Kirsten:

I structure my to-do list items in a similar fashion to how you do it - i.e. "Find John Smith's birth certificate". Then I put the to-do item under the repository that I want to search first - i.e. 'findmypast.com' or whatever. If a search of the repository comes up negative, I note that in the 'results' tab on the to-do item so that I have a record of the places I've searched. Then I change the repository for the to-do item to the repository that I want to search next - i.e. 'familysearch.org' or whatever.
