Be careful about having one list as a member of another.  Might you might get

Just coming around to this, and I agree with Sean and Richard, this is a good 
plan. I would suggest that in the transition period we add the lyris segmin 
list as a member to the new SEGMIN list, so messages to the old system will get 
double-posted. The message volume is pretty low so it is no great effort for 
someone to also contact posters using the old list, with a reminder to all to 
use the new list.

And I suggest we perhaps push a reminder twice a week during the transition, 
acknowledging that we will ne noisy during transition, but after, say September 
17 everything should be back to normal on the new list.

Note that one thing I did was to reinstate membership of "The Mail Archive" in 
the new list.  This membership was dropped from the old list when we moved to 
Lyris, which you can see from the last post from Samir before the new list 
started up. This was January 29, 2003, and I think that was just an oversight.

If you cannot implement 2 and 4 I don't think it is critical.  Someone (Sean or 
anyone) can just send everyone posting to the list a reminder or occasional 
message manually.  If it goes to everyone on the list, no harm.  

We can probably have both systems running in parallel for longer than a few 
weeks.

So Sean, I think the spirit of your schedule is fine, the details do not matter 
too much.

I know we can modify the header/footer of an email post that goes through 
Segmin. But, I do not believe we can send a separate email to the user 
informing to move to new list. I'll have to do further research on this. I am 
also able to produce a members list to you in CSV form which will include their 
membership status such as subscribed, unsubscribed or held.

Next steps.

I was thinking of a few things.

1) we want to let people know about the change knowing full well that many 
people ignore their emails on a regular basis
2) there should be some transition period
3) people don't like spam

So a possible solution would be the following

1) On September 5th send out a message informing people that change is coming. 
The new list SEGMIN system is up an running and they can switch.
The old lyris SEGMIN system will remain in place until October 12th (Friday 
before the SEG AM). People will be given instructions to join the new list 
serve and the message will also state that communications on the lyris segmin 
will end on September 17th.
2) During the transition period between Sept 5th the 17th all posts to the 
lyris system will include a header stating that communications on the lyris 
listserve will stop on Sept 17th and that they should really be on the new 
system.
3) On Sept 17th we send out a welcome email on the new list serve. In that 
email we mention that people should unsubscribe from the lyris list in order to 
avoid getting a bunch of spam about leaving lyris on Sept 24, Oct 1, and Oct 8.
4) After Sept 17th anyone trying to post to the lyris SEGMIN will receive an 
email telling that it is no longer in use and that they should sign up for the 
new lists SEGMIN.
5) On Sept 24, Oct 1, and Oct 8 we send reminders to people left on the old 
lyris list.
6) On October 12th a final reminder will go out to everyone on the old lyris 
list stating that it will be shut down and everyone unsubscribed.
7) In November we can advertise the end of the old segmin list and the official 
beginning of the new SEGMIN list server in the KEGS Bulletin, BCGS Bulletin, 
Saskatchewan GS etc... I will also mention it during the SEG mining sessions.

A few questions.
Are #2 and #4 possible with the lyris system?
For #6 I would need to have permission to send messages on lyris (where 
everyone else's had been revoked) or I would require getting a snapshot of the 
list membership on or close to the 24th, Oct 1, Oct 8 and Oct 12th and email 
those people directly. Being allowed to send via lyris would be preferred.

Let me know what you think.
