Hi Christine,

You are right, a slot for typing reports will kill the energy. It is my experience that in short OS meetings, people will not take the time to sit down at a computer to write reports outside of sessions. The time is so short that they want to use every minute of it to be in conversations.

So what I usually do when I have a short meeting is to provide flip charts and markers in each break out space and encourage people to use the flip chart to record their meeting. This has a number of advantages:
- the report is created on the fly;
- the report is created by the whole group, or at least for the whole group to see and to contribute; - flip chart and markers invite much more creativity and graphical outbursts than a computer screen with MS Word;
- the report is done when the session is done.

As soon as the session is over, I collect and photograph the flip charts. On a computer, I put the pictures in a PDF document that is ready for distribution within a half hour and lands in people's mailboxes before they get home.

I hope this helps.

Good luck with it and let me know if you have any more questions

Hi dear OS community

I'll be facilitating soon a short OS event of about 3h1/2, at the end of a 2 days conference for women involved in politics. The host insists on having typed proceedings, because she expects the OS part to boost empowerment in participants and encourage them to be more and more professional in their involvement (and stay in politics in spite of all kind of troubles women face in this kind of career.).

In the beginning she was thinking of having staff type reports but I discouraged her and she agreed to it. So we will have computers to type reports . Reports will be typed by participants themselves.

However I never organized typed reports within such a short event so I would appreciate your advices and experiences. Right now I suggested 2 rounds of one-hour-session then a break of 1/2h in order to type reports then closing circle. But that makes the break quite late in the afternoon and just before the closing circle: this doesn't feel optimal.

What would you suggest ?

Christine
