all reports go to dedicated mail boxes (one per doctor) which are polled
automatically and the results land in a common "inbox" within our EHR
program.
Reports not checked same day will be open for grabs by all other doctors next
day.

Other clinical email (= email that needs human attendance) is explicitely
discouraged - but all doctors can access their respective clinical mailboxes
(again one dedicated email address per doctor for this purpose) via webmail
at any time (because these email accounts are NOT for personal use)
We have no policy of checking however - because we discourage such email. It
should all happen via automatically importable "reports" in PIT or HL7 format
vi machine-read mailboxes.
