Hi
Jannah,
There
are fields in ebase that are calculated based on the values in other ebase
fields and files. However, they are not calculated instantly whenever a
change is made to one of those other fields. Instead, they are only
recalculated when the user clicks the button that updates these
calculations. Since these find fields include things like whether a member
is lapsed (as I understand it, anyway), it's important to update the find fields
regularly. You could imagine mis-doing a renewal mailing based on the
wrong information as to who's current and who's lapsed ...
To
update the find fields, click the ADMIN tab from the HOME screen. Once
there, click the 'replace all find fields' button, and click OK etc. as
needed. I usually just update all the find fields, so I don't enter a
START DATE and instead just click CONTINUE. For a large database this can
take a while (20 min for ours, for example). (all these directions are
given for ebase v1.02 -- I don't know if there are any differences in other
versions).
Good
luck,
Eric

Jannah,
My sense of database management is that it's very important to do the detailed records of modifications you make. To me, it's on the same level of importance as making regular backups and regularly updating the find fields.
When you upgrade to (say) ebase 2.0, it'll have its own look (similar to unmodified ebase .102/.103? I don't know, but would guess so). If you want to re-add the customized features you had added to the earlier version (fields you've added to screens, other custom layouts, additional fields you've added to the database, new relationships, etc.), you'll need a careful record of what these are.
I know in the short time I've been working with ebase, I've already made more modifications than my memory can track -- I'm already dependent on the detailed records to reconstruct what I've done.
I hope these thoughts are helpful.

We've just adopted ebase and I am planning to make a number of changes. To document them all in detail feels like a big task. What plans or revisions are likely to happen for ebase, how many changes and how difficult would it be for "a filmaker pro" to implement them in my 'version' from ebase's instructions? I certainly understand that I can only expect an educated guess here... Thanks, Jannah Riemer Data Manager Cornucopia Community Advocates Sedona, AZ
