Re: Podling Press Kit

Hi everyone --regarding the standard Apache Incubator logo (rectangular)
vs. standalone "Powered By", there often are projects/podlings that do
not have logos.


This would be a good way to promote such projects. 



I suspect it won't be *widely* used, but the option is good to have.



Another way to use the standalone "Powered By" logo is in presentations,
etc. Folks often like to make stickers of their "Powered By" logos --we
can do the same with the Incubator.


Speaking of stickers, although we missed the deadline for the group
order ,I can have Incubator stickers if you'd like. Do let me know.

graduation.
Would it be possible to include a line item somewhere on 
http://incubator.apache.org/guides/graduation.html along the lines of:

I ask because we need enough time to prepare press releases, getting 
testimonials, editing/review process, etc. And example of a TLP press release

Too often what's happening is that once the submission request to the Board 
goes out, the podling starts tweeting that they're graduating 
(incorrect/inappropriate). Or that they're up for graduation (OK, but iffy).
When the Board passes the resolution, everyone tweets. OK, fine, it's time to 
celebrate.

Then the project comes to me saying "oops: we need press..." and I wind up 
scrambling to get everything done in a timely manner so that the press release 
doesn't happen weeks after the Board passes the resolution (= no longer "news").
The past several press releases that have gone out are a result of me seeing

Hi everyone --I set up a test account and tried to do a submission.
It worked, but is non-intuitive for someone such as myself who is unfamiliar 
with JIRA (well, I know what it is, but don't use it in my day-to-day work).
I'd like to combine the draft call that I created in October with the 
instructions that John wrote so all will reside on the final page at 
incubator.apach
 
e.org. Adjustments to the copy will be needed to ensure that what we're asking 
folks to do will match the JIRA upload experience. For example, I had 
originally written that we'd like submissions in both .pdf and .jpg formats. I 
don't know if we can upload multiple images on a single "issue" ... so things 
like this need to get sorted out. Also, who gets notified when an issue is 
created (as I'm supposed to be emailing folks confirming receipt of their 
submissions). etc.
As such, I'll need a bit of time to work through this (and update the 
schedule). I'm aiming to get this done today.
Please let me know if there are any problems/issues/concerns with my proposal 
above.

It worked, but is non-intuitive for someone such as myself who is unfamiliar 
with JIRA (well, I know what it is, but don't use it in my day-to-day work).
I'd like to combine the draft call that I created in October with the 
instructions that John wrote so all will reside on the final page at 
incubator.apach
 
e.org. Adjustments to the copy will be needed to ensure that what we're asking 
folks to do will match the JIRA upload experience. For example, I had 
originally written that we'd like submissions in both .pdf and .jpg formats. I 
don't know if we can upload multiple images on a single "issue" ... so things 
like this need to get sorted out. Also, who gets notified when an issue is 
created (as I'm supposed to be emailing folks confirming receipt of their 
submissions). etc.
As such, I'll need a bit of time to work through this (and update the 
schedule). I'm aiming to get this done today.

Regarding voting/selection, my intent was for the general public let us know 
what their favorite(s) were, then the Incubator PMC (or a subset/committee) 
would decide on the final direction. Similar to how we did the ASF logo (Member 
review/feedback, followed by selection).
Does that make sense? Would you prefer something else?

Changing the form layout is fine.  I agree, having all of those extra fields 
isn't useful, and to be honest, they're not useful to the incubator in general. 
 So I just put in a ticket to get them removed from the create issue form.  
I've asked to see if they can put file attachments on the create form, since 
that would simplify things.
Funny that you mention STeVe since Daniel was asking about it as well.  I 
thought we were doing a selection committee instead of a community vote?

I'm OK with the process because this is what we have, and I don't want to spend 
more time developing something that a) will be used for a limited time; and b) 
lies outside our core needs. So I think we should be clear(er) with the 
instructions --for example, "instance" was confusing to me until I got to the 
page. Also, we have fields that are not required for the submission but can be 
disorienting. Stating something along the lines of "ignore this section" would 
help :-)
I'll try to upload additional graphics just to test.
I originally had .pdf and .jpg in the call. If we want to swap .jpg with .png, 
that's fine.
What else is needed? Have I forgotten anything?

You should be able to upload multiple files, just one file at a time.  Newer 
versions of JIRA allow multiple at once.

Thanks, John. Apologies for the top-posting but my email client awful. Even 
more so with the latest "upgrades" ;-\
OK. Onto business:
I'm OK with the process because this is what we have, and I don't want to spend 
more time developing something that a) will be used for a limited time; and b) 
lies outside our core needs. So I think we should be clear(er) with the 
instructions --for example, "instance" was confusing to me until I got to the 
page. Also, we have fields that are not required for the submission but can be 
disorienting. Stating something along the lines of "ignore this section" would 
help :-)
I'll try to upload additional graphics just to test.
I originally had .pdf and .jpg in the call. If we want to swap .jpg with .png, 
that's fine.
What else is needed? Have I forgotten anything?

You should be able to upload multiple files, just one file at a time.  Newer 
versions of JIRA allow multiple at once.

general@ list.  We can request infra to update the notification to also go out 
to the creator.
I'd recommend we look for the submissions in PDF and PNG, but that's based on 
my own knowledge.   

As such, I'll need a bit of time to work through this (and update the 
schedule). I'm aiming to get this done today.
Please let me know if there are any problems/issues/concerns with my proposal 
above.

That is correct: we did issue a very brief blog post when Groovy was submitted 
to the Incubator, primarily to explain what incubation meant.

There are two other occasions where this had happened: the first was for 
Subversion five years ago; the other was OpenOffice. Again, done in the rare 
instances where a well-established technology and community are coming to the 
ASF.

I think having a Twitter handle for incubating projects would be great. 
Personally I prefer @ApacheIncubator, but that's clearly not a show-stopper.

I appreciate you including us in the dialogue!

If I am not mistaken, we don't promote incubator releases, etc. from

We --ASF Marketing  Publicity-- are happy to work with any (P)PMC on a 
project's publicity once the project has graduated from the Incubator.

We can issue a press release to announce the graduation --similar to [1], [2], 
and [3]. Once you're a TLP, we can also help announce major project milestones 
in a press release [4] or media alert [5] and [6], as well as advise on 
technical fact sheets [7] or The ASF Asks: Have You Met Apache [Projectname]? 
-type of birth announcements [8] that provide further technical details.


All official ASF announcements are published on an international news wire 
service, and also posted on the ASF Foundation Blog and @TheASF Twitter feed.


Whilst projects are prohibited from issuing any formal announcements (over a 
newswire) whilst undergoing incubation, we strongly encourage your contributors 
to blog about the project, as well as publish updates on mailing lists, speak 
at conferences, hold meetups/barcamps/user groups, and engage the community in 
other ways to build interest.

You are more than welcome to request blogging credentials from the ASF 
Infrastructure team to post to https://blogs.apache.org/ --I recommend you 
consider asking that they establish a project-specific sub-directory (such as 
http://blogs.apache.org/OOo/ ) so you have a dedicated space for your project.

I also recommend you establish your own Twitter feed for the project and use 
the @TheASF, #Apache, and #OpenSource tags (among others) where appropriate 
--lots of folks follow these and help spread the word.

As for mailing lists, we have lots of technical journalists follow the 
annou...@apache.org list as well as the public Incubator archives (at times I 
receive media queries about projects I wasn't even aware were submitted for 
incubation!)

And I strongly suggest that we lean on friends, employers, users, and partners 
to help spread the word. There's a company that issues a press announcement 
(mostly blogs) with every single release made in the project that their 
products heavily rely on, with formal press releases issued as attaboys to 
reinforce the ASF news. That project gains lots of visibility through someone 
else's resources. Similar instances exist with outreach events, such as 
workshops, trainings, and BoFs at conferences.

I *always* push for testimonials, use cases, and highly-visible 
implementations, both in our press releases [9], [10] as well as project 
Websites [11] --as you can imagine, not only does this give members of the 
press/analyst community the answer to who uses you?, it also proves to other 
possible users that the project is viable, credible, and reliable.

Reminder for soon-to-graduate Podlings

Hello Incubator team:

A quick heads-up that those projects preparing to graduate from the Incubator 
have an opportunity to issue a press release or related statement (such as a 
blog post) aimed at members of the media and analyst community.

Those who are interested in taking advantage of this chance need to know the 
following:

1) the Marketing  Publicity team need at least 2 weeks to issue a press 
release;

2) the best days of the week to distribute such announcements are, in order: 
Tuesdays, Mondays, Wednesdays;

3) if you have a robust user community, it is a good idea to obtain supporting 
quotes or testimonials, particularly from those who are highly-visible or 
deployed on a large scale
