Hi everyone,

Hope you are all having fun at the conference! I miss getting the chance to see 
everyone!

But for those who are minding the ranch…I have a question very much related to 
the e-resource cataloguing question. For those who import large scale ebook 
marc collections (like 14 or so) and need to pull out marcs that represent 
items that are deleted from the collection (presumably by a publisher pulling 
titles or something like that), how do you manage this? I have heard from other 
ILS users in our college consortium that they simply import the marcs with a 
“d” in the leader, which then overrides the pre-existing marc and then that 
removes the record from the catalogue.

Is something so magical possible with Evergreen?

I just wanted to add that if you want to be able to get statistics by 
bibliographic call number range, you need to make sure these fields are 
included in your MARC records.  We load records for electronic resources from 
many different vendors, and while most include the classification numbers, some 
don't or don't do so consistently.  We think this kind of reporting is 
important so we recently made the inclusion of the classification numbers a 
requirement for vendor-supplied MARC records being loaded into our system.

Nixing the copy/item record entirely from a bib record is certainly a departure 
from common cataloging practices, and takes some getting use to. But I think 
I'm tracking you and it sounds reasonable. Let me reflect what I hear you 
recommending as electronic resources best practices:
1. Always use an electronic resources bib record for each e-resource in your 
collection. Evergreen needs that kind of record to allow for filtering. Simply 
adding hot links to the print bib record will only allow your patrons to find 
the e-resource through serendipity.
2. Do not use a copy/item record for any e-resource. e.g. e-periodical, e-book, 
streaming sound recording, streaming video recording, etc.

One statement: I think you've already discovered some things that are leading 
in the right direction from what I'm reading.

So, question: Do you really need to attach copies to the electronic resource 
records?
I would say that you don't.  You need to identify items by call number range, 
got that. And if you were using the built in reporter I would drop it there and 
say gotcha.  True, it is doable even in the reporter but it's more of a pain. 
 But, you're using SQL.  By using UNION statements you can do this on records 
without copies and join it to other queries to give you the counts you need and 
still have a fire and forget script.

Something that may help that is using different bib sources for different 
electronic resource vendors.  It's very helpful and very convenient when doing 
reports.

Hi everyone,

We are an academic library using Evergreen and we sign out items to students 
based on hourly periods (reserve items, laptops). A common complaint we hear 
from students is that they can't double check the due time on an item from the 
My Account, Items Checked Out summary.

Is there a way to modify the summary to include due time?

Yes.  One approach is to customize the opac/parts/config.tt2 template, 
uncomment out the DATE_FORMAT setting, and set it to a pattern that includes 
the time.

For example:

DATE_FORMAT = '%D %I:%M %p';

which will display times like

2/10/15 11:59 PM

Doing it this way is a bit of a shotgun, however, as it will make
*all* date/time fields in the OPAC display using that format.

To customize only the current checkouts page, the template to modify is 
opac/myopac/circs.tt2, where you could change

td name=due_date class='[% due_class %]'
[% date.format(due_date, DATE_FORMAT) %]
/td

to

td name=due_date class='[% due_class %]'
[% date.format(due_date, '%D %I:%M %p') %]
/td

There are other possibilities, including getting even fancier and writing a 
function that would recognize whether the time portion was
11:59 PM, and if so, only display the date portion.

Hi everyone,

The address question is interesting as we really only use email addresses and 
cell numbers for library functions. If we need to pursue someone because of 
lost items, etc, we refer those students to Student Accounts. They would have 
the addresses from the student info system. Maybe physical addresses aren't as 
critical anymore?

  We do not worry about addresses for ON-campus students.   They live here.  
:-)But we do need addresses for off-campus students.   So it would be great 
to have a marker or indicator or way to distinguish between those two.  But we 
would need only one address on the patron record.We also make sure that 
every student has an on-campus email address.

Thanks for putting this together, Martha, it looks like a great start.
One set of use cases that I'm particularly curious about are how addresses 
should be handled.  For example, does it suffice for most of the libraries in 
the IG to have the batch import handle one address per patron? Do any of you 
get mailing address data from any place other than the student and staff 
information systems?  Are any of you in a position to not have to worry about 
keeping student mailing addresses in the ILS at all?

We were never able to resolve the issue with the scanners. Instead, we ended up 
using carts with laptops and scanners on them. It was a pretty painless process

I think you need to look at least two things:

1) Admin - Server Administration - Circulation Recurring Fine Rules 
edit the Grace Period column of the rule(s) that are applied to your
reserve items.

2) Run the fine_generator script (via cron) on a much more frequent
basis. I think the default recommended time frame is daily, but ours
runs every 15 minutes. (We might need to look at optimizing the script
if we want it to run every minute... haven't tried going that far!)

As far as I know, this problem is considered a bug in 2.2 and someone
would have to sponsor development in order to have it fixed. Quite
frankly, I haven't looked into how much the development would cost to
have this problem fixed.
 
If I'm wrong, I would love to hear if someone has figured out how to
deal with the problem.

[OPEN-ILS-GENERAL] portable barcode scanners for inventory

Hi there,

We are planning to do an inventory and are in the process of considering a few 
options. If at all possible, we would like to use the portable barcode scanners 
that the library already owns. Our problem is with the scanners themselves, 
Falcon PT40, and we are wondering if anyone might know how to configure the 
scanner to dump the barcodes in a text file. Right now, when we scan a barcode, 
it comes with extra characters and the barcodes are in one continuous line in 
the file.

The default way of doing so before 2.2/Master is to replace the  
barcode. I don't know of any interface that allows you to set as  
inactive otherwise, so the only other option is to do so directly in  
the database.

2.2/Master has permissions that can be granted for altering the Active  
and Primary cards on a patron's account via the patron editor.

Thanks for pointing that out. I found it but what happens is it makes the 
patron inactive. What we would like to do is mark only one barcode 
inactive...one was added to the record that is incorrect. It's actually a 
different patron's barcode. So when we use it, we bring up the wrong patron.

Thanks for replying. Right now, there are 2 barcodes associated with that 
record. To explain, we're an academic library and we get our records from the 
registrar's office. Because records need a barcode, we decided to go with the 
student # as the place holder until they come into the library and use their 
card for the first time. If I go into the patron record, the only # I can 
manipulate is the default student # and not the offending incorrect barcode. So 
I can't replace it. As much as I would like to... :-)

Hi Gordana,

You can mark a patron's barcode inactive in the staff client by replacing the 
barcode in the patron's account.  When you edit a patron's record you can 
choose Replace Barcode and enter in the new barcode.  After you save the 
changes, the old barcode will be inactive.

I wonder whether any of you ever wait overnight to check out (pick up)  
a late reservation.

I have no problem checking out the late reservation on the same day  
when it becomes late, but not possible the next morning.

I tried it with both catalogued and non-catalogued resources with the  
same result.

I did step #4. It changes the item's status to Reshelving. It is not  
possible to check in non-catalogued resources.


Since everyone says it works, am I the only one having bad luck? Or  
overnight does cause some issue?

however, we still have the same issues with late pickups and have to taken to

Thanks for walking through the whole process. I'll go through it on our end 
with some real reservations and see if we're still having the late checkout 
issue or not.
 
That being said, I think there are things we need to do to the booking module 
in order to make it a really good tool. Some of the things Tara mentioned 
(being able to see who has a booked item checked out in their name, being able 
to see a listing of future bookings for an item...just to name a couple) would 
make it great. Do you hear complaints like that at Laurentian?

More or less; http://www.loc.gov/marc/bibliographic/bdleader.html lists
it as '05' but we start counting at '00', so it is the 6th byte :)

You're absolutely right. It is a real pain. To get around this, our media point 
people sign out the reserved items in advance to the instructor. So if it's a 
late pickup, it doesn't affect the booking.
 
Again, not perfect, but it seems to be working for us.

Not being able to edit an existing booking seems to be the biggest pain point, 
and might be a deal breaker for us. How do you deal with this?

Yesterday we had a faculty member who was picking up a booking late (they had 8 
films, two of which were not ours, so staff had created a brief bib so they 
would be in our system). The staff person had to cancel all 8 bookings, create 
two new brief bibs and then recreate 8 bookings, capture the items, then check 
them out to the faculty member. 

Do you allow people to pick up bookings late?

Niagara College has been using Evergreen and Summon quite successfully since 
September 2010. However, we've experienced a bit of a problem with deleted 
records. I've been in touch with Andrew Nagy of Serials Solutions and he 
provided the following info:
 
The reason why your deleted records are getting indexed is that the MARC 
mapping that we have defined for your collection does not delinitate between a 
good record and a deleted record.  We need some way of knowing whether a record 
is real or deleted.  Do you know if evergreen can do this?
 
Can anyone tell me if Evergreen can do this?

Right now, we are sending our deletes in nightly updates. The problem
is that the deletes aren't registering in Summon.

For example, search in Summon on Social interest challenge to mankind,
limit to items in the library catalogue:

Title comes up and when you click on the link, it brings you to a bib

There are 'hooks' to do this - so you can adjust your method of dumping
MARC for Summons to *exclude* records where deleted = 'true'  - this
flag is set in the biblio.record_entry table.  
 
How is Summons consuming your MARC records? I assume that Summons is
using the more common approach of indexing time based dumps (daily,
weekly, etc.) from the database, correct? Or are they crawling the
catalogue using unapi?
 
If if they're just indexing regular dumps, then you can set up (or
customize) your script to generate a file with record id's from the
database that excludes those bib id's where deleted = 'true'. This this
file in turn can can be passed to the marc_export script for
generating the dump that Summons will index.  You can also extend this
approach to pass Summons records that have recently been deleted and /
or modified if you want to avoid Summons having to re-index the entire
database every night.
 
So it looks as if you'll have to do a minor adjustment to your process
for extracting MARC records to use those flags (plus any others you'd
like to add) to ensure Summons is just indexing what you want it to
index.

I was just looking at Marshall Breedings summary of what discovery products are 
currently in use with which ILS. I noticed that the only discovery product 
currently in use on top of Evergreen appears to be Aquabrowser. I'm pretty sure

We're using Windows 7 (32 bit) with TM-T88V and TM-T88IV receipt printers and 
we find that they work very well. We have 2 campus libraries and haven't had 
any problems printing.

Hi,

I'm wondering if anyone is using Windows 7 with the Epson TM-T88V thermal 
receipt printers. We're using the Sitka's Evergreen staff client (2.0.5).

I've been working with our IT department to try and figure out why the receipt 
printers don't work. We've downloaded the print drivers from the Epson website. 
We're able to print a test from Windows. Sometimes we're able to print a test 
from Printer Settings Editor in Evergreen. We aren't able to print actual 
receipts, like a hold_slip or checkout. 

Our IT department is looking for someone else who has this working, so they can 
check what settings are being used. They think it's an Evergreen problem, but I 
think there's something weird with how they've imaged the computers. This is 
the Windows error that we get:

Microsoft Visual C++ Runtime Library Program:C:\Windows\system32\spoolsv.exe 
Error R6002 -Floating Point Support Not Loaded 

Please let me know if this works for you. Also, please let me know if you're 
using the 32-bit or 64-bit version of Windows 7.

In EG 2.1, we--well, I, this was before we started doing
sign-offs--removed the call number column from the list in the Check
In interface (in the name of fewer network calls and improved
performance), and maybe should not have.  I know of at least two
libraries that miss it.  How do others feel?

Should it be restored outright, or made into a configurable option?

The circulation policies are referring to a hard due date rule. You  
will need to configure that first. Then it should appear in the  
dropdown when editing the circulation policies.

[OPEN-ILS-GENERAL] hard due dates?

Hi there,
 
I'm trying to set a hard due date for end of semester in the Circulation 
Policies. Unfortunately, any format I use for the date seems to be wrong. I 
could reference to a date in the documentation using this format 1970-1-31. 
But when I try it with 2011-12-16, it doesn't save.
 
Can anyone tell me what the format should be for that date? Or what I might be 
doing wrong?
 
We're using 2.0.7.

This bug sounds like the bug that was fixed by the following patch. It looks 
like the patch was in 2.0.7 but it could have been missed during an upgrade or

We came across this when trying to show images from Amazon.  We know from 
experience that Amazon mostly only responds to 10-digit ISBNs as the Amazon ID 
matched the 10-digit ISBN.  Amazon's line has always been that they provide 
images keyed on their Amazon ID.

When loading data there are 10-digit and 13-digit ISBNs often in no particular 
order.  So we found the script in Evergreen that forms the URL for the image 
from Amazon and test if the ISBN is 13-digits, and if so convert it using 
Business::ISBN perl module to be a 10-digit ISBN.  So no messing with the data 
in bib at all.  Seems to work well.

On our system the script to change is:
/openils/lib/perl5/OpenILS/WWW/AddedContent/Amazon.pm

We're happy to share - it's just a few lines.  Maybe this should be on the DEV 
list?

Also we noticed that if your ISBNs have hyphens in them then the ISBN only 
comes through as the digits up to the first hyphen (in our case usually 0).  
We do get lots of cataloguers who believe ISBNs should have hyphens.  So we are 
weighing up removing hyphens in data conversion versus finding the code that 
writes the ISBN field and getting it to skip/ignore hyphens.  Should make it 
look real pretty!

We came across the same problem back in the summer and I think the only thing 
to do is ask the materials provider to switch the order. I did get a good 
explanation from Galen and I'll include it here:
 
For what it's worth, arranging the 020s so that the ISBN-13 comes first, 
followed by the ISBN-10, is actually supposed to be the standard 
behavior. For example, see:

Consequently, requesting that your materials providers provide 020 
fields in the opposite order, while that all *that* non-standard, is 
nonetheless bucking the trend. Furthermore, for any records that you 
manually import, reversing the 020s just seems like a workflow step that 
is better avoided.

I recommend an alternative approach, namely consider using the 
OpenLibrary added content provider rather than the Amazon one, as it 
appears that it readily recognizes both the 10- and 13- digit forms of 
the ISBN.
 
It wasn't an option for us to use OpenLibrary for content as they do not offer 
DVD covers...and they are very important to the public libraries in our 
consortium. It is still my understanding that covers can only be retrieved from 
one provider. So we're in a situation where we have to go with the reversed 
order. 
 
I would be very interested to hear if there have been any further development 
regarding this issue.

Except I'm running into an Excel error...boo! But I'm definitely on the right

template tookit. And you're right Grace, it would be good to know at what point 
the patron history beginsfrom the time of opting in or even before that.

We are currently using LDAP to authenticate.  I may be mistaken, but I believe 
the code attached to the following message is still our current version, with 
the one exception of an |= which is supposed to be an ||=.

There are a few different methods for using LDAP to authenticate, but in 
general it is not especially difficult.  This code uses one common method, but 
could be altered fairly easily to support others if the need exists.

The larger issue, as I see it, is working out the scaffolding (as Mike called 
it in the previous thread).  Since this has been lurking on my todo list for 
more than a year, I guess no time like the present.  I'll try to organize my 
thoughts within the next few days and post to the dev list, then return to this 
thread when something more concrete comes of it.

Hi Ben,

Thanks for you suggestion. Just after the upgrade to 2.0.7, all of our 
computers were upgrade to Windows 7 so everything was wiped clean. 
Nevertheless, I did try clearing the cache for staff client and web browsers 
and still came up with the problem.

Hi Gordana,

We're using 2.0.6, but we've applied by hand several patches from 2.0.7
and the upcoming 2.0.8.  Trying a search on our system for a title with
an apostrophe such as boys don't cry worked just fine without any
change to the search terms.  I tested this in our staff client and OPAC
and both were fine.

What I did notice however, is that if one were to hit the advanced
search after completing the initial search, it would construct the next
screen with my search terms without an apostrophe so:  boys don t cry
would show up instead.  Running that search still retrieved some results
on our system, but not as many.  I'll do some more tests and add a note
to the bug ticket if I can replicate the behavior consistently.

In the meantime, I would verify that you have cleared the cache on your
web browsers and staff client (admin -- for developers -- clear cache)
to make sure that there aren't strange remnants in the code from before
your upgrade.  Then try again.

Hi Victoria,

For me, the 2.0.7 installer prompts with a choice of language - English
(by default), Czech, and French.  Perhaps for some reason your computer
is forcing to French by default.

If others can confirm this though, perhaps my Windows machine is weirdly
loyal to English and isn't showing me the problem...

[OPEN-ILS-GENERAL] inventory question

Hi everyone,

We're planning inventory for our libraries and I was thinking of using laptops 
with metrologic scanners to check in items as we go along the shelves. I know 
this is probably a tough question to answer, but do you think using a wireless 
connection would be unwise for this task? Would it make more sense to use 
off-line circ?

Niagara Evergreen Consortium is also experiencing problems with our
authorities. It's not a performance issue for us. We're just not working
at all. Records have been re-ingested post-2.0.2 upgrade and authorities
were working for a little while...until last Thursday. I've posted
particulars to launchpad...should I post them anywhere else?

Thanks, Dan,

I created a bug  report as you suggested. I was reluctant to do so
since I was starting with the assumption that it was a local data issue
and not a bug. I was hoping to get a few authority data munging tips I
could try before reporting it as a bug.

In regards to finding the French records or records with a catalogue
language setting, this query (provided by Mark Bucholtz) worked for us:

select * from authority.full_rec where tag = '040' and subfield = 'b'
and value = 'fre';

I am not sure if this works for every catalogue since it requires the
use of the 040 tag, but it might be another option for some.

[OPEN-ILS-GENERAL] implementing Summon with Evergreen

Hi everyone,
 
Niagara College is working on implementing Summon. We will need to export our 
added and deleted records on a regular basis. One of the questions that has 
come up is how Evergreen treats deleted records. The questions are:
 

When you run an export of updated records, are deleted records included in the 
file? Do they have a flag in the MARC record to signal that the record has been 
deleted? III Millennium is an example of an ILS that has this capability.
or
Does the ILS output deleted records to a file on the server? Ex Libris Voyager 
is an example of an ILS that has this capability.
or

 
Does the ILS provide a report of MARC records by ID number? SirsiDynix Symphony 
is an example of an ILS that has this capability.
 
I really have no idea how to go about answering these questions. Could anyone 
help me with this? 
 
Btw, any Evergreen libraries implementing Summon?

Yep! That worked for us. We also found that we needed to remove the %due_time% 
from the receipts otherwise it was printing up on the receipts.

It looks as if %due_time% no longer exists (I'd consider this a bug,
or at least bad for backwards compatibility).  However, %due_date%
should be properly localized now, and show the time default.  You can
control the localization with the library setting GUI: Format Times
with this pattern

Hi there,
 
I have a question for the community regarding electronic resources. Our 
electronic resources are not showing up in our catalogue and I'm guessing that 
it's because we don't have any items attached. However, when we look at other 
Evergreen sites, we've noticed that others have their electronic resources 
showing without holdings. Would someone be willing to share how you're getting 
your bib records to show that don't have items attached?

[OPEN-ILS-GENERAL] common due date for all items

We're an academic library on Evergreen and we would like one due date for our 
materials for over the Christmas holidays. We would like to be able to set a 
due date of Jan 10, 2011 going forward that would override all circ policies.

Is this possible? And if so, could someone point me in the right direction?

Last I looked at the hard due date functionality (and participated in  
writing some of it, for that matter) there were two modes, a limit and  
a force set.

The limit would shorten the duration if it would pass that date, the  
force set would say regardless, use this date. In the event the date  
was in the past it would fallback to the normal duration rules.

This is still, however, tied to circulation policies, though a simple  
SQL command could apply it to every circulation policy in the system.

I do not know what (released) evergreen versions support this at this time.

A nontechnical explanation -- pretty much every field, even the 050. Which can 
mean some odd results since the search can return titles where the term 
retrieved is across two subfields -- the end of one and the beginning of 
another (rare, but it does happen, unfortunately I don't remember an example). 
A recent keyword search I did in the PINES catalog to find hitory returned 
records with the Japanese name Hitori. 

It can take a little digging to find out why a record was returned since the 
keyword search brings up things like hitori for hitory (matches exactly 
sometimes helps).

Booking is in 1.6.1 I think if I'm remember the version number correctly 
and if that's what you're referring to.  That's the next planned release 
which is around the corner, perhaps even very soon.  Someone who watches 
the development list more closely than I do probably knows more though.

PeopleSoft and we have been doing daily downloads of student information.
