     What can we do to prevent this type of things in the future?.  I
    don't want that our entire team gets further requests rejected
    because of this mistake and obviously we'd need material, we've
    got a fairly big number of events the whole year so the material
    is really needed.

    To sum up, my apologies for the inconvenience caused by this
    situation, I take full responsibility, and please clarify to us if
    anyone can request material from Canonical or if only the official
    contact is allowed to.

Whomever is doing the Shipping at Canonical can check your Teams Launchpad Page or http://loco.ubuntu.com to confirm the recipient is a team contact/admin. The wiki should clearly state who is responsible for sending requests.
