Thanks for all the ideas on searching the Master Source. I start each source 
with the word Source, i.e., Source 1, Source 2, etc. so that if I want to go 
back to the copy of the source to confirm the information or to make a copy 
of the source for someone who has requested it.


How do the rest of you file your sources if you don't somehow number them in 
the file folder, 3 ring binder or however the sources are filed if the 
number on the copy doesn't match the number of the source.

Hi Ruth,
Put the Number you have in your file in the File ID slot rather than 
the Source Name - then you can still easily go from Legacy to your 3 
ring binders. I'm more specific and have my originals numbered with 
type and a number - eg: Birth001, Ship(ping List)001, Obituary001 etc

Thanks, Cathy, for the helpful suggestion. I did not even know what my 
options were to put in the File ID. I've tried a couple of my sources, and I 
believe this will solve my search problems and still maintain my ability to 
find the actual document in my 3-ring binders.


I just knew I'd find someone in Legacy-land that would help me. It's an 
early Christmas present for me - thanks again.

You can do a search for a master source. You just have to think outside 
the box, so to speak.


1. Open your sources master list.
2. In the uppper right you will see a selection for Options.  Select it.
3. Select print.
4. Select preview.
5. When it presents you with a preview, select Create PDF.
6. When your PDF is created, open it and search to your hearts content.

You won't be able to use any wild cards, but you can search for words or 
phrases, which should let you find what you need.

I have followed the same basic procedure Bob has discussed below. One 
helpful addition I have made is to start all the place name sources with 
an @ symbol so that they do not co-mingle with surnames. I also use a 
dot (.) in front of the IGI, SSDI, etc type entries to ensure that they 
sort to the top of the list.

(likewise renamed to A-SSDI), and the Ancestral File.  I have found

Thanks for the tip on using the @ sign.  I experimented using various
symbols and found that they sort in different orders.  For example, a #
sorts above a period, and a + sorts below an @, while a $ sorts below a #
but above a period. This opens up all kinds of possibilities for tagging
sources that I had never considered.

Not that I know of ... unless you use MS Access.

You could also export your file to a GEDCOM and try searching (from the
bottom of the file) for your keyword in a text editor. Crude, but it
should work.

I know of no way to search using a keyword but if you know of an event or 
person where you've already used this source, just bring up the data and use 
copy to copy the source to your clipboard. If you need to change/ edit the 
detail, do that before you begin using it for the current event(s).

I have approx 550 sources, not nearly as many as you, but I make my list as 
easy to use as possible by prefacing the Source List name with identifiers like 
Will: Book: Marriage record: 1850 Census: Obituary: Death Certificate: CD: 
Newspaper: Personal Research: etc. This way, I can quickly move to the area of 
interest in my source list and then use page down to quickly move through this 
specific area of sources. These Source List Names aren't used in the printed 
source, as they're only for my benefit. When I click on Cite a Master Source, 
I just begin typing Bo and the list jumps right to the beginning of the list of 
books I've cited as sources. Then page down moves me quickly through the list 
until I see the book source I'm looking for.

Other users may have similar ideas to help you organize your list. If so, I 
hope they chime in with their methods of handling a large source list. We can 
all learn from each other.

If you go to the individuals list of sources and click on the 
button Cite a Master Source the list of sources that appears 
has a find line at the top. Unfortunately it will only find if 
you know the first few letters of the source list name. The find 
searches the list starting at the first character. The Master

source list has the same search capability.

As you start to type a source list name the list below will be 
positioned to the first source that has that search string at the 
beginning. I know of no capability to do a search for key words 
etc within the source list name, nor is there a search capability 
for the Source Title which is a different field (see the article 
Geoff Rasmussen quotes in his reply).

I also use a prefix for the type of record and it works quite well. 
However, I'm wondering if Legacy would consider adding a click box on the 
master source screen where the user could select the type of record he/she 
is looking for (i.e. cemetery, church, will, vital).  This would be a great 
help to those of us who have lots and lots of sources.


One other thing I did was to consolidate my master source list a bit.  At 
one point, I had a separate source for each person's will or probate record 
obtained at the county courthouse.  Now I list something more generic like 
Any County, State Will Books and just leave all the details to the 
citation detail.

I too have several hundred sources but I preface the source list name with
the two letter abbreviation of the state (most of my work is in the US).  If
I still have a relatively large number of sources for a particular state
(like Virginia), I then add the name of the county so I get something like
the following: VA, Amherst County, Wills (1761-1865) which lets we quickly
find the source that I'm looking for by searching for, va, am  which
points me to an alphabetical list of all my sources for Amherst County
Virginia - I chose the STATE, COUNTY naming convention since state names
(i.e. abbreviations) are unique, county names are not.

I can then easily select the source of interest and verify that it is
correct by reading the output tab below the Source List Name window: i.e.
The Wills of Amherst County, Virginia (1761-1865), Rev. Bailey Fulton Davis,
Southern Historical Press, 1985.

A drawback to this technique is that if you can remember the name of the
source (like a book title) my method will not work as easily as just
searching for the book title, but I do obtain a relatively short list that
is sorted by geographical location and then I can look at the list and find
the correct source be it book, court record, cemetery record, etc. without
much difficulty.

The above only works for sources that are location specific (or if you force
a source into a specific area), so I also use master sources like: obituary,
death, marriage, birth certificates, wills, etc.  When I cite them for
specific individuals all of the detail information goes into the source
detail - name, date, location, newspaper, etc.

Not perfect, but it seems to work for me so far and I don't have to remember
too much which is good since those senior moments are becoming more
frequent.
