 And others still feel depressed each time they are reminded of their visit to 
that very place where their family members were doomed to die. And might get 
confused by this thread as they connect “excursion” more with a sightseeing 
trip than a way through hell what it had been back in these days but would

We wanted to inform you that scholarship applications for Wikimania 2019 which 
is being held in Stockholm, Sweden on August 14–18, 2019 are now being 
accepted. Applications are open until Friday, 15 March 2019 23:59 UTC.

Applicants will be able to apply for a partial or full scholarship. A full 
scholarship will cover the cost of an individual's round-trip travel, shared 
accommodation, and conference registration fees as arranged by the Wikimedia 
Foundation. A partial scholarship will cover conference registration fees and 
shared accommodation.

Applicants will be rated using a pre-determined selection process and selection 
criteria established by the Scholarship Committee and the Wikimedia Foundation, 
who will determine which applications are successful.

Hi Marco,
Isn't this a bit early? The conference happened less than a month ago, usually 
the wiki was closed maybe a year after the event. People need to add their 
presentations to the pages, videos needs to be edited and linked there,, 
lessons learned want to be shared, etc. It might be a good push now but get 
everything in place but in my humble opinion, two months after the conference 
is way too early, sorry.

Hello,

As it happens with all wikimania wikis upon completion of the event,
the wikimania2018wiki is in the process of being closed. Closing means
that the wiki and its contents will continue to be online and readable
by all, but account creation and editting will be restricted.

I plan to move forward and close the wiki in *one month* after the
sending of this email (this is September 16, 2018 aprox.). If you have
content that needs to be uploaded to the wiki, please do so.

I've setup a ticket at <https://phabricator.wikimedia.org/T201188> so
we can track its progress.

Of course, if you need more time I have no issues to wait. However the
wiki will eventually be closed as all other wikimania wikis.

 (that this is not the perfect system is well known to everyone in the 
committee which, as Mardetanha said, changes every year—it's still very hard to 
implement a process which does not favor these who are used to write good 
applications if we don't draw lots).

We had to start the scholarship processes at some point due to visa 
regulations, unfortunately before the program team could finish their process. 
For that reason, the scholarship committee proposed to save some money for 
people who could not hold their presentations without a scholarship. But in the 
end, it's the WMF who thankfully manages all the outcomes and the jury only 
evalutes the applications at some point.

Harry, I recall hearing that there was a push a year or two back to alter
the proportion of presentations at Wikimania so that there were fewer WMF
presentations and more community presentations. I don't know if that was a
one time event or if that's ongoing. I have never been to Wikimania, and
have no plans to go in the foreseeable future, but I watch what happens
with Wikimania partly because it's an expensive operation in terms of
financial cost and in terms of volunteer time. Also, the scholarship system
is a perennial point of friction.

Dariusz or Ellie, are there any thoughts at WMF about doing a full review
of the scholarship system and the value of Wikimania to the community? With
WMF spending so much money on Wikimania year after year, and volunteers
spending so much time on Wikimania year after year, I think that it would
make sense to do this type of review, which might be possible to
synchronize with WMF's strategy process. I am very interested in ensuring
that there are SMART goals being achieved with all of the money and time
that goes into Wikimania. At the same time, I think that the scholarship
system could be reviewed to consider the strategic priorities for
scholarships and how to align those priorities to SMART goals. I don't
envision reducing funding for Wikimania and scholarships, but I think that
some re-thinking and evaluation would be good to align funding with the WMF
strategic plan and with SMART goals.

we are now calling for the Scholarship Committee.

The Scholarship Committee is an important and diverse group of volunteers who 
help to run the scholarship program. We encourage people from all Wikimedia 
wikis to apply for this position so that the committee can handle applications 
in many different languages.

The main duties of the committee members prior to Wikimania 2018 are:
* Participation in periodic online meetings with scholarships program manager 
and other committee members.
* Review and edit communications material (e.g. application questions).
* Assistance in determination of scholarship applicant requirements.
* Assurance of due consideration and speedy response time to Wikimania 
scholarship applications in multiple languages.

Thanks to all of you for your answers. :-) For a better planning, this is very 
reasonable but it is still different from former Wikimanias—as a Wikimedia 
Hackathons attendee of the last years I know that for good reasons things are 
different there, too. Hence, thank you very much again for the clarifications.
I will probably register for WikiConference North America then but will leave 
the door open to attending other sessions according to my needs and socializing 
with whomever whenever as long as we both agree to this. I, for myself, find 
this one of the more useful things at Wikimanias as I feel that I can work at

to learn from others and share my experiences. Of course, there are occasions 
when people got new ideas and want to immediately work on this and get it done 
(same with me at the last Hackathon in Vienna). But, imho, it should be then 
the decision of the individual if and when they socialize (and thereby even get 
more new ideas) and not by the concept of the event. But maybe I just 
misunderstood this part, if so, I'm sorry for that.

Hello!

Regarding the hackathon - it is very helpful for the organizers to have a list 
of attendees and a count of attendees. We asked a few hackathon specific 
questions during registration and the number of people answering these 
questions in different ways will change the planning of the event. This is 
especially important for food catering and seating capacity (i.e. if 50 
unexpected people show up, then we might not have enough food or chairs for the 
registered people).  The other problem we try to avoid, is people dropping in 
during the day just to socialize, as this can be a major distraction to the 
registered participants who are trying to focus on tasks.

We generally send a series of 2-3 emails[1] to participants in advance of the 
hackathon suggesting ways to get involved, asking people to sign up for things, 
and generally explaining what to expect/what will be different. If we don't 
have people specifically registered for the hackathon we won’t be be able to 
plan on our end, and those people will not receive the information that the 
other registered hackathon participants get. All information is all eventually 
posted on the wiki, but we have found that participants pay more attention to 
emails highlighting the important points.
Also, we have had hackathon specific registration for the Wikimania Hackathon 
in 2015, 2016 and now again in 2017.

Hi,
transparency on the selection can only work when also the application texts are 
public because we have many very active Wikimedians who are not very clear 
about what they ever did or actually do, how this is relevant to Wikimania and 
if they are able to and want to share this at Wikimania and back in their local 
communities afterwards. However, if only the results were published, there 
could be no useful discussion between the committee and others without 
information from the application texts.
But when applications are public, it would make absolutely no sense to have a 
committee for the selection because every decision by the committe could be 
easily be debated. When the expertise of the committee is questioned, people 
would be hesitant to participate as already described in this thread. Hence, 
only a public selection done by the community as a replacement for the 
committee would make sense.
When the community would decide on the applications, we had to define who would 
be part of that community: who's eligible to vote on these? should the votes be 
public? would large discussions be allowed? etc. As we have lots of experience 
with public elections, we can also easily name the disadvantages of these: 
Popularity contests for only those people who can stand public criticism, 
sometimes by few very loud destructive people or even enemy groups, on 
everything they every did. Tons of people would be refrain from applying at 
all, something we strongy have to face at the moment with elections for 
adminship or other committees as pointed out by Risker.
Of course, we had transparency as a result and more public discussions around 
the selection, but we would have no safe space for applicants at all (also in 
terms of sensitive data like personal living conditions and anonymity). I see 
no third working model besides these and my preference would clearly be the 
committee. But if you like, you can, of course, seek consensus on the other 
model. I will raise my concerns there as pointed out here.

Risker is right.
You can't publish such a table this year because it would break the promises 
made to applicants who were declined.
 You could start a discussion on meta, and make a proposal to publish such data 
for future Wikimanias. I'd hope you wouldn't get consensus, but if you did we 
could then monitor the effect on the 2018 Wikimania. If the requirement to 
publish details on unsuccessful applicants as well as successful ones was 
deterring a significant proportion of applicants, or deterring certain types of 
applicants such as applicants from particular countries, then I'd hope 2019 
would revert to the obviously superior system of not publicly listing the 
people who applied for scholarships but were declined. I do appreciate that in 
the future historians studying Wikipedia would really appreciate this data, and 
I can see the point of putting it in a sealed archive and publishing after all 
concerned have probably died. I'm not sure I see the point in publishing it 
now, if people are concerned about fairness then get someone you trust to run 
for the scholarship committee.

year, we additionally want a scholarship ambassador for each major geography or
