AFAIK, there is no readymade solution for this. Decipher-
ing through contents of mail/text is very much a  "human"
task. Some rudimentary checks for key  words can be made,
but cannot replace the manual bit. Samjhe ?

You do NOT need any MTA for backup. As a sysadmin, I ass-
ume that you are offloading all mails centrally, and then
distributing to users' mail boxes. If you use procmail to
do the  distribution you can have  multiple  copies deli-
vered to backup/ duplicate mbox files/ maildirs  as well.
Any MTA will do ... can  post  sample .procmailrc entries  
to you if needed.

Regarding pruning outgoing mail, I second  Devdas's  idea
of using a mailing list manager (mailman is quite okay).

The files regarding users and groups are kept in "/etc/passwd"
and "/etc/group". To edit them, it is best to use vipw utility
and vigr utility as root. All permissions are correctly set.
