Site under reconstruction message.  What gives?  Or have I been

Same here! I bought a copy of this pretty much immediately after evaluating
it, and use it all the time.

ADMIN: List/Site Issues

We've been working through some technical problems with both the list  
and website over the last couple of weeks.  I think all of the issues  
are now resolved and the list should return to normal.  There will be  
a couple of dozen messages that were delayed with the server

Thanks to everyone who helped me with the problem that I had with my .chm
file, in which it seemed to have jumped from ~13MB to ~43MB in one
generation.

After going through the files thoroughly, it seems that the culprits were
graphics that I saved as .bmps, instead of .gifs.  After a few simple
calculations, I found that these graphics added ~30MB to the total .chm file
size.

My manager would like to save space wherever possible and has asked that I
reduce the size of the larger graphics and thus the size of my help file.
At this point I don't see any way of fixing this other than redoing the
documentation:

Click through our software application
Recapture the graphics in question, saving them as .gifs
Insert the graphics into my FM file
Regenerate the project in WWP

Is there a batch process that I can use to change these graphics from .bmp
to .gif in WW, or do I have to do this in the source files (FM)?

Distiller job options

Assuming you are running Windows 2000/XP, try putting the .joboptions in
the following folder:
C:\Documents and Settings\All Users\Documents\Adobe PDF\Settings
I think the above path is the actual path used by Distiller to locate
the settings files.

  Martin is correct. However, after you put the .joboptions file in that path, 
you then have to open Distiller, choose Settings > Add Adobe PDF Settings, and 
then navigate to the .joboptions file, select it, and click open. ;-)

autonumbering with line break?

Hi Egwin,

You can't use these building blocks in an autonumber to get the effect that 
you want. You can use a bunch of spaces at the end of the autonumber to 
force the text to the next line, but that may have side-effects that you 
don't want. Or, you can use two separate paragraphs.

Conversion Table again : How to handle Root Element

You need to have an additional rule in the conversion table to map the
individual paragraph-level elements into the root element, thusly
(columns 1 and 2 of a conversion table show for brevity):

Map this object   Into this element
---
ChapterName, Overview, Para  Chapter

That is, take the sequence of elements ChapterName followed by Overview
followed by Para and wrap them into a Chapter element.

The root element is not necessarily created automatically, and to depend
on the "RE:" (root element) entry in the conversion table may be
convenient but it is unfortunately not in any way a guarantee of correct
or complete structure in the converted file.  This is precisely the sort
of rules mapping elements into more complex structures to which I was
referring in my previous message on this:

"... but will not add the many additional and necessary rules to wrap
elements into more complex structures (such as the Procedure element in
the EDD provided)."

Way Too Much Corruption

Thanks to all for thoughtful comments. Here's what else I can add:

1. Yes, the name.backup.fm files were also corrupt.
2. I'm running Windows XP SP-2 and FM 7.1.
3. The problems all appear to be on a network folder -- and affect FM,
Acrobat, Word, and Publisher files.
4. I was able to work on the FM files yesterday afternoon on my local
Desktop without issues.
5. After posting we learned the IT guys had been doing network stuff
over the weekend -- and that one of the network drives was damaged and
irreparable. 

We think the flawed drive is our culprit. IT is restoring our entire
working folder structure from tape. Here's hoping that does the trick.

The mass corruption bothers me a lot... it'd point to something
systemic, like a BIG voltage spike (had any lightning storms lately),
physical hard drive problems... something like that.

When you're saying the backups are corrupt too, you mean the
name.backup.fm file, or the backups of the entire project?

If they're clean, restoring your last system backups is the best thing
to do because you haven't changed anything in 6 weeks.

If you're saying you didn't back up your work and all the files involved
are corrupted... to the point they won't open, or some info inside is
twisted, or something else?

Distiller job options

If you se the "Add Adobe PDF Settings" command that Rene mentions,
it doesn't matter where the original .joboptions file is actually located
as long as each user knows how to browse to it. I put our group's
standard customized .joboptions files on a network drive and instruct
each writer how to add those settings to their local Distiller setup.

Quick Context-sensitive question

In using WWP, I have found that if I put the same TopicAlias marker text in 
multiple places in the FM file, the help call doesn't know which one to show. I 
can use multiple keys to point to a single TopicAlias in a single place in the 
FM file, so that several screens call the same help topic. I guess what I'm 
saying is, the TopicAlias has to be a discreet instance in the FM source files. 
Pardon me if I'm stating the obvious.

Headings (con't) in FM 7.2?

I would think that putting the heading into the header or footer would
be the usual thing here. At least it seems that the big ones
(companies) have not come up with a solution and some of them don't
even make use of FM's Table Continuation variable but rather stick to
the old typewriting concept!

Depending on your layout and construction, you _could_ add a new
header that would read a special paragraph tag or an element. This
could be done if your construction of the manual is very simple. For a
little more complex construction, you could add other master pages
with a similar header frame that would read a different header.
However it is easy to see instances where this might create problems.

So, I guess that my answer is not helping much. ;-)

My employer's supplier says that Acrobat Professional 8 is not shipping yet (as 
of 20 Nov). Is this true? I've had an order in since October.

I'm told I have to buy and install 7 and update it to 8 when that becomes 
available!

Indeed, I also think that a Running H/F is the best mechanism to do this.

This is how I do it:

1. I create a Left and Right master page with a separate background frame
for the Running Header/Footer.
2. The Running H/F looks like this:
<$paratext[parttitle,chaptertitle,sectiontitle,maptitle]>,
continued
Note: I use Information Mapping (IMAP) as a content model for this template,
hence the paratag . A "map" is a unit of information, and
corresponds more or less to a "topic". A "map" starts "Top of Page".
3. I create two dedicated master pages for maps: Right_maptitle and
Left_maptitle.
4. I "map" the paratag  to the master pages Right_maptitle and
Left_maptitle and use the "Apply Master Pages" mechanism.

If a "map" becomes longer than one page, I will automatically get the
default Left or Right page with the Running H/F.

Pro: Your text flow cannot become polluted with "Continued" paragraphs.
Con: You cannot use master page overrides because they will be removed when
you reapply the master pages.

   An autonumber cannot contain a line break. Is your document structured? 
If so, you can put a line break in a prefix.

I downloaded the eval of 8 and it's running. (Fine BTW; no problems at all.)

There were options to pay for it both on the page and when it boots,
which I've ignored so far. But I'll go ahead and upgrade after the
30-day period. So, yes, I think it's shipping at least in download
form -- maybe not in full boxed CD packages though.

Intel Mac Findings

FileMaker 8.5 is Intel native. Other major programs include QuarkXPress 7
and Acrobat 8.

As mentioned, you will have to wait for CS3 for Intel native apps for the
rest or the Adobe suite. I believe it will be around April or May.

If you don't like rebooting to run FrameMaker, take a look at Parallels. It
is not as fast as running Bootcamp, but Frame is not a "bulky" program
anyway, so it still runs quickly.

ToolBox from Systec will delete unused variables.

Download the installer, and then do not select any of the modules to
install.  What installs at that point is the "free" utilities, which
include the option to delete unused:

- Paragraph Formats
- Character Formats
- User-Defined Variables
- Cross-Reference Formats
- Table Formats
- Color Definitions

You can delete them one type of format at a time, or delete all unused
of all formats.  It's a very handy tool.  The paid modules also have
some very useful tools.

Chris D. (CudSpan) also has a tool for deleting unused Conditional Text
formats (PGF_Whopper).

I cannot speak highly enough about Leximation's BookVars plugin for
managing variables. Our whole department of 10+ writers has
integratged it into our base documentation process.

Not only will it remove unused variables, but will allow you to
deploy new variables and rename variable names or definitions in
batch mode.

We have a couple of hundred variables. Managing them is now a push of
a button. If anyone has questions, feel free to contact me off-list.

autonumbering with line break?

Actually .. one way I've seen this done is to use a tab followed by a 
space (the space is important) at the end of your autonumber string, 
then change the tab position for that paragraph style to be the width of 
your text frame. This forces it to wrap with minimal problems.
