Just sayin'  If you imported your data into GnuCash 4.12 a month ago, then
you only need to open that data file and import a months' data into GnuCash
4.13, not the whole thing.

This can be achieved by just copying the *.gnucash file to your external 
storage device.  GnuCash *already* makes backup copies of its datafile, in the 
directory (folder) where the datafile lives.

I think the QIF file is fine.
I was able to import it into Moneyspire and Acemoney just now
I was able to import a similar file (exported from Moneydance) into GnuCash
less than a month ago.

Yes, but it's over a month old. I was able to import a QIF file from the
same source, Moneydance.
Now, I'm trying the same process again with a more recent version.

You say "simple", but it would be complex to create some backup software
that would do what you want but also do the many things that other
people want. And it would have to work on both Macs and Windows PCs,
which would be pretty hard.

This is why backup programs are a class by themselves -- different
people choose the one that suits their needs.

Your concern about losing your data if your computer crashes is quite
reasonable. But surely your GnuCash data file is not the only thing you
would hate to lose? If you're like most people, you have other precious
records on your computer. The best approach is to look at backup
programs and choose a good one, then let it back up your GnuCash data
among all your other data.

On the other hand, if truly the only thing you care about is backing up
your GnuCash data, surely it's pretty easy to plug in the USB stick,
open File Manager (or whatever the Mac calls it), and drag your GnuCash
data file to the USB stick.

one step further and copy or sync the folder to a different storage device

I agree.

I have three backup systems for my computer:

• I have an external disk attached to it and set up MacOS Time Machine to 
backup to that disk.
• I pay a cloud company to backup my computer (Currently CrashPlan/Code42 but I 
have thought about switching to BackBlaze).
• And I use SuperDuper! to make a clone of my computer every few days 
alternating between two different disks.

The different systems provide protection against different types of failures 
(disk crash, theft, fire, ransom encryption, cloud company failure, mistaken 
deletion of files). I feel all are necessary. But at least one is an absolute 
necessity for anyone who has any data they care about keeping.

A few years ago, over the space of a few weeks I had failures in almost all of 
these systems for different reasons. Fortunately the failures did not all occur 
at the same time, so I did not lose any data although some of the organization 
of old emails was lost so they would be hard to find.

All your data is stored in a single file with the extension.gnucash. You
just need to back that one file, which you might call accounts.gnucash.

It would be more complicated if you used an external database, but I assume
that you are not, because that’s not the default behaviour, and it would
require the installation of other software.

So no backup tool is needed. In fact, the program makes regular backups in
the same directory.

This kind of thing is generally your responsibility. I can't think of a 
single bit of software I use for work - be it CAD, document writing, 
spreadsheet, or whatever - that does backup of my data for me. That task 
is on me, and rightly so. The time my computer suffered a complete 
crash, the data lost was my fault. Set yourself up a nice automated 
backup for your data (like Time Machine on MacOS).

On my live setup rounding happens for all currencies, including the default 
currency. That is the problem for which I started this thread in the beginning. 
In addition, this rounding leads to discrepancies in payment processing.

I went ahead and created a Yen A/R account under the default A/R account. I 
then added an invoice for your Yen based Customer 1, with a value of 236.78. 
The value of this invoice is rounded up in the totals and the A/R Aging report. 
On the other hand, values of the dollar-based customers are not affected. 
I also added an invoice to a dollar client. No rounding or discrepancies 
exhibited in this case.
This is closer to the behavior of my actual live setup, except that in my setup 
rounding happens for all clients, including dollar clients.
The resulting test .gnucash file is attached for your perusal.

Thanks. I opened the file you sent and saw the new customer with the new 
invoice you created, which seems to be empty. 

I think the problems begin when an invoice with an amount is created. In this 
case, GC will require an A/R account with the same currency as the customer. 
That is when discrepancies begin to appear.

I have a question before I proceed with adding test invoices. In my original 
live setup, I have the non-dollar A/R accounts as children of the dollar 
(default) A/R account, so that the parent account always shows the total A/R 
amount.

• My question is whether this is the correct setup, and if not, where should 
the A/R accounts for the secondary currencies be placed?

invoices were also USD, but rounding still occurs for them.

 

Can you elaborate on what you mean by “a customer currency with no fractions”?

Amar,

Please use "Reply All" to keep the conversation on the mailing list
so other users can chip in and help.  I rarely use any importers and are
just offering suggestions that may or may not help :-)  See John Ralls's
reply which is probably more germane than mine.  To me it looks like your
file is rubbish - are you sure it's a QIF file ?  Or as John suggested have
you actually selected a file ?

I looked at the trading accounts, but was a bit put off. When I googled the
term, there seemed to be quite different interpretations, and all confused
me. I felt I was going out of my comfort zone.

In this case there generally is no need to have an account in another currency.
If you can record all you need by adding a note that the orignal
deposit/withdrawal was so much of another currency at the exchange rate valid at
the time.
 
When I was last travelling on holidays I had a debit card whose balance was
recorded in another currency (SGD) and transactions recorded with it were made
in that currency so it made sense to set up accounts in that currency and record
the transfers from my bank account to itand back when I returned.

When I was working my business credit card was in AUD but I could use it in most
countries around the world and did. The bank did the conversions, added fees etc
so I had no need to maintain accounts for transactions in other currencies I
just recorded my expenses in AUD, usually with a note about the cost in the
original currency (mainly because some were refundable by my employer and I had
to provide receipts and match them to the AUD amounts i was claiming).

When setting up an account structure, I always ask myself what information is it
recording and for what purpose and in what form do I need that information. That
usually sorts out whether I need a specific account or not.

I just downloaded version 4.13 and am trying to import my QIF history. I go
through the import process and it seems to be working fine, but when I get
to the step where it asks if I want to load another file or continue (with
"Next"), I find "Next" grayed out and none of the clickable buttons work.
Any ideas why this is happening?
I was able to load QIF files in the past from the same source in earlier
attempts to use Gnu Cash.

Hmm.  You could always do what the electronics mags of the 70s and 80s did and 
use R rather than Omega for ohms so a 68 ohm resistor would be in the 
parts list as 68R or a 1000 ohm would read as 1k or 1kR... just a thought!

PS, I thought that Ohms was capital Omega, and lower case omega (looking a 
little like a curvy w) was to do with frequencies in resonant circuits or 
angular / rotational mechanics  (there's a 2 -Pi-f ringing a distant bell in 
my brain)?  But that learning is very dusty now, and this is certainly off 
topic for a GC list!

I am neither an accountant nor particularly expert at GnuCash, though I've used 
it for a dozen years or so. But if I understand what you are saying it sounds 
crazy to me.

I have several bank accounts in USD and several in MXN. I have one account in 
Gnucash for each bank account and the currency is set to whatever currency is 
appropriate. Transactions generally occur with both sides in the same currency. 
The only exceptions are when I transfer money from a bank account in USD to a 
bank account in MXN or visa versa. Then the two sides of the transactions are 
in different currencies and GnuCash asks me about the conversion rate. Or when 
I use an ATM in one country to withdraw cash from a bank in another country. 
This happens mostly when traveling.

You certainly do not need to have multiple Gnucash accounts for a single bank 
account to deal with currency exchanges. Just set the Gnucash bank account to 
GBP and have expense accounts in the other currencies as needed. GnuCash will 
deal with transactions that involve two currencies.

Okay, I will leave the Greek characters when I see them.  It looks a bit
nicer if I send a customer an invoice with the Greek omega symbol, rather
than write ohm. (The electrical resistance of something is expressed in
ohms, and denoted by a lowercase omega.)

You definitely do.  You can't post a USD transaction to a GBP Accounts
Payable.

The default choice is automatic. GnuCash definitely does give one a list of
Account Receivables to choose from, but only in the correct currency. But
I'll drop the PayPal, Bank and eBay specific ones.

this is the behaviour i also observerd, so the rounding is controlled by the 
currency of the customer. so probably you can try a new customer in your 
existing install and check

Hello Murugan,
I went ahead and created a Yen A/R account under the default A/R account. I 
then added an invoice for your Yen based Customer 1, with a value of 236.78. 
The value of this invoice is rounded up in the totals and the A/R Aging report. 
On the other hand, values of the dollar-based customers are not affected.
I also added an invoice to a dollar client. No rounding or discrepancies 
exhibited in this case.
This is closer to the behavior of my actual live setup, except that in my setup 
rounding happens for all clients, including dollar clients.
The resulting test .gnucash file is attached for your perusal.

Thanks. I opened the file you sent and saw the new customer with the new 
invoice you created, which seems to be empty.

I think the problems begin when an invoice with an amount is created. In this 
case, GC will require an A/R account with the same currency as the customer. 
That is when discrepancies begin to appear.

I have a question before I proceed with adding test invoices. In my original 
live setup, I have the non-dollar A/R accounts as children of the dollar 
(default) A/R account, so that the parent account always shows the total A/R 
amount.

• My question is whether this is the correct setup, and if not, where should 
the A/R accounts for the secondary currencies be placed?

i have created a customer called customer 1 with their currency as Yen.  i have 
created a invoice also for your reference. you can try creating new invoices 
with franctions for them and you can see the rounding

I did lookup a number of customers, each of which had a USD currency, and their 
invoices were also USD, but rounding still occurs for them.



Can you elaborate on what you mean by “a customer currency with no fractions”?

The rounding occurs based on the customer currency , so if your base currency 
and customer currency are USD , it will not have any problem , but in case you 
have a customer currency with no fractions , even when you create USD invoice 
it will round it ,



Can you look up one customer and tell me the currency of the customer and 
invoice currency

checked a number of invoices and found that the currency for the invoice was 
consistent with that of the customer.



Please note the reply to David Kirkby that I sent to the list. I created a 
minimal test .gnucash file with only one currency and tried a number of 
experiments with it. This did not exhibit the problem. This of course is much 
simpler than my real setup where I have clients with different currencies, and 
also bank accounts with different currencies.

1.  find customer
2.  view/edit
3.  Billing information
4.  What currency is being shown in this .

i was able to recreate the issue in a test file and i think this could be the 
issue.
