As for 2012 and beyond, I'll send an e-mail to the organizers soon with guidelines for getting the videos to us in a way that's useful to us; a lot of the WMF-side delay was because the data we got wasn't as useful as it should have been, so we probably didn't xommunicate what we needed well enough. That email will be very useful, I'd suggest to copy such documentation to https://meta.wikimedia.org/wiki/Wikimania/Handbook#Upload as well (someone will refactor it if needed). I think that asking the WMF to deal with conversion and hard disks is an inherently bad idea; it's wrong enough to need server-side uploads... Uploading to archive.org will avoid most of the headaches which were mentioned.
