I felt during DC12 that we didn't have such things like global and local team, and we worked as one DebConf Team, with local people working on DC subteams, asking how things were done before, keeping some things and changing others (IIRC), for me that was great or at least I felt that way. Having new people every year it could be a problem if they has to think how to do things (already done in previous DC) and not ask how to do it or read how to proceed. I remember to read some wiki pages darst created under a DebConf manual category, I read almost all final reports located in media.dc.o, I asked people (I asked lot of things to darst, gwolf, moray, holger) and it helped me a lot in how to understand how DC works and not to reinvent the wheel. That said, one of thing we need to do is to define clear roles, powers of that roles and procedures on how teams should work (throug manuals), we have lot of people doing DC a long time ago so this should not be so difficult. I found this lost in wikipage from 2013[0], did you check it? Having just a DebConf team and not things like global and local team should allow us to work better, to know that we are just one team with people living in the Debian Conference city and people around the world and not two different teams (because that's what it could happen), both (local + global people) should have experience organizing. Is a must for DebConfN+1 and new people to join DebConfN team and learn how things works in DC organization, we don't need to reinvent things, we need to ask people from previous years, dig into wiki page, repositories, that's why we keep everything in git and wiki. IMO those procedures already exists in DC orga, we just need to write them down. I do believe some DebConf Chairs, DebConf elders team is needed, not by telling DebConf team what and how to do things, but to check things are done in time under standard procedures already stablished, to be the communication between DebConf orga and the Debian Project. Don't think this team needs to be formed by people from 3 past DebConf, but for people with experience organizing DebConf and desirable with a organizing events experience background, and this team should not have the power to remove someone from DebConf team, this is automatically done by the same problematic member, and I don't think new people needs approval from DebConf chairs, elders or something. Most of the process and proposals made by madduck[1] in wiki, to me looks like the same way DebConf has been working until now. The deadline for requesting sponsorship is on Thursday 2014-05-15, and we are aiming at producing the results by Sunday 2014-04-25 to give sponsored attendees time to get good prices on plane tickets. We have a week where you'll need to concentrate your work/time so we can produce our results and delivery them on time. First, to be part of the Bursaries Team you can't request travel sponsorship for yourself, the goal here is to avoid influencing the decision process, and also to reduce legal risks for fiscal sponsors. Second, some time and patience. You will have to go through the amount of people requesting travel sponsorship (you can expect it to be between 50-150 people), look at their reasoning as to why they are requesting it, how reasonable their requested amount sounds (yes, reasonable is too broad a word -- the team will have to decide about it), and rate numerically. Usually, once the requests are rated, we define a cutoff value. Third, an extra bit of time and patience. We will try to coordinate asynchronously by email, but an IRC meeting might be necessary to make the final decisions, ensure the produced list looks sane, and to find any hiccups before they explode. And if they explode, believe me, it can be ugly. But they don't have to explode at all, as we are nice and careful ;-) Finally, to meet the requests for transparency, we have to report our work, without breaching the privacy of the people who request this sponsorship (again, as this is a very personal, social and money-related topic, it can be very touchy). So, the work will not finish as soon as we deliver the list, but somewhat later, quite probably a bit after DebConf itself. Again: You don't have to be a DebConf long-time organizer nor attendee. You don't have to be a many-years-long DD. We want the group to be diverse, and that *surely* includes people that simply are not in the same intra-Debian demographic group that most of us are. I checked the DebConf Manual [1] but there is nothing about the Network. We will probably also have a much grumpier network team (is that possible?) because setup work will take them away from the other scheduled activities of the conference itself. If we have no debcamp, does the PDX team have a proposal for how to get the conference network in place effectively starting on the first day? DebCamp is NOT about DebConf setup. We will ensure that the network and video teams have all reasonable access for setup before the start of the conference, and are prepared for the local team to act in an advanced reconnaissance role wrt the venue facilities. But let's not conflate that with the question of DebCamp. Effective exchange rates depend on how FFIS and SPI transfer the money (e.g. international wire transfer, XEtrade, currency conversion fees, etc) and on what date the money transfer to ISIC (or direct venfor payment) is made. Any exchange rate provided by the vendor in their document is probably going to be different than what we actually get. Conceptually, if the obligation being presented to FFIS or SPI for payment is in cordobas, then it's up to FFIS or SPI to figure out how to make the right amount of cordobas end up in the right place by the deadline. A dollar or euro amount is only relevant to their subsequent recordkeeping and for DebConf's budgeting. Right, what I know organizations does in those case, is to exchange dollars to cordobas in a bank, so you will have a official support of the exchange rate. I think that will be ok for you. Hi Team, This week I had another meeting with UCA networking team, and here is some things we check for every room, remember that we will use four rooms (Aula Magna as main room, Gorostiaga as HAcklab, Roberto Terán as second talk room and Armando López as third talk room and/or hacklab) As I told you before, we have a Catalyst 2960 G24TCL as the Main debconf switch borrowed by a member of the local free software community, three gbic connectors, three patch cords and two 1000 mbps transcievers. = Aula Magna, with Video = * On the communication room side ** It will be connected directly to the DebConf switch. * On the room side ** Now it has a 100 mbps with a 100 mbps switch. ** We will remove those and we will use one of the two 1000 mbps transcievers de 1000 mbps (tp-link) ** We will need one 1000 mbps switch here. = Gorostiaga = * On the communication room side ** It will be connected directly to the DebConf switch. * On the room side ** UCA will give us a 1000 mbps transciever ** We will need switches. = R. When you say quotes, do you mean something that means DebConf12 is obligated to pay .XX cordobas to us by June YY for the purpose of , even if there may be more payments in either direction later to finalize things? In that case, if you give each organization quotes, receipts, and invoices as they are available, it will probably meet all the requirements. Hopefully FFIS agrees - I certainly am less familiar with their needs than SPI's. Hello Team, I would like to know what is the procedure in order to transfer DebConf12 money from SPI/FISS to Nicaragua. We are very close to DebConf12 and we need to pay some things. Hello, We were discussing about the sponsorship levels for DebConf12 on IRC and now we're taking the discussion to the maling list. :) We have a (draft) Spanish version of the Sponsorship brochure on the wiki [0] and we are checking the sponsorship levels [1] with the debconf-sponsors-team. Please make any suggestions to this document. At the local team, we believe that we need to have some kind of Debian Day sponsor level. There are local companies who wants to promote their service/products to local people, that's their target and maybe they could not find attractive to have global presence since they have a local market only. We were thinking of a Debian Day sponsor level including the benefits from the steel level plus * Booth during Debian Day (The Debian Day team is checking with the venue the availability of spaces for booths during Debian Day.) * Logo on Debian Day advertising material (We'll distribute posters on universities and other public spaces to promote Debian Day locally, and 1 or 2 Debian Day banners located on the Debian Day conference room).
