I should also note that I had to edit a few other things, like when Excel dropped leading zeros from birthdates and ssn's.

I don't have any sample data, but I have imported real patients. Thurman sent me a routine, which I tried, but didn't get to work, so I started with FileMan. This actually applies to any file import, like referring doctors, cpt codes, etc. I got most of this from the FileMan documentation from VDL.

1. FileMan has "mandatory" fields for each file, so you either need to import these, or change the file attributes so that they are no longer "mandatory". The latter is actually easier. Using the Data Dictonary option in FileMan, display the fields, and make note of those, "mandatory" fields you don't want to import. You can also display a list of "required" fields if you install VPE from the hardhats site. Then "MODify file attributes" to change "mandatory" to "no" for these fields.

2. Export your data from your old system to a spreadsheet, choose the fields you want to import and save those columns. You may have to concatenate names to fit the default FileMan .01 NAME format of LAST,FIRST M. Save this as a comma delimited file, with text in quotes. Make note of the order of the fields and the data they contain.

3. Enter FileMan and under "OTHer options", choose import data. You have 'external data', enter the full path of the source file then the file name. You can choose your saved format under 'foreign format' or just tell FileMan how you saved it: no to fixed length, comma delimited and yes to fields quoted. Then enter "Patient" or the destination file in "VA Primary file".

4. Choose 'field selection page' (or saved template the second time you do it). You are then presented with the selection page where you specify the fields, in the order that they appear in the saved file.

5. When you have selected all the fields you wish to import, exit, save and run the import. If you didn't fill or remove the 'mandatory' for a required field you'll get an error which doesn't tell you which field. Format errors, like dob or ssn are identified.

Good luck,

Mike

What?? You couldn't find any easy How-To in the VDL (VistA Doc
Library)? TiskTisk! LOL!

Sorry, about the bad joke. Don't feel bad about the difficulty in the
VDL. It takes quite a while before you can get to the point where the
documents start to make sense.

There was a post recently about this (about 2 months ago). Do a
search in the archives for "import" and "patients".

As I recall, they put the data into an .xml spreadsheet, then used the
fileman import into the PATIENT file.

The key issue is to ensure that each record that is imported has
certain fields that are "required" fields. E.g. Patient Type, SSN,
Vetaran? Y/N

If I can find that post, I'll put a URL here.

Hi:

1. I found a few threads on importing mass data, but can't seem to find a general procedure/tutorial on how to do it properly. Does anyone have a set of sample patient data that can be shared for educational purposes?

2. I checked Vista Doc Library and can't seem to find the right document. Is there any known procedure/documentation for importing patient data?

Thanks,
Meyer
