Raj, Based on your criteria, I think you would be better off with a
document management program of some sort, i.e.  Pagis Pro or PageKeeper
Pro, both put out by Xerox, also PaperPort... the latter two will allow
you to drag-n-drop or automatically look and  update your attachment
directories for you, and then it will keep its own database of all words
in the documents.  You can then search in depth if you wish, based on
keywords, or combinations and pop up your documents.  In the case of
PageKeeper, your documents are still kept where they always are, that is
the attachment dirs of TB!.  I have used these programs for 1000s of
documents for quick retrieval, and they work great.. You can see
thumbnails of the docs, open them, and go from there.  You can also put
in your own criteria for searches based on what you say below.

Just some thoughts..  

p.s. Pagekeeper does not work in W2K, but W9X and NT.  The others work
in all M$ stuff.
