Are you (all) on OSX?
If so I think the easiest way to do this is creating a v-card for the new
employee, mail it to everybody and dropping it on the (Apple) address
book. The (automatic synchronizing) should do the rest.

Personally in my (very small) company we (2 pers) are using iSync to keep
up with each others (business) contacts and the business iCal.
