It is quite difficult to give step-by-step instructions as there are so many 
variables.  Considerations include the type of source file being used, whether 
or not you are going to type in the information directly on the label, etc.  
Below my signature block in this message are steps I put together for a client 
a couple years ago.  The source file is an Excel worksheet we used with the 
following column titles:  Title, Last Name, First name, Address, City, State, 
Zip.  Let me know if you want me to send you this example Excel source file for 
practice.

Mail Merge for Labels in Word 2013


 

1.   Start with a blank document.

2.   Go under Mailings tab using Alt with M.

3.   Tab to the start mail merge submenu and use spacebar.  You can also 
just click on that choice with the mouse.

4.   Arrow down to labels and press spacebar or click on the labels menu 
item.

5.   Pick the label vendor such as "Avery US letter" and pick the number of 
the label to be used.

6.   For example, if you pick Avery US letter and then tab to the list of 
numbers you can scroll up or down the list of numbers using the mouse or by 
using up arrow, down arrow, page up or page down keys until focus is on the 
number to be used.  I am choosing Avery US letter with 5160 as the number.  
This is an easy peel label.  If I tab to the Details button and press spacebar 
I can find the label size, number of columns across the sheet and number of 
rows down the sheet.  Label height and width and other details are also shown.

7.   After checking details use OK button.

8.   If you didn't use the Details dialog then tab to the OK button and use 
spacebar.  Do the same if you have already used the OK button in the Details 
dialog.

9.   Agree to let Word remove existing information from document by using 
OK.

10.   Go back under mailings tab.

11.   Click on the "select recipients" submenu.

12.   Choose "use an existing list" 

13.   In the "select data source" dialog browse to the source file that 
contains the records to be merged to labels.  In our practice it is "Test for 
Mail Merge from Excel."  You need to browse to the folder that contains this 
file and then click on the file name to open it.

14.   A list of tables and worksheets in the workbook appears.  In our case we 
want to select sheet 1.  Use down arrow key to make the choice.  

15.   Make sure in this dialog box that "First row of data contains column 
headers" is checked.  

16.   After selecting sheet1 and making sure that check box is checked (because 
our first row does contain column headers), use the OK button.

17.   If you want to edit the recipients list then choose that button under the 
mailings tab.  This will let you sort, filter, find duplicates, etc.  
For example, in the sort dialog you can choose which field to sort by first and 
what a secondary field will be for sorting.  You can also choose whether 
records are sorted in ascending or descending order for first or secondary 
sorting.

18.   If you use this dialog then when done making choices use the OK button.

19.   Use OK again if necessary.

20.   You can now insert your fields the way you want them.  The fields only 
need to be set up in the first label and Word will fill the other labels in 
according to the way you have the fields in this first label.  You insert a 
field at a time by going under the mailing tab and using the “insert merge 
field” button.  Remember to format the label exactly as you want all labels to 
appear.  If you insert a merge field for title, then after inserting the field 
you will want to use a space before inserting the first name or last name 
field.  Before inserting the address field you will want to use the enter key 
to start a new line.  After the address field is inserted use enter key to move 
to a new line.  Immediately after the city field use a comma and a space before 
inserting the state field.  Use one or 2 spaces after the state field before 
inserting the zip code field.

21.   When the last field is entered go back under mailings tab and use the 
Update Labels button.

22.   Go back under Mailings tab and use the Finish and Merge drop-down list.

23.   You can print the labels by choosing "print documents" from the list of 
options that appear, send email messages or edit individual documents.  Choose 
to edit individual documents.  

24.   Choose the "All" radio button in the resulting dialog box and use the OK 
button.

 

The above steps should complete the merge and the document should show all 
labels filled in from the source information.  You can print the document using 
a sheet of labels and labels should be filled in correctly.  If you choose to 
print labels instead of editing the existing document then the Print dialog 
appears and you can print the sheet directly.

Insert-6 also opens the settings center in Outlook 2010. Ed, are we
referring to the same thing when we say "number row"? This is the row of
numbers above the letters. How about insert-2 on the number row, which
cycles through speaking by words, characters, etc.?

The Insert + 6 keystroke works anywhere on my desktop computer no matter
what program I'm in, or not in.  Running Windows 7 Pro & Office 2010, but I
don't run Outlook, I run Outlook Express, but Insert + 6 works in Excel,
Power Point, & Word, as well as everywhere else.

Hi Mike,
I had a word document open and the insert + 6 on the number row did not
work. This key combination did not work in Outlook 2010 either. I had to go
to insert + F2 to get to the settings center. The only time the insert + 6
worked was on the desktop. Is that the way it worked on your pc?

Sorry about that!  The keystroke is, Insert / Jaws Key + 6, on the number
row above the main keyboard.  The Settings Center can also be accessed by
pressing, Insert / Jaws key + F2, to open the list of Jaws managers,
navigating by 1st letter navigation to, Settings Center, or by arrowing to,
Settings Center, & pressing enter.

If you want nothing said instead of blank in all applications try the
following:

1. Open the Settings Center, press, control, shift, + D, to open Settings
Center default all applications.
2. Arrow down to, punctuation closed..., right arrow to open, down arrow to,
customize punctuation, & press the spacebar to open.  Make sure you
press the spacebar to open & not enter. Pressing enter will close the
Settings Center.

Hi Kathy, this means if you are using a W-10 computer, you need to update all 
the Freedom Scientific products on it before April eleventh. The new creators 
update will start installing on all W-10 computers starting on the eleventh. So 
Jaws 18, is already updated for this Creators update as of the February update 
to Jaws. But if you have Jaws 16 or Jaws 17 installed on your W-10 computer, 
they must be updated before the Creators update to work correctly on your 
machine. I hope this helps explain it to you a little better. Smiles.

Insert-6 also opens the settings center in Outlook 2010. Ed, are we referring 
to the same thing when we say "number row"? This is the row of numbers above 
the letters. How about insert-2 on the number row, which cycles through 
speaking by words, characters, etc.?

The Insert + 6 keystroke works anywhere on my desktop computer no matter what 
program I'm in, or not in.  Running Windows 7 Pro & Office 2010, but I don't 
run Outlook, I run Outlook Express, but Insert + 6 works in Excel, Power Point, 
& Word, as well as everywhere else.

I had a word document open and the insert + 6 on the number row did not work. 
This key combination did not work in Outlook 2010 either. I had to go to insert 
+ F2 to get to the settings center. The only time the insert + 6 worked was on 
the desktop. Is that the way it worked on your pc?

Sorry about that!  The keystroke is, Insert / Jaws Key + 6, on the number row 
above the main keyboard.  The Settings Center can also be accessed by pressing, 
Insert / Jaws key + F2, to open the list of Jaws managers, navigating by 1st 
letter navigation to, Settings Center, or by arrowing to, Settings Center, & 
pressing enter.

JAWS 19 won't come out until next fall, at the earliest. I've been using

Jaws has crashed for me in similar fashion off and one since 18 came out in
August and only way some times to make things work right is to push the
button on the computer.  That said, I also had similar problems occasionally
but not as often in 16 and 17.  Windows 7 and 10.  Usually I have Outlook
2010 open along with other apps such as IE sometimes have not reopened
outlook when this happens.  

No pattern to it that I can detect, just assumed it was virus scanner one I
can't read well with any Jaws cursors but which I removed once and had
horrible problems including a useless computer.  Now I just try to ignore
it.  

In truth had this happen in all versions of Jaws from 3.0 forward on
occasion, but not nearly as often as over the past few months.  

I can cope with once every few months as opposed to once a day in some cases
lately.

Hi Robin, the next time that happens, instead of doing a hard shut down.
Press Control+ALT+Delete, in a few seconds Jaws should speak, up arrow to
shut down, press enter, down arrow to the restart, press enter. This is what
I have done in the past to avoid a hard shut down. I hope this helps.

I can absolutely corroborate tom's experience. It's happened to me twice in
the past week using the most recent build of jfw 18 and Windows 10; and when
it does none of the usual methods for resurrecting jfw work at all. further
even if one can get NVDA or Narrator running while you have speech
navigation is hampered to such a degree that even in the shut down menu you
can't get cursor off shut down and onto restart no matter what you do.  It
is bad, very bad indeed. the only way out is a hard shutdown which I so
loathe doing. I haven't been able to pin down a cause for what brings it
about so I can't make it happen at will but when it happens as I said it is
really not nice at all.

I have noticed the Jaws crashing issue here as well, using Jaws 18 on my
Windows 7 laptop.

It seems to happen occasionally when I am exiting out of a Microsoft Word
document.

Exiting out of, and then re-starting Jaws does not seem to help, nor does
the Windows run command.

Very disconcerting, since the only way I seem to be able to get Jaws back is
to do a hard shutdown of the computer, followed by a re-boot.

Definitely not good.

Hi, no, think of it as the touch screen and the left, right, up and down

It is also possible that there is a mute key to the right of the F12 key.
I would think that it would be much easier to inadvertently press one key
than an FN key combination. just a thought!

You can also unmute the sound by,

Insert-6 also opens the settings center in Outlook 2010. Ed, are we referring 
to the same thing when we say "number row"? This is the row of numbers above 
the letters. How about insert-2 on the number row, which cycles through 
speaking by words, characters, etc.?

The Insert + 6 keystroke works anywhere on my desktop computer no matter what 
program I'm in, or not in.  Running Windows 7 Pro & Office 2010, but I don't 
run Outlook, I run Outlook Express, but Insert + 6 works in Excel, Power Point, 
& Word, as well as everywhere else.

I had a word document open and the insert + 6 on the number row did not work. 
This key combination did not work in Outlook 2010 either. I had to go to insert 
+ F2 to get to the settings center. The only time the insert + 6 worked was on 
the desktop. Is that the way it worked on your pc?

Sorry about that!  The keystroke is, Insert / Jaws Key + 6, on the number row 
above the main keyboard.  The Settings Center can also be accessed by pressing, 
Insert / Jaws key + F2, to open the list of Jaws managers, navigating by 1st 
letter navigation to, Settings Center, or by arrowing to, Settings Center, & 
pressing enter.

If you want nothing said instead of blank in all applications try the
following:

1. Open the Settings Center, press, control, shift, + D, to open Settings 
Center default all applications.
2. Arrow down to, punctuation closed..., right arrow to open, down arrow to, 
customize punctuation, & press the spacebar to open.  Make sure you press 
the spacebar to open & not enter. Pressing enter will close the Settings Center.
3. Tab to the Advanced button & press spacebar to open.  The first item in the 
list will be, blank, so tab 1 time to, edit description button, & press the 
spacebar to open.  The word, blank, will be in this edit field.
Delete the word, blank, put a space with the spacebar, & press enter.

To unmute sound the keystroke is, FNKey f1.
You can also unmute the sound by,
Ctrl+r=run,
Type in
Sndvol,
Now tab one time and press the spacebar.
