I would endorse Mike's suggestion, however, I would go further based on a couple of factors... --Your email mentioned "more than one update...with a month", so could there be more than one released update per month? --Are updating the entire book version, chapter versions, or only affected pages? If the date of the update is important, you might want to switch to the international date code: 20210213 or 2021.02.13. (Presumedly, you will not have more than one release per day!) --If book version, you could use a global variable in the header or footer. --If chapter versions, you could create a variable per chapter. --If affected pages, you could add an separate flow to your master pages and enter in the date code in the new flow. Set the style to start on the next page so you can return through the pages quickly. Unfortunately, you (most likely) would need to mark pages that simply had text-flow changes. In addition to the above, you use change bars to indicate edited or added text. Just clear them out at a given point in time, such as every month. That would help the readers focus on the actual changes. Adding a date code could start immediately--I don't think too many readers would get confused by a date of release in the footer. Initially, I would add the date code to every page with a note that pages without a date code should be considered "out of date". You could implement a numbering system that had multiple fields. Something like --. And whether or not you go back to the very old docs to retroactively apply a version number, the current/new ones will look logical. Hi Lise, I recommend that the first version of a manual be Revision 0. I also recommend placing both a PDF of the manual and a zip of the directories of the source files into your database. By source files, I mean the FrameMaker files used to create the PDF of the manual and the artwork files that are used in those FrameMaker files and, if the artwork file used in the FrameMaker file is a not the source artwork file, then also include a directory of the source artwork files, if available. The exception to this might be a vector diagram (PDF or EPS) from an AutoCAD file - especially if the AutoCAD source file has files brought in by reference. Hello, Framers, Historically (I inherited this system) the manuals for my company have listed the month and year as the revision. And that has worked ok, except when more than one update needed to happen within a month. And my boss wants me to switch to a numbered revision system. But what has me stymied is, what number do I start with? It doesn't really make sense to me to start at 1 because some of these manuals are now 10 years old and have had multiple revisions/updates. Any advice? (My boss also wants me to implement some kind of document control system, a la what we do with engineering drawings in Autodesk Vault but that's a secondary step and one I have not figured out yet. However SVN has no knowledge of how to interpret the binary text files into text from most applications, but with FrameMaker, that is no problem as FM has its own comparison tool My ten months experience says four thumbs up. I largely agree with Bodvar's comments. One of the development groups I work with keeps all the FrameMaker files in an SVN repository and it has largely been trouble-free. The only problems have come when users have failed to check for locks before starting to edit a file or have failed to lock a file while they are working on it. As long as you use binary files you will not be able to get differenced files. Subversion is similar to CVS. It handles text files very well and will difference them, just like CVS. If you don't use text files, and all of your FM files are binary, then you will maintain a separate copy of each. Thus no space savings. Has anyone used Subversion for FrameMaker "document control"?
(Trying this again since my first two did not going through ... more than a few days now.) Hi, all. I often update specifications and documents (all get a new version number, etc.). Currently, I maintain these in separate folders for each version of a given spec. Basically, one folder contains the .book and all the .fm and image and other files necessary to generate the PDF for particular version of the document. But this can easily get out of hand ... one of my documents is at version 22.7 for example, over the years! There are many duplicate image and .fm files as a result of this - whatever does not change from version to version. It would be good to have a system that maintains the differences for me and minimizes the number of duplicate files. Document control
Hey I'm full of questions today! The question du jour (du minute?) is about document control. Does anyone have any advice they'd like to share about developing a system for keeping track of who is currently working on a document, who has worked on a document, and who has made what changes? What I've done in the past (with Word) is have people put their initials at the end of the file name so we could all see at a glance who was currently working on the document. At my current job, we have a Project file to keep track of who is working on what. Our engineering staff uses some kind of card that people initial when the document changes hands, so that's an option also. But none of these solutions really speaks to the drafting stage, where the document changes hands quite a lot before it is ready to be reviewed. Anyhow, I was hoping one or more of you might have suggestions. Thanks! Deirdre

You need to use version control software like CVS or subversion. Then you submit all source files to a network directory visible to all Tech Writers. Then each TW has to checkout the file in order to work on it and check it back in when finished. All you have to do is look in the version control software and it displays who the doc is checked out to.
