for those that stayed 6 days.

For this year, I think we should do the same, people staying for 6, 7
or 8 nights count as staying one week, and thus pay € 300. People
staying less or more then pay a different price that needs to be
calculated (we need real info on how much things cost).

Also, if they want a single room, we should charge extra, but how much?

All this info needs to come from Cesar and Anto. Not the room
allocation itself.

So where are abstract and description used?

[Debconf-team] where on the website to acknowledge+thank for ffis e.V.s contribution

2009-04-22 Thread Holger Levsen
Hi,

ffis e.V. will be our legal entity for DebConf9 and to thank them and show our
appreciation we agreed in the last team meeting to put their logo on our
website. We just forget to decide where exactly, after agreeing that it
doesnt fit with the other regular sponsors.. :-/

So looking at http://debconf9.debconf.org/ I can see two options:

- on the left, below or above permanent sponsors
- on the right, below the regular sponsors (below the lowest level, I'd say)

In both cases I'd suggest a headline like legal help (in the same style
as permanent sponsor or silver sponsor). legal help doesnt quite cut
it - suggestions for a better one anyone?

Once we have agreement on this, I'll place the logo.

Holger

[Debconf-team] Accessibility checklist wikipage

2009-04-22 Thread Tiago Bortoletto Vaz
Hi,

I've just finished a first draft of a checklist itended to help the orga team
with accessibility issues for this and future DCs.

http://wiki.debconf.org/wiki/DebConf9/AccessibilityChecklist

Could Hector Oron and other people from local team please start filling it,
giving suggestions, fixing things etc? Some tech review from Otavio would be
great too. Actually any help is very welcome once my english is not good enough
to format a document like that by myself.

Also, people in charge of accessibility in DC9, please help me migrating the
already existing content from Accessibility to AccessibilityChecklist wikipage.

Regards,

What about:

Hi,

You have requested travel sponsorship for Debconf 9. The sponsorship committe
will meet very soon to process all the requests, to help us with this task it
is very important you log in penta as soon as possible and you fill a new
field in the Travel tab that says What are you doing for Debian? Why do you
request sponsorship?. We will keep this information confidential.
Also, if you already arranged your travel plans and you need less money that
initially asked, please update the amount.

Thanks!

If you want to send the emails fine, if not, I can do it tomorrow in the
morning. Your script of mass mailings is in the svn since a couple of years
ago :)

By the way, is it herb@ working? It would be interesting as Reply-to: email
