Hi Stephen Generally if it’s the window you’re describing asking to use the “usual AppleID” then the password it actually wants is your computer password. (As it most likely has your AppleID password saved into a special encrypted token), so it’s then asking you to enter your computer password to “authorise” the computer to access that token. So when it pops up, you just enter your computer password and it will then log in as per normal.
It’s so you can use your own AppleID on your own computer, but if someone else a) tried to access it that can’t - without knowing your computer password or b) someone else can log in to their AppleID had they want to check something. But your normal computer password should then take you to the step without having to go the long way you mentioned.
