There is a limited time, and a lot of effort required to make all this 
happen.  Is there a plan?

I'm not saying there should be a detailed, timetabled activity list, but 
there should be a list of things that are good (if not essential) to cover, 
to make best use of the time.  Ideally this is accompanied by a list of 
things the kids already know, so that time is not wasted going over them 
again.
