Hi Mark,

I don't know the internals of VirtualBox however what I can say is when
you're looking at merging an existing VDI with another site, the supported
way is to clone the VDI - see the User Document.

If you're only looking at having folks access to Office, why not setup a
single VM as a Windows Server and give everyone a login?  I'm not a Windows
person but it seems that may be the way to go; perhaps using remote desktop
sharing + port forwarding on the Host O/S?  Anyway, just some random
thoughts.
