Here in the US, I have been told I should be able to support any tax filing
for seven years, OR indefinitely, if I have been notified that a particular
year's filing is in question. SO I keep a paper copy of everything I've
submitted, and electronic versions of my supporting information archived
for convenience. I submit PDFs of the Income Statement and a Transaction
Report showing the relevant asset accounts to my tax preparer, and save
them indefinitely in case of an audit (which so far hasn't occurred).

I have a directory called Reports
then financial year subdirectories 
and under that subdirectories for home, business and other books I keep

So when I need the data for the accountant I make the reports for the
financial year and just have to copy one directory of reports to the CD
I burn *

Each of my saved report configurations contain financial year dates,
which I set in the general preferences to the appropriate dates.


* That CD-R has lots of other data for the financial year and a copy of
  the Gnucash program. It makes my archive copy, although I think the
  accountants copy everything off it for their archives.

Mind, I've been using gnucash since 2007, so if saving within gnucash 
data. It would  be a ridiculous amount of clutter within gnucash data 
if I kept them all there. The fact that I knew to do this from the 
start (when there were just a few) is because I was a freshly retired 
pro. Avoid future problems.

This is perhaps a difference in thinking about how many "versions" I 
would be expecting to keep. I would be keeping for at least 7 years so 
to me is not a matter of the report run now but can I reproduce say the 
Balance Sheet for 3rd quarter five years ago. And to be SURE I had the 
right one << note; It is NOT in general possible to recreate such a 
report within gnucash.NOT just a matter of setting the run date 
correctly. The CoA may have changed between when that report had been 
run and now >>

Maybe we are discussing a completely different use-case, but the vast
majority of my Saved Report configurations use the "Previous Month" or
"Previous Year" date options. That way when I open the report, it's already
showing the previous month or year's data automatically. In the rare
instances I am preparing a report for a period outside the range (maybe I'm
two months behind creating the report) I adjust the report date options
WITHOUT saving the configuration. That way the number of saved report
configurations stays manageable.

While the report is up on the screen, if I think I might need to pass it
along to someone else OR refer to its results in a future month or year, I
"print" to a PDF file and put the appropriate date information into the
filename.

I find it helpful to run some year-end reports part-way through the year in 
question, to answer any  how-are-we-doing-so-far enquiries, so I do save (e.g.) 
a report named “Charity Gift Aid Report for 2022-2023”, but have retained its 
2021-2022 predecessor for comparison. Once the Gift Aid Claim has been 
completed, I’ll edit the report  and Save As “Charity Gift Aid Report for 
2023-2024”. Sometimes a new account becomes necessary and can be added to the 
selection reported on in 2023-2024 leaving the earlier versions intact.

The report name is constructed in three parts, to identify:

1. The Gnucash file it applies to
2. The subject of the report
3. The financial year of the report

Not really; as a result of following the 'help' I now have a set of 
reports numbered 1 to 14, in random order, but none (except one, 
partially) have been retitled as the advice the help advise suggested I 
could.


I haven't been able to identify the individual reports, except if I try 
to select them and see what the dates on them are. However, the first 
three I tried are all for the same period 2023, which I have not yet 
competed, obviously.


My issue is to establish which report is which, if possible, by 
re-creating the title with the dates of the periods covered. Then I can 
eliminate any dupes, etc.


Seems to me the process suggested is faulty, or the procedure is bugged.

As I said, it isn't critical for the older reports but I would like to 
sort out the newer (post 2020 perhaps) ones.


I was just hoping for advice, from anyone who has experience of saving 
reports.

OK, here we go again, my last query on here produced zero 
responses,never mind.


Now, I am trying to rationalise my Report Configurations.

Under reports>saved report configurations I have a mish mash of titles

I forgot to add, early on, I too got caught with overwriting my configs.

If you notice there are two toolbar buttons for saving them.

The text label tries to make it clear, but the hover text is even better.

'Save Config' *overwrites* the current config. You are saving changes to 
the one you are viewing.


'Save Config As...' saves the current config as a *new* config, and you 
get to name it.


There are also Reports menu items for both actions, and keyboard 
shortcuts for both. (though similar save for one extra key - so be careful!)

You have to set your mail app to 'attach' rather than pasting the images 
within the text. (known as 'inline')


The mailman software that this list runs on will strip out inline 
images, but does allow attachments.


A usually more robust method is to store the images on a 3rd party site 
and paste in the links within your text. (though too many links may also 
get stripped out)


I left your original reply quoted below, as you can see, nothing came 
through - just your text, so it is difficult to visualize what is going on.

While you can use configs for any Option change to preserve those 
changes, Dates are usually something unnecessary to save unless there 
are other changes involved. It is easy enough to run a report for any 
date range you need at any time. (and about as many clicks vs. saved 
configs)


Another option is to run reports at period end, and save PDF copies for 
reference.


But of course, you can save them as configs if you wish.

Anyway, I showed the saved link of the web page from Reports>Saved 
Report Configs which shows P as the first line and P 21 as the 
second. The undated one is actually 2021 (maybe I didn't date it??)  and

undated one and there was 2021yippee.


So, it has worked out OK, for 2021, but I don't have any of the older 
ones, I have been saving since 19xx and have been able to recover them,

I use an app called Capture Wiz to capture and cntl/v them into 
messages. What should I be doing?


Anyway, I showed the saved link of the web page from Reports>Saved 
Report Configs which shows P as the first line and P 21 as the 
second. The undated one is actually 2021 (maybe I didn't date it??)  and 
the send one is 2022...(maybe another booboo...? ) I finally clicked the 
undated one and there was 2021yippee.


So, it has worked out OK, for 2021, but I don't have any of the older 
ones, I have been saving since 19xx and have been able to recover them, 
until this year, but they are no longer there.

It looks like you were putting screenshots inline rather than as 
attachments.


Those images did not come through, so we can't see what you are 
referring to.


Your saved configuration should be under: Reports > Saved Report 
Configurations. You'll then get a pop-up with a list of your saved 
configurations. Select the one you want, but you might still have to 
adjust some options properly.

Neville, 

You've responded to a thread from four years ago, referencing a problem with 
upgrading from version 2.4 to version 3.0 (on Windows, I believe). Gnucash is 
now up to version 4.11, so whatever problem you've been having is far in most 
users' rear view mirrors. Geert probably remembers the issue to which you 
refer, but that's because Geert is Geert.

You might choose to follow an upgrade process and see whether your problem 
continues to exist in 4.11.

Thanks for pointing me there - I read the comments so I now see what is 
happening.

After further experimentation I can see that yes the Saved Report does appear 
to be maintaining the selected hidden accounts ... provided one, after loading 
the Saved Report, does not re-open (and apply) the selections displayed by 
default via the Options->Accounts setting (because that dialogue always 
defaults without "show hidden accounts" setting and will clear any selected 
hidden entries if you show them).

Not exactly optimal behaviour (to not show the saved set of selected accounts 
from the Saved Report config) ... I think it means there is no way to see the 
complete set of selected accounts that are currently stored in a "Saved Report" 
if that set includes any or all hidden accounts.

I'm modifying "Net Worth Linechart" and saving as custom report.

When modifying the config using Options->Accounts,  I also choose "Show hidden 
accounts" (because I want the history to show all asset values in the past, 
even if accounts are no longer used)  ... then "Select Children"  under "Asset" 
top level (so that selects all asset sub-accounts, even hidden ones).

I apply this and Save Config.

But when I return to my "Saved Report Configurations" and selecting this saved 
report ... and then to Options->Accounts ... I see  the "Show hidden account"

I am thinking this behaviour is a bug?

You can try to copy that picture to the test computer as well. But it will 
have to be stored in exactly the same path to be found by gnucash. If it's in 
another path, you will have to update the stylesheet from within gnucash.

Yes. The language selection in the installer is only used for the messages 
found in the installer. No one has offered us a Spanish translation of these 
installer messages yet hence the installer will not offer Spanish.

Regardless of the language you choose in the installer, gnucash will be 
installed with all the languages it supports and so if it supports your PC's 
language it will try to use that.

That worked. Thanks. You are correct, my intention was to experiment with
3.4. I thought I would try copying the stylesheet file to the test computer
as well. That did not work, I suspect because the picture file is not in
the test computer.

I take it that 3.4 will install with the Spanish accounting terms, etc., on
a Window 7 computer with the Windows language set to Spanish. Is that
correct? Spanish is not a language choice on the list when installing the
program but it installed on our working computer in Spanish anyway. That
was a boon for us.

Hi Roger,

If I understand correctly from your reply to John, the new computer is only to 
experiment with 3.4. It will not be used to actually upgrade from 2.6 to 3.4 ?

In that case you can indeed copy the saved-reports-2.4 file to the new pc.

If you enter a Windows Explorer on that PC, and type
%appdata%\GnuCash
in its address bar, that should open the proper location to store the saved 
reports file for gnucash 3.4 (provided you have run gnucash 3.4 before at 
least once). Note don't copy the file there while gnucash is running. It may 
be overwritten as gnucash closes.

Windows 7. I found the file in C:/Users/TOSHIBA/.gnucash/saved-reports-2.4.
Out of curiosity, I looked for it on my Windows 10 computer and didn't find
it. I didn't see anything special for Windows 10 in the wiki. Not important
really as long as the update takes care of that.

directory aside before running gnucash 3.x." Will it work to copy the 2.4
file to the 3.4 directory? I saved the 2.4 file from the working pc to a
USB.  I'm guessing I'll have to delete the 3.4 saved reports file, if it

like to give it a try.

The file is called saved-reports-2.x where 'x' depends on your gnucash
version as does its location. For 2.6.17 the filename will be
saved-reports-2.4 and it will be stored in DOT_GNUCASH_DIR as described for
your OS (which you haven't provided yet) under

For GnuCash 3.0 and up the file will be in

if missing it will try to open saved-reports-2.4 in the same directory.

As for updates, if you update gnucash from 2.6.x to 3.x it will copy these
saved reports from the old location to the new one for you, but only if the
new location didn't exist yet! So if you ran tests on your new PC with only
3.x and then install 2.6.x on that system, the migration will not run again
after upgrading to 3.x. If you want to force the migration, you should move
the https://wiki.gnucash.org/wiki/Configuration_Locations#GNC_DATA_HOME
directory aside before running gnucash 3.x.

Thanks John,

I stumbled on the file on the computer we use for accounting in
C:/Users/TOSHIBA/.gnucash. By $HOME do you mean the name of the computer,
this case TOSHIBA? I looked for it on my Windows 10 PC but didn't find it.
Not important. 

I only want to play with version 3.4 on the other computer to see if there
are any glitches I'll have to deal with. That sort of thing is time
consuming. The version we have installed is working fine so it is a
cost(time)/benefit issue. Don't want to spend more time learning and fixing
the software than we spend doing the work.

The file is called saved-reports-2.x where 'x' depends on your gnucash version 
as does its location. For 2.6.17 the filename will be saved-reports-2.4 and it 
will be stored in DOT_GNUCASH_DIR as described for your OS (which you haven't 
provided yet) under
https://wiki.gnucash.org/wiki/Configuration_Locations#DOT_GNUCASH_DIR

For GnuCash 3.0 and up the file will be in 
https://wiki.gnucash.org/wiki/Configuration_Locations#GNC_DATA_HOME for your 
OS. GnuCash will look for a file named saved-reports-2.8 first in there and if 
missing it will try to open saved-reports-2.4 in the same directory.

As for updates, if you update gnucash from 2.6.x to 3.x it will copy these 
saved reports from the old location to the new one for you, but only if the 
new location didn't exist yet! So if you ran tests on your new PC with only 
3.x and then install 2.6.x on that system, the migration will not run again 
after upgrading to 3.x. If you want to force the migration, you should move 
the https://wiki.gnucash.org/wiki/Configuration_Locations#GNC_DATA_HOME
directory aside before running gnucash 3.x.

saved-reports-2.4  ( I think)  In a folder that depends on you OS - use the 
wiki to figure out what GNC_DATA_HOME is for you.

Hi Geert,

I located the trace files.  Not sure why, if they are such a valuable
diagnostic tool, that they are stored in the AppData Temp folder.  I also
found that every report I've looked at since upgrading to 3.x has a
corresponding html file in that Temp folder, too.  It might be worth
reconsidering the location for those files along with a retention
schedule.  But anyway...

Oh, and another suggestion - the trace file should have a version stamp,
not just a time stamp.  I can't really tell the exact point at which I
upgraded by just the time stamp.  I believe it was early in the day on
either Tuesday or Wednesday of this week, but a version stamp would
completely eliminate doubt.

I only have 13 trace files dated from 2018.06.04 to today, 2018.06.08.
These dates to include the upgrade from 2.?.19 to 3.0-118-gd2ef5fd0f+
(2018-04-28)

The vast majority of trace files only say:
* 05:58:17  WARN  Could not spawn perl: Failed to execute
child process (No such file or directory)

One of them pre-upgrade (I'm pretty sure) says:
* 06:30:48  WARN  Could not spawn perl: Failed to execute
child process (No such file or directory)
* 06:31:40  WARN  Could not find the icon 'gtk-file'. The 'hicolor'
theme
was not found either, perhaps you need to install it.

The very next trace file, after I accidentally left the program running all

* 18:45:07  CRIT 
[GncDbiSqlConnection::begin_transaction()] BEGIN transaction failed()
* 18:45:07  CRIT  [GncSqlBackend::commit()]
begin_transaction failed

The one that was apparently created just now when I started the program
says:
* 06:11:57  WARN  Could not spawn perl: Failed to execute
child process (No such file or directory)
* 06:15:05  CRIT  [gnc_ui_file_access_response_cb()] Invalid
response


There was no popup about moving metadata following the upgrade.

I never experimented with the dev series.

I will re-check the release notes, but as I upgraded to 3.1.x, hopefully I
just skipped over any earlier 3.0 issues.

first time you started gnucash 3.x ? Where to find trace files is described

Secondly, the first time you ran gnucash 3.x did you get a pop up window 
explaining you your metadata was being moved to a new location ?

Xml is still considered the most stable format in general. That is independent 
of your OS. On the other hand the db formats are improving with each release. 
We did find a few issues in gnucash 3.0 and 3.1 in this area. So be sure to 
read the release notes for more details.

completely out of the picture, then copied the 2.4 file over to
%APPDATA%\GnuCash
to see what would happen.  If nothing, I figured I'd rename the file from
2.4 to 2.8, but it worked with the 2.4 name.  Is this alright?  Will it
cause problems later?  Is there a better way?

A little history on this installation.
I'm not sure I'd remember the initial installed version, but it was back in
the fall of 2016 when I installed GnuCash on Windows in whatever manner the
installer prescribed as the standard install.  I LOVE the true double entry
accounting GnuCash allows over the typical one-sided manner in which most
financial programs (e.g., Quicken, et al) provide.  My only disappointment
has been in the reporting formats.  Not so much what is in the reports or
the ability to customize them; that's all perfectly acceptable.  It's the
overall report styling.  I don't understand why on the Income Statement,
for instance, there's a small font "Net Income for Period" line following a
large, bold "Total Expenses" line.  The formatting is whack, and I just
don't see an easy way to correct it or any resources to teach me how. (Know
of any?  Please share!)  That got me thinking that, since MySQL was an
option, I could just ODBC in with Microsoft Access and potentially use it's
report writer to generate prettier reports than I know how to make within
GnuCash.  I never really got to report designing in Access, but it sure got
me over some initial reconciliation pains!  But regardless, and for better
or worse, I left the backend for GnuCash as MySQL.  When I upgraded to 3.x,
that is the environment it found itself upgrading.

I'm slipping out of scope on the OP topic here, but (in the Windows
environment, if that matters) what is the best practice for data storage?
Am I setting myself up for problems using MySQL?  Has my use of MySQL
contributed to the missing report situation on upgrade to 3.x?

Normally gnucash does migrate the metadata to %APPDATA%\GnuCash on the first 
time you run a gnucash 3.x version from %USER%\.gnucash.

I can imagine a few situations where that won't happen:
1. %APPDATA%\GnuCash already exists
2. Can't create %APPDATA%\GnuCash (in which case the trace file should have a 
warning)
3. %USER%\.gnucash doesn't exist

A variation of 3. can be that you changed the HOME variable in the gnucash 
environment file or you have set GNC_DOT_DIR to point to another directory.

In those cases the migration will never happen and the user should do this 
manually.

file is new and, looking at it in a text editor, it contains the definition for 
the test report I just created.  I had to do a search of my entire hard drive, 
but found a file similarly called saved-reports-2.4.  I backed up the 2.8 
version and just copied the 2.4 versions into the new folder and the reports 
automagically reappeared.

Haven't tried 3.1 on windows.  What I did to find the new folder on 
linux was to save a report config and search for the file which was 
saved_reports2.8 or something like that.  The old reports were still 
where 2.6.xx put them.  Moved them to the new location and renamed them 
to the 2.8 file name and the old reports worked.  Don't know if any of 
that helps in windows, but it's not as simple as I thought it would be.

I can find the folder GnuCash created -  AppData\Roaming\GnuCash, but I
don't see report definitions there.  Not sure what they are called either,
but nothing stands out as a report definition.  Perhaps they are stored in
the data file/database?  But regardless, I have no saved report
configurations.

I'd really like them back!
