Hi Joe,

There's a railway station at the airport that'll take you into Pisa
from where you'll be able to grab a train directly to the centre of
Florence. The conference hotel is 15-20 minutes walk from there (I
walk fast). ;-)

I'm doing exactly this journey tomorrow.

Alternatively there is a shuttle bus from the airport to the Firenze
SMN station [1]. From there you could either walk or take a bus. I
will probably try line 23A tomorrow and jump off at ZECCA VECCHIA.
Curious how this will work out this year :-)

or could you even call the hotel to arrange a taxi?

Every taxi firm has its own number. Here are prices and numbers for some 
of taxi firms:

It is half english site so here is rough translation:

Vienkartinis mokestis už įsėdimą - Payment for sitting into taxi
Už nuvažiuoto kelio 1km mieste - price for 1 km in the town/city
Už nuvažiuoto kelio 1km užmiestyje - price for 1 km in the rural area
Be iškvietimo telefonu 1km - price for 1 km if you just sit into taxi

I have not much experience with taxi in Vilnius but one my colleague 
from India had no problem using Martono taksi (short mobile number 
1422). Merselita rings a bell as well for me (phone 1444). Technically 
you can use any 14xx combination and you will call taxi but I don't 
promise that you will call Taxi that is in Vilnius ;-) Here is list of
