Problem sorted! Thank you Ronni for the Connection Doctor idea, which
showed a red light.
Luckily it wasn't as complicated in the end as keychains, incoming
ports or SSL, 5 minute mail retrievals or any advanced settings.
Our email address has always been @bigpond.net.au and our incoming
mail pop server to be set as [email protected] .
The usual mail.bigpond.com (which everyone else uses), never worked
for us, for over 10 years.
However it seems Telstra have changed their servers for
@bigpond.net.au address customers, deleted the pop-
[email protected] incoming mail server, and we didn't know.
mail.bigpond.com works for bigpond.net.au customers now.

4) Tried deleting the mail account Mail -> Preferences -> Account
altogether and re-establishing it again.
5) Mailbox -> Rebuild
but each of these options haven't helped, even slightly.
It's a business email address, so we can receive up to 100 emails
each day on a busy day. We keep all trashed emails to
electronically measure our workflow, so deleting our large trashed
emails folder isn't an option either.
I'm turning to WAMUG as a last resort - I hope someone would have
heard of a workaround.

Have Bigpond made any changes to their settings?
Click on Window in the menubar, and choose Connection Doctor -- what
does it report about the incoming server and the SMTP?
You don't have a tick in "Use SSL" do you? That's under the Advanced
button in your Mail Account Preferences.
Mail > Preferences > General - Check for New Messages: How often do
you have this set at?
If you are experiencing a slow connection when you're trying to
download a large attachment for example, and then your mail client
tries to check the mail again before it's finished with the last
one, this can cause you to receive this message.
I have mine set for "every 5 minutes".
Mail can use any of several methods to send your mail server your
user name and password. If you selected a method your mail server
doesn’t understand, it will complain.
On Mail’s Accounts preference pane, select your account, and click
the Advanced button.
At the bottom of the Advanced view set the Authentication pop-up
menu to Password, close the Preferences window (saving changes when
prompted) and try to connect again.
If the error remains, repeat the procedure with the other options,
starting with MD5 Challenge-Response.
I would have originally suggested deleting only the
'mail.bigpond.com' items from the keychain and also 'Repair Keychain'.
1. Open Keychain Access, located in the Utilities folder in the
Applications folder.
2. Open Keychain Access
3. Choose Keychain Access > Keychain First Aid.
4. Enter your user name and password.
5. Select Verify and click Start. Any problems found will be
displayed.
If there are problems, select Repair, and then click Start.
