I've had some issues lately with Conditional Text misbehaving, ie, not
appearing and disappearing when and as I tell it to. Usually, if I reboot and
don't open any of my well-used extras, everything behaves reasonably well -
 at least for a while.

Note that I have a lot of Conditional Text as the Chapters (10) and
Appendices (7) of my User Manual book constitute 5 different products (soon
 to be 6).

As for the improperly displaying Conditional Text, these are the types of
 things I experience:
 - certain conditions don't completely Hide when told to
 - a condition left at Show actually hides *some* of it's text
 - when set to Show with Condition Indicators off, some of the text
 remains coloured.

On paper, my system is significantly better than Adobe's FM9 requirements,
however, in January my system will be 5 years old - so the system specs are a
 little misleading.

Anyone have any ideas (either confirming my suspicions about system
age/quality or about something else altogether)?

  Heading1

  Heading3

  ChapTitle
  Heading 1
  Heading 2

Is there a utility where I could say:

  Change Heading1 to ChapTitle
  Change Heading2 to Heading 1
  Change Heading3 to Heading 2

I'm guessing you're on Win XP (because I'm not sure IE 6 is compatible

Upgrading FrameMaker - XP (was IE) Service Pack ?

2010-04-08 Thread Huntley Eshenroder
There is definitely an issue with XP SP3 and Frame 7.2 with regards to
embedded OLE objects. If you use embedded OLE, you will have problems.
This is not an issue with Frame 9.

Re: Special character as bullet

2010-04-02 Thread Huntley Eshenroder
You are on the right track. Create a character format for Dingbats and
apply it to the beginning your bullet paragraph format. After the
bullet, add the Default Paragraph character format to turn the font
back to whatever is specified for the paragraph.

Another way to set up bullets involves taking advantage of the
character formatting that's available. You can, for example create a
character format that applies Zapf Dingbats or Wingdings font, and then
use one of the dingbats or wingdings to make a special bullet (such as
 diamonds or pointing hands).

This is exactly what I want to do! Unfortunately, the paragraph ends
there and doesn't explain how to do it. :-(

I have the Character_Sets.pdf file open from my Online Manuals
directory, and it looks like the pointing hand is the dingbats graphic
for Hex code \x2b. (If, that is, I'm reading this right, which may not
be the case.) But that's also the hex code for the plus sign. I can
create a bullet that uses that plus sign, but I don't know how to make
the jump to the pointing hand.

I guess I could create a character style for dingbats and manually type
the character for the pointing hand ... but then I would need to change
the font manually (I think) for the rest of the text.

My question: How do I create a paragraph style that will make the hand
appear as a bullet, but will allow me to type any additional text in my
usual font (in this case, Times New Roman)?

I'm sure I could figure this out eventually, but it's Friday and my
brain is fried ... and I really want to get this format in place before
 I leave today.

Thanks so much for your help.

Re: [framemaker-dita] ZapfDingbats error message but ZD not used in files

select Adobe PDF as the default printer, does the message still

 message:

The ZapfDingbats Font is not available. Times New Roman will be used in this
 session.

She does not have and never has had ZapfDingbats, on this or her previous
machine. Using the same template, Distiller settings, etc., I cannot
reproduce this problem on my machine (I do not have ZD either). I have saved
the file as MIF and searched for ZD. I've looked everywhere else I can think
of for any possible relic of ZD, to no avail.

The message appears for some files but not for others. It appears only in
Frame 9. She does not get the message when creating PDFs in Frame 7.

Seems I have read about this before but cannot find the thread now. Can
 anyone shed light?

 Thanks,

Re: Page Numbering Problem

You are likely to get better answers from others on the list but one
thing to check is that there aren't extra paragraph markers after the
last paragraph that are causing Frame to generate an extra page.

What am is doing wrong or what do I need to do? The problem I am having is
that FM now adds a blank page no matter what settings I use and I can't
figure out why. The only change from the previous version is that the
chapter now has two pages instead of one, but FM insists on adding a third
page. I compared this version's settings with the previous version. They are
the same. I also compared the settings for the upstream and downstream
chapters. They are also the same. I've also compared the books' settings --
Ditto. The book settings are as follows:

 Under Format/Page Layout/Pagination
 - Double Sided (I have left and right master pages)
 - Left Side (the chapter should begin on the left page)
 - Delete Empty Pages

 Under Format/Document/Numbering/Page
 - Continue Numbering from Previous Page in Book

This chapter should be pages 18-19. When I renumber the book, Frame adds a
blank page 20 and changes the Pagination to Make Page Count Odd.

The settings are the identical for the chapter. I also checked the upstream
and downstream chapters. They are set up the same way.

Any thoughts? (I am nearly to my wit's end with this problem.)

Re: Conditional Text Issue

2010-01-22 Thread Huntley Eshenroder
There are several different approaches, these are a few of my favorites:

   - if chapter-level content stays together, you can create different book
files for each UM or QG and insert the relevant files as necessary

   - a more granular approach is to use text-insets; create text-insets for
content that is used in more than one place. insert the text-inset
 by reference where necessary

Caveat: I've only been using FM for about 6 or 7 months and I am a
 documentation department of 1.

We've just released our first User Manuals (UMs) in FrameMaker.

Before applying any conditions, I had an up front discussion with my boss and
his boss about deciding on conditions BEFORE implementation as it is a lot
more work to monkey around with them later. We decided that we would combine
four UMs in one. Creating conditions for these options was not difficult and
management was extremely happy they got four manuals in the time it would
normally take to write 1-1/2 in MS Word.

Now however, the powers that be have decided that we also want to create
Quick Guides (QG) from the same content. The 4 UMs run between 356 and 424
pages with at least 75% of the content shared between all 4. The thinking is
that the QGs would be about 50 pages each - a decision reached arbitrarily
rather than based on what should be included!

I can create new books using the some of same files (the 7 Appendices would
likely not have any QG content which eliminates 73-93 pages of content), but
I really don't want to have to conditionalize every bit of content in every
chapter in order to include only QG material in the QGs. With 75% content
reuse between UMs that's a lot of text to deal with and a maintenance
 headache.

Is my logic screwy or am I looking at this problem correctly?

Is there a way to spit out a conditional manual that ignores all
unconditionalized text and only gives you the text you conditionalize?

If anyone has any suggestions on the approach I should take, I would be very
 grateful.

Ridder or John Posada or Richard Combs - one of you FM gurus out there!) I
remember something about the list appearing in the bottom tray of the FM
window and you used this keyboard command to scroll through the list
onscreen and select the one that you want - does this even sound close or
 right to what I remember?

Anyway, if y'all have the answer, it would be much appreciated.

Keyboard shortcut control for inserting a variable?

2010-01-21 Thread Huntley Eshenroder
You can also try EZVars, which provides a non-modal dialog box for
inserting variales. It isn't free, but it is cheap and EZ.

Don't remember the shortcut off the top of my head.

Nope. Cross-references don't work in, under, over, or between text
insets. You've answered your own question. Just prior to final
production, convert text-insets to text, generate, and produce. Do not
save the book or you lose insetability.

times (yep, lots and lots and LOTS of duplication). One inset is used
28 times, another is used only once. The rest vary in number of
 usages.

Many of these text insets contain cross-references to locations within
 the same text inset.

The text inset source document is NOT in the same directory as the
container document, although it is close by.

When I import by reference into the document and regenerate to update
the TOC and the cross-references, I get multiple unresolved
cross-reference errors from the document with all the text insets. The
cross-references are also not updating properly. Within the inset, the
step is number 2, but within the container document, it should be
 number 3.

I know there are issues with cross-references and text insets, but I
thought that was when you were trying to use a cross-reference from
the container document to something within the inset, or from within
the inset to something in the container document. These are from the
inset to another location in the same inset.

I can, if necessary, convert all the insets to text and regenerate
just prior to creating the final PDF, but obviously I'd rather avoid
 that.

Can anyone help me resolve these cross-references?

manually use where I need it.

So far, so good! But ... the problem arises when I change a paragraph
from Body to Note, I have to run around and find all the Emphasis
text and change it to EmpBody. Sigh ...

My question: is there any way in FM8 to define *ONE* Character format
called Emphasis such that it makes the emphasized text be Italic when
the underlying default font is Regular, and vice-versa? Then I could use
a single Character format and not worry about this issue after making
 this kind of paragraph change!

question regarding Adobe FrameMaker license

person. The rest our group is running 7.2 and the new hire would be
running 8.0. Because this person is not an experienced Frame user, we
would prefer to purchase Frame 8, transfer the the license to someone
in the US and give the new hire 7.2. This will help us troubleshoot
any problems, etc because we have our current setup well documented.

In the past, it seemed that we could not transfer licenses
internationally. Is this still true?

How do I turn off the link

2007-12-13 Thread Huntley Eshenroder
For strings like this, we don't want them active at all. We can't distribute
the PDF in a way where this link isn't active. We would have to ask users to
disable this "feature" in the Reader.

Re: Character formatting in run head variables

2007-12-10 Thread Huntley Eshenroder
You need to embed the character formats into the variable definition. For
example:

EmphasisText goes hereDefault font

It is good practice to include the Default font character format where you
want the formatting to end, this enables you to embed multiple formats
within a variable definition and keeps it from bleeding beyond the variable
and into the following text.

Specifically, in certain Heading 1s we use a homemade character

selectively italicize some letters, such as the ax in ax User ID.

The system variable H/F 2 does not pick up either one of them from an
H1. Likewise, when a custom user variable containing the italic is used
as running head, it loses the italic.

Any suggestions about how to present these character formats in a
 running head?

number of characters in a Running H/F variable?

2007-10-17 Thread Huntley Eshenroder
Hi,

Does anybody know the limit on the number of characters for a Running H/F
variable? I am guessing 255 or 256 as I think I've encountered it. Also, is
it purely a display problem or is that the effective lenghth of the
variable?

Thanks,

There *is* a size limit for explicitly defined user variables (255
 characters in
the definition, including any formatting building blocks), but I'm not
 sure
that the limit applies to reference-based system variables. I just created

a test document, with a 12-line paragraph referenced by the Running H/F
variable, and Frame picked up all of the paragraph's text in the header
(as soon as I made the header frame large enough to display all of it).

I think the only way you might run afoul of the size limit for variables
in the case of system variables is in the *definition* of the variable.
For example, if you have a Running H/F variable that uses the $paratext
building block with a list of a dozen or so paragraph tags, each of
which has a fairly long tag name, you could exceed 255 characters
*in the defintion*. But the length of the referenced content doesn't
 seem to matter.

Re: visio fonts don't show in FM

2007-06-22 Thread Huntley Eshenroder

Generating a good PDF from Visio is tricky. Dov provided the magic recipe
sometime back. It should be in the archives. If my memory is correct (ha!),
you need to do the following:

- Print your Visio file to Postscript using the Adobe PDF driver.
- Ensure that the fonts are sent to the Adobe PDF printer (this is
typically off I believe)
- Distill Postscript to PDF
- Crop
- Import
- Wave dead chicken over Visio

I realize that FM is not reading the fonts correctly. Is there a way to
fix this?

I need the words in the figures to be searchable. The symbols don't have
to be searchable, and if I must I will create some type of drawing of
the symbol and insert it as a pic. But, I would rather save myself this
extra effort. If any of you can tell me what make FM tick and tell me
how to fix this problem.

I'm running FM 7.2 on Windows XP.

Thanks,

Re: List of unused User Variables?

2006-11-23 Thread Huntley Eshenroder

We use both, so I'll take a shot:

- BookVars operates on books, not files.
- BookVars is excellent for defining, updating, deleting, renaming
variables book-wide (can create groups of variables
which is very nice so that you can import a group of variables)
- EZVars is very nice for applying variables to a document

I don't know about John's workflow, but I use BookVars to get variables into
the document and then use EZVars to apply additional variables throughout
the doc. When I'm done, I use BookVars to delete unused variables (also
useful for making the list of variables
in EZVars shorter for less scrolling).

I think they complement each other nicely.

Same here! I bought a copy of this pretty much immediately after

Not only will it remove unused variables, but will allow you to
deploy new variables and rename variable names or definitions in
 batch mode.

How do I get TOC styles to appear in Setup Table ofContents"Include Paragraphs Tagged"

2006-07-19 Thread Huntley Eshenroder
Joe,

We are converting a bunch of books from one template to another. We don't
want to manually specify the paragraphs formats that are included in the TOC
for each book by moving them around in the Set Up Table of Contents dialog.
This information is *not* pulled in by importing styles from a template. As
far as we've seen, Karen's method is the only one that works.

Sorta defeats the purpose of a TOC template.
