a. yes, KUMC has an SOP for de-id clinical notes; we presented our adjudication 
process, a REDCap based regulatory review 
process
  at 
HackathonFour.
 The software we use to do the scrubbing is developed in collaboration with MCW:

b. yes, we make encounter, provider info available. I forget the rules for 
provider, but it's somewhere in our data request 
process,
 I'm pretty sure.

c. Yes, certain types of clinical notes are not made available; those that have 
not made it thru adjudication.

d. outside researchers... I'm not sure if that has happened, but I suppose our 
normal processes would accommodate it. The usual thing is to have a 
collaborator at KUMC.

A researcher at UIOWA is interested in knowing whether any GPC sites currently 
provide de-identified clinical notes to researchers.  The broad aim is to link 
clinical notes to other GPC data for a proposal on chemotherapy among 
overweight / obese patients with cancer to assess reasons for chemo dose 
variations.



Can sites please weigh in as to whether de-identified clinical notes are ever 
provided to researchers?



If so, answers to any/all of the following would be great to know:

  1.  Does your site use any standard processes to de-d clinical notes?  If so, 
can you please describe?
  2.  Are other attributes like provider, encounter info, etc. available along 
with the actual notes?
  3.  Are certain types of clinical notes not captured or not made available to 
researchers (e.g., phone consults that do not result in a provider referral, 
etc.)?
  4.  Have de-id notes ever been shared with outside researchers (i.e., 
researchers not currently affiliated with your site)?

Rough draft statement of work for COVID CDM work

Hi Dan,
As mentioned I’ll miss gpc-dev tomorrow due to the ACTS board meeting.

But, Tom Carton and the Steering Committee have been working hard at the 
request of PCORI to develop a statement of work for our COVID surveillance 
efforts so they could contract/pay us for this work.

Sharing the draft with the comment that it’s final form and budget are in flux 
but very relevant for gpc-dev discussion; especially regarding data elements..
