Although I am happy to recommend other tools, I should point out that my
script ($80 and requires FrameScript) handles a lot of format types at once.
Here are the instructions from the script:

/*
This script changes cross-references, paragraphs, tables, user
variables, characters, etc. from one format to another.
You can optionally delete the old format from the document's catalog.

The script requires a batch file containing four columns.
Column 1 lists the type of format to find: 
  X for cross-reference
  P for paragraph
  T for table
  V for variable
  C for character format
  CO for condition format
  MP for master page
  M for marker type
  CL for color

Column 2 lists the format to find, column 3 lists the format to change to,
and column 4 contains a Y if you want to delete the old format from the
document's catalog. If the format in column 3 does not exist in the
document,
the find format will be renamed to the change format.

The enclosed FindChangeFormatBatch.fm can be used as a batch file.

To simply delete a format from the catalog, put its format type in column
one, its name in column 2, and a Y in column 4. Leave column 3 blank.

Format names are case-sensitive.

The script can be run on a single document, book, or folder (and
subfolders).
The results of the script are recorded in a log which is saved in the same
folder as the book, document, or folder. It will have the same name as the 
book or document, but with a .log extension. If you run it on a folder,

FM11 output crashing - silentrobohtml.exe appcrash

Ignore previous email... (responding to Rick's question)

We're looking at TCS4, trying to output one of our manuals using the default 
Multiscreen HTML5 output targets.

I did this successfully once... but now with the exact same document, its 
crashing with the following error:

RoboHelp command line did not execute successfully.
Details are that its an APPCRASH of silentrobohtml.exe

My coworker is having the same problem.

Any suggestions/solutions?

Thanks for the recommendation. FWIW, duplicating this script in ExtendScript
would be a large undertaking. The FrameScript version is over 1700 lines and
has gone through quite a few iterations over the years. Just think about
what it takes to find/change a character format. You not only have to look
for occurrences in text, but also in autonumber formats, variable formats,
and cross-reference formats. Colors are complicated as well because they
show up in many different places in a document.

It is such a useful script that I will probably end up duplicating it in
ExtendScript one of these days. But if someone wanted it tomorrow, it would
certainly be more expensive than the FrameScript version! Thanks again.

Old FrameMaker versions

Someone posted here recently to say that 'all their old FrameMaker files had 
become Word files'.

I've just had course to look at some year 2000 files in FrameMaker 4 format. 
These have a '.doc' extent, but open just fine in FrameMaker 7. I have no idea 
why they are '.doc', but this might have given rise to the confusion  in 
question.

Standing back from this discussion (I'm excluded from a lot of plugins due to 
still being on Mac), I'd just point out the fact that I keep forgetting myself: 
that Steve Kubis' (SiliconPrairie) char and para tools work at the book level 
too. 

Construct a temporary book containing all the files you want to clean up, run 
'Delete unused para/char formats', then discard temp book: job done.

I can recall, in the early days of FrameMaker, all FrameMaker documents were
given the .doc suffix.

Later, this changed to .fm, maybe around version 3 or 4.

A question though: if you have more than one app available to open a PDF file, 
how does OS X actually select which app to use?

In Windows, there is one default for each extension, but you can override that 
with a right-mouse-click on the file in Explorer, followed by a Open With ... 
and then select/specify the app.

Not sure but can check. What I do know is that the file type byte can be 
honored, but you can also set a chosen app for all files of a specific type 
(identified how, one wonders) - but that it is not always 100% foolproof. But 
I'm several OS X versions behind the leading edge anyway.

The user procedure is set the default app for a file is to do a 'get info' on a 
file of the type in question. That displays a dialog that allows you to choose 
the app to open that file when clicked, with an option to extend your choice to 
all files of that type. Or you can just drag the file onto the chosen app's 
icon in the Dock. I cited PDFs because it's probably the file type with most 
launch options on the average professional's Mac: Preview (Apple's default PDF 
reader), Acrobat, Adobe Reader, Illustrator, GraphicConverter (a shareware 
graphic file manipulator), PDFPen, and so on...)

In Windows, there is one default for each extension, but you can override that

Yup, I use Windows as well. I guess there is no one 'best' way to handle this 
sort of thing, and OS X can be cumbersome in this regard - like, you really 
really don't want Illustrator to open a PDF when you click on it unless you 
*really* want it to, and so on.

attach Caption to floating Anchored Frame

I am using FM10 on Win7 writing a multi-chapter technical book. Is there a
simple way to attach a following caption to an anchored frame when I let the
anchored frame float? I use the auto-numbering of the figures and
auto-referencing to the Captions extensively.

Hi John

If your system's too pinned down to install a plug-in, AND you know the names of all those styles you want rid of, AND you've got a decent text editor, then you can do this on bulk MIF files.

It'd pay to search the FM files first to make sure no text is using any of the old styles.

Then back up everything

Then convert all your FM files to MIF, open the MIF files in bulk, figure out the paragraph catalog lines for your unwanted styles, and use global search and replace across all your files to remove those catalog entries.

Did I mention you want to back everything up first?

As others said, Silicon Prairie's Paragraph Tools works well for this. In 
addition, I'd create a new temporary book and add all the Frame files to it 
that you want to convert. This way you only have to set up and run the 
conversion once. 

Paragraph Tools installation is by dropping a .dll file into fminit\Plugins. No 
installer to run.

Keyboard shortcut for frame anchoring position?

FrameMaker 10, Windows 7 64-bit.

I'm a keyboard-centric kinda guy. I eschew the mouse whenever possible. So I 
try to learn keyboard shortcuts, and for more lengthy processes, I automate via 
AutoHotkey. I'm running into issues with these [CENSORED] pods and that certain 
elements and actions are not accessible via keyboard.

For placing a certain type of graphic, I uses the following keystrokes:

Esc f I f (import file)
filename Enter
Esc m p (shrinkwrap)
Shift-left arrow (selects graphic)

Now here's where the bugaboo occurs. I want to change the anchoring position of 
the selected object from its At Insertion Point to Below current line, but 
cannot figure out a way to do it without having to use the mouse!

(The graphic imports as Below current line, but shrinkwrapping it changes it, 
so I need to change it back. The reason the shrinkwrap step is necessary is 
that the graphic imports with space padded around it by default, which the 
shrinkwrapping removes. I don't want that extra padded space.)

Esc s a will get focus to that pod, but the Anchoring Position dropdown is 
never selectable.

Is there some sort of keyboard shortcut that will either get me to that 
dropdown list to change its setting, or that will set the anchor to Below 
current line?

Prior to the advent of pods, this was actually doable.

Alternatively, is there a way to set FrameMaker so that all imported graphics 
are automatically shrinkwrapped, or have no padding?

Here's the ExtendScript I linked to earlier. The DeleteUnused...Fmt
functions would seem to make it pretty simple. You could maybe create
a giant scratch book containing all your .fm files and run the script
once.

Conflicts between extensions were more common in those days. FileMaker
for Windows originally had the same .fm extension as FrameMaker.

Custom font renders different when saving as PDF vs print PS and distill

Since this CMYK support was introduced in FrameMaker 9, it was associated

As a general practice with FM9 or later, unless you have a specific need for
CMYK PDFs (and take the time/effort to check the output), I highly recommend

have output generated in the FM8 or earlier mode).

script ($80 and requires FrameScript) handles a lot of format types at once.
Here are the instructions from the script:

FM11 output crashing - silentrobohtml.exe appcrash

Ignore previous email... (responding to Rick's question)

We're looking at TCS4, trying to output one of our manuals using the default 
Multiscreen HTML5 output targets.

I did this successfully once... but now with the exact same document, its 
crashing with the following error:

RoboHelp command line did not execute successfully.
Details are that its an APPCRASH of silentrobohtml.exe

My coworker is having the same problem.

Any suggestions/solutions?

I'm a very satisfied customer of both Silicon Prairie and Rick, and happy to 
recommend both. But John said that he's "in a super-locked down environment and 
to install anything takes an act of god." Unless I'm misunderstanding his 
statement, that rules out any plugins (including FrameScript, thus ruling out 
FS scripts). 

John, since you have FM 11, I think your only non-manual alternative is 
ExtendScript. I suspect Rick could whip up an ExtendScript script that suits 
your needs for a reasonable fee -- assuming you can at least install a script 
(non-executable) in your environment.

Hi Richard,

Thanks for the recommendation. FWIW, duplicating this script in ExtendScript
would be a large undertaking. The FrameScript version is over 1700 lines and
has gone through quite a few iterations over the years. Just think about
what it takes to find/change a character format. You not only have to look
for occurrences in text, but also in autonumber formats, variable formats,
and cross-reference formats. Colors are complicated as well because they
show up in many different places in a document.

It is such a useful script that I will probably end up duplicating it in
ExtendScript one of these days. But if someone wanted it tomorrow, it would
certainly be more expensive than the FrameScript version! Thanks again.

Someone posted here recently to say that 'all their old FrameMaker files had 
become Word files'.

I've just had course to look at some year 2000 files in FrameMaker 4 format. 
These have a '.doc' extent, but open just fine in FrameMaker 7. I have no idea 
why they are '.doc', but this might have given rise to the confusion  in 
question.

Standing back from this discussion (I'm excluded from a lot of plugins due to 
still being on Mac), I'd just point out the fact that I keep forgetting myself: 
that Steve Kubis' (SiliconPrairie) char and para tools work at the book level 
too. 

Construct a temporary book containing all the files you want to clean up, run 
'Delete unused para/char formats', then discard temp book: job done.

I can recall, in the early days of FrameMaker, all FrameMaker documents were
given the .doc suffix.

Later, this changed to .fm, maybe around version 3 or 4.

Yes! Whoever saved the files (in your case) from FrameMaker chose to use a 
".doc" extension, for whatever reason. I guess they figured these were 
"documents"! :)

In general, the file name extension _usually_ does not mean anything to an 
application - I could save an Excel file with an .fm extension and it would 
fail to open properly in FrameMaker! Not surprising.

And, I could also save a FrameMaker document with a ".xls" extension and still 
open it correctly in FrameMaker, although Excel would barf trying to read it!

There are interesting exceptions to this, of course. For example, Excel can 
open files with different content. A file with a ".csv" extension is assumed to 
contain comma-delimited text. A file with a ".txt" extension containing CSV 
formatted info can be treated differently by Excel than the _same_ file with a 
".csv" extension - this can lead to some interesting confusions.

The point is that Windows makes assumptions about which application to use to 
open a file based on their extension - that is their useful purpose. And 
applications can make assumptions about the file content based on the extension.

Also, a file ending in ".com" or ".exe" is assumed to be an executable - a 
FrameMaker or Word file renamed in this manner would simply fail to execute in 
Windows or DOS!

Historical side-bar: this treatment is quite different in UNIX systems, where 
extensions do not have any special meaning. So, files can contain information 
that identify the content, thus allowing for the existence of the "file" 
command ... this command looks at this identifier byte in any file to tell you 
what the file is likely to be, although it also makes assumptions by looking at 
content _within_ the file (for ASCII text files for example):

/usr/bin/ls:ELF 32-bit MSB executable SPARC Version 1, dynamically linked, 
stripped
# file /usr/bin/file

By the way, the known identification bytes are listed in the file /etc/magic

I've just had course to look at some year 2000 files in FrameMaker 4 format. 
These have a '.doc' extent, but open just fine in FrameMaker 7. I have no idea 
why they are '.doc', but this might have given rise to the confusion  in 
question.

That would explain it, then. The only question remains as to why Word and 
FrameMaker documents had the same extent, when their internal format was so 
different.

retained in some files for backward compatibility with pre-OS X OS versions, 
which built an invisible database that matched files with their home 
application, but OS X (Unix under the covers) also takes a file name extent 
into consideration. (And on OS X you can have up to half a dozen apps that can 
open, say, a PDF.)

Hmmm  I would have thought (but not certain) that the current OS X release 
did not use the file name extension to select the app for opening PDF files. It 
_probably_ looks at the magic bytes just like other UNIX systems.

Which, in the case of PDF files, would be the leading bytes "%PDF-" inside the 
files.

A question though: if you have more than one app available to open a PDF file, 
how does OS X actually select which app to use?

In Windows, there is one default for each extension, but you can override that 
with a right-mouse-click on the file in Explorer, followed by a "Open With ..." 
and then select/specify the app.

Not sure but can check. What I do know is that the file type byte can be 
honored, but you can also set a chosen app for all files of a specific type 
(identified how, one wonders) - but that it is not always 100% foolproof. But 
I'm several OS X versions behind the leading edge anyway.

The user procedure is set the default app for a file is to do a 'get info' on a 
file of the type in question. That displays a dialog that allows you to choose 
the app to open that file when clicked, with an option to extend your choice to 
all files of that type. Or you can just drag the file onto the chosen app's 
icon in the Dock. I cited PDFs because it's probably the file type with most 
launch options on the average professional's Mac: Preview (Apple's default PDF 
reader), Acrobat, Adobe Reader, Illustrator, GraphicConverter (a shareware 
graphic file manipulator), PDFPen, and so on...)

Yup, I use Windows as well. I guess there is no one 'best' way to handle this 
sort of thing, and OS X can be cumbersome in this regard - like, you really 
really don't want Illustrator to open a PDF when you click on it unless you 
*really* want it to, and so on.

Need to get my FM11 styles under control

Hi John

If your system's too pinned down to install a plug-in, AND you know the names 
of all those styles you want rid of, AND you've got a decent text editor, then 
you can do this on bulk MIF files.

It'd pay to search the FM files first to make sure no text is using any of the 
old styles.

Then back up everything

Then convert all your FM files to MIF, open the MIF files in bulk, figure out 
the paragraph catalog lines for your unwanted styles, and use global search and 
replace across all your files to remove those catalog entries.

Did I mention you want to back everything up first?

As others said, Silicon Prairie's Paragraph Tools works well for this. In 
addition, I'd create a new temporary book and add all the Frame files to it 
that you want to convert. This way you only have to set up and run the 
conversion once. 

Paragraph Tools installation is by dropping a .dll file into fminit\Plugins. No 
installer to run.

Here's the ExtendScript I linked to earlier. The DeleteUnused...Fmt
functions would seem to make it pretty simple. You could maybe create
a giant scratch book containing all your .fm files and run the script
once.

Conflicts between extensions were more common in those days. FileMaker
for Windows originally had the same .fm extension as FrameMaker.
