Re: general publication quiestion
I publish in pdf and in printed formats. The people who read the pdf do indeed think that the empty left page is a mistake, even though it has a header and footer. In fact, they print from the pdf. So I changed the format to delete empty pages. I don't print often anymore, but when I do, I have to force some empty left pages in order to get the chapters on the right pages. Some day, if I convert to structured Framemaker, I'll just use a printing style sheet and save myself some time. RE: Continuous Numbering in FrameMaker
Sorry to chime in late. Here's how I've done it when I needed a documents page count elsewhere. A paragraph with a format called PageCount placed on A REFERENCE PAGE! Then you just put the page count variable as the only text. You then Xref to the last document in a book. No need for blank paragraphs or white text (which is selectable in a PDF. Yuck!). Eric L. Dunn Senior Technical Writer Tammy Van Boening [EMAIL PROTECTED] wrote on 10/16/2006 05:19:54 PM: Ok - a quick follow-up to this. For the empty paragraph tag, you need some kind of source text for the paragraph to select for the x-ref, so what I did was set up an auto-number format with the phrase TotalPageCount and set the color to white so it doesn't show and I have a cross-ref. format called TotalPageCount set to pick up only the page number of the paragraph. I set this up on the master page footers and it works like a charm. Thanks Fred. Re: Question on external formats and question on TOC settings
I see that you have got very good replies to your question, but because you mention CSS, I gather that you are familiar with HTML/XHTML/XML. At the same time the question rather implies that you are not familiar with Structured FrameMaker. Structured FrameMaker works in a similar way but much more efficiently, one of the main differences being that the styling is more or less intermixed with the Element Definition Document (or the EDD) which basically works as a combination of a DTD and CSS. Based on how you set this up (you can have the EDD refer to the Paragraph and Character catalogs or do all the formatting within the EDD even in a hierarchial way such as with CSS). When you have set up the EDD you can import it, even if only to get some formatting changes into the document you are working on. But this is harder to learn than meddling with the Paragraph and Character Designers. I hope this will not scare you away from looking into the Structured FM. It has its definitive upsides for a lot of document types. Bodvar Bjorgvinsson Air Atlanta Icelandic. I'm excited to be on this list and to learn from your collective experience. Today I come with two questions. First: is there a way to use an external formats document similar to a CSS style sheet using unstructured Frame? I have four books that I'm developing concurrently. The average book has 6 chapters, so I've got a good number of individual .fm documents I'm working with. As I go, I'm encountering new format needs. I modify the format accordingly, but then I have to import that document's formats into all the other documents I'm working with. I'd like to know if Frame has an external formats document that can be referenced, such that formats changed in that document are automatically reflected across all documents that link to that formats doc. Does that make sense? Do you know any way to make Frame do this? (I'm stuck with Frame 7.0 for now.) Second: When you build a TOC, is there a way to get Frame to insert a tab between the heading text and the page number? I'm having to do this manually every time I build the book files (which is daily, because I'm making my in-process work available to our internal developers and support people). I'm just sure there must be some place where I can tell Frame that I want a tab between the heading text and the page number. I just can't find it. Any help available? Thanks. I too have always considered it a strange paradox when I see the words This page intentionally left blank. But there is no need to use it. == Mis-printed technical documentation has real-world consequences. A printer device can misfeed two or more sheets at once, inserting completely blank double-sided sheets, or, even worse, it may print one side properly, but mis-feed two or more sheets at once on the second pass to produce the backside pages, which results in an incorrect blank backside for one or more pages. snip How, then, do you prevent such consequences. There's only one way, and that is for users to be trained that any completely blank page or page side constitutes an error that must be corrected. Consequently, every single page must have text. The logical solution for an intentionally blank page is to place the statement THIS PAGE INTENTIONALLY LEFT BLANK in the center (not the edges, which may be incorrectly trimmed or mis-printed) of the page. All this concern over completely blank pages strikes me as odd. But then, I read Charles Beck's explanation of *why* there's no need -- the part about *headers* and *footers* that's conveniently snipped above. And only one way? This is beginning to sound more like a religion than techwriting advice. In the past, I've used a level-1 heading that reads Notes at the top of the extra page (below the header's ruling line) -- does that lack the rigorous user training component that the statement THIS PAGE INTENTIONALLY LEFT BLANK seems to possess? What about this in the center bit? Does it have to be horizontally centered too, or can it align left in the text column? For that matter, if you have wider inside than outside margins, should it be centered on the page or in the column? For those of us who like the golden ratio, would it be beyond the pale to place the statement 1.62 times as far from the bottom of the page as from the top? I think that would be more aesthetically pleasing, FWIW, but I admit I've done no research of the effect on user training. And since I brought it up, there's this from will white: Isn't there also a matter of aethetics? An empty chapter end page consisting only on a header and a footer is, in my estimation, an eyesore and an embarrassment. Glory be. Border being generated around a page
Hello. I have a document that spontaneously generates a border around the first page only when I make the PDF. The book is made up of several files and set at 5.5 x 8.5. I use Frame 6.0p405 on Win XP, and this occurs with using either Adobe PDF 6 or 7 printers (I print to PS and use Distiller). I've been having to delete the border in the PDF manually, and I cannot figure out why the border is being generated in the first place. Anyone else encounter this and how to prevent it? Read/write rules question - retaining markup attribute
Hi, I'm trying to set up the read/write rules for my XML files and have run into a problem. I've cheated a bit with DITA and am using the 'otherprops' attribute of 'table' to store the table format. I'm using this rule: attribute otherprops is fm property table format; I set this attribute in Frame and also select the corresponding table format (the same value). When I open the file in FM the attribute value is lost, and the table is formatted correctly. I looked in the structured developers guide and found that this is as designed: If you use the is fm property rule to translate a markup attribute to a FrameMaker property, the markup attribute does not also appear as a FrameMaker attribute. My question is, is there a way to do this so that the markup attribute does appear as a attribute of the element in Frame. I'd like to keep this value so I can test it in the edd and format the text in the table accordingly. I could misuse another attribute and store my value in one, and the FM table format in another. But I'd rather keep the misuse to a minimum. Any ideas?
Any ideas? Master pages refuse to be applied
Structured FrameMaker 7.0, Mac, OS X 10.4.8. I am going nuts here. I made a change to the height of the text frame on left/right master pages. I reapplied the master pages: the body pages did not change. Now get this: if I draw a small measuring line on a master page that is the length of the gap between the top of the main text frame and the top of the page, then cut it and paste in onto a body page, *the text frame on the body page becomes correct*, i.e. it takes on the definition of the master page. Removing the line and moving forward and back through the pages causes the body page text frames to revert to their previous, wrong, dimensions. Let me summarize: changes made to master pages in this document refuse to be applied to body pages. Clear Quest/Case with Framemaker files
All, My SCM guy is swearing that Framemaker and Clear Quest/Case don't play nicely together. I am not even remotely knowledgeable enough about Clear Quest/Case to refute any of his concerns. At previous gigs, we used either CMVC and therefore, just checked in/out the PDFs (never had to deal w/ the Framemaker source files) or VSS, which meant that Framemaker source files were not an issue. VSS handled them just fine. If anybody can provide any insight whatsoever about using Framemaker and having Clear Quest/Case as your source control tool that would be great. Is there anything special that I have to do with the Framemaker source files. (Right now, my SCM guy wants me to save them as XML files - I can't intelligently explain as to why this is his reasoning), and I don't see any need to link the Framemaker files in a book in Clear Case, but he says that has to be done and he needs to figure out how. general publication quiestion
Your "snip" below deleted from my original post the main reason I gave for why intentionally blank pages should be unambiguously labeled. The snipped part was: "The fact that, more and more, technical manuals are being delivered as computer files, not professionally printed and bound paper documents, increases the likelihood of printing errors when users print out all or part of a manual, and thus unambiguous identification of blank pages becomes even more important." "In designing technical documentation, technical writers have an obligation to consider the impact of such things as printing and binding errors, particularly when such errors could have life-and-death consequences." = As the military has learned, some readers of technical documentation are not at the bright end of the mental continuum. Unless blank pages are unambiguously labeled so that even a low-wattage brain will get the message, the military has learned that some very troubling outcomes occur. The US military conducts, as a matter of course, thorough reviews of snafus to identify the causes of the foulups. Instances where poorly designed or written tech manuals contributed to a snafu are extremely common, and corrective actions are often recommended, which result in changes in MIL specs, and/or changes in the validation and verification process for military tech manuals. The standardization on the "THIS PAGE INTENTIONALLY LEFT BLANK" solution was found to be the least ambiguous way to identify blank pages, because it allows a simple training mantra, namely: "If you find a blank page in a manual which does not contain the above statement, something is probably wrong. Stop what you are doing, and seek advice from your superior." The fact is that the US military is the only true laboratory where technical documentation is subjected to extensive post-publication review to determine its effectiveness in the real world. Findings resulting from analyses of actual foul-ups lead to continuing improvements in tech manual instructions. Those who write manuals for non-military applications ought to also take advantage of that laboratory. --- "Combs, Richard" wrote: > Daniel Emory wrote: > > > --- Charles Beck wrote: > > > Maybe I'm missing something, and then again, > maybe I'm not. > > I too have > > > always considered it a strange paradox when I > see the words > > "This page > > > intentionally left blank." --- Shmuel Wolfson wrote: > I always felt that "This Page Intentionally Left > Blank" sounds a bit > weird. Why would you intentionally leave a page > blank? I vote to change > it to "This Page Left Blank for Double-sided > Printing." What about the case where the manual is only delivered as a computer file, and the user prints out all or part of the double-sided manual as a single-sided document on local printer? Now a typical dimwit reader will become confused about what it means. The addition of "For Double-Sided Printing" adds an unnecessary confusion factor which adds nothing to the intended meaning, regardless of whether the manual is printed single- or double-sided.
Read/write rules question - retaining markup attribute
Hi Lynne, Thanks, it works perfectly. The name of the table format and the attribute value are the same, so no problems there. The reason I want to do it is that I format the text in the table based on the type of table it is. It's not that much work to enter this information - every time I choose to enter the element 'table', I specify that attribute from a list of choices, then specify the table format in the next dialog. The real reasoning behind all this is that I am misusing DITA a bit in another way: rather than use the 'note' element for notes, I am using tables. The style guide says that notes should be in a gray box using italic font. I found the easiest way to do this in Frame is to put the note in a single cell table. The table format creates the gray background, I set 'otherprops' to 'note', and then test the 'otherprops' attribute to format the text. I do this with a couple of different types of tables, mostly when they are used for formatting. If anyone has any other suggestions to cope with this, I'd love to hear them. The information is stored in both the FM and XML representations of the document. As you've described, when you open an XML document, FM uses the attribute value to set the table format. When you save the FM document to XML, FM will export an attribute. If you map the XML attribute to an FM attribute, there's no way to keep the table format in synch with the attribute value. When you insert a new table in a document, the Insert Table dialog box will appear, allowing you to select a table format. Short of a plug-in or FrameScript, there's no way to ensure that the selected table format is the same as an attribute value. Furthermore, you can always change the format of an existing table within FM. Again, there's no way to validate that you've changed an attribute value as well. Nevertheless, if you really want to do so, you might be able to use the rule: attribute "otherprops" { is fm property table format; is fm attribute; } If this does work (and I don't have time to test it now), I suspect the actual table format rather than the attribute value is used on export. --Lynne Lynne A. Clear Quest/Case with Framemaker files
What he's saying is that FM files are "binary", which means they're not composed entirely of printable characters (that's a simplified explanation). You can't do the "normal" type of ClearCase operation on them. That probably freaks him out. It shouldn't; I have used ClearCase and other SCM products before with FM files with no problems. I can only guess that he has a set process that doesn't account for binary files. If so, I can't imagine how he handles graphics files like JPGs. Maybe he thinks that he's responsible for merging changes that multiple writers make to the same FM file. I can't imagine that you are doing this anyway. I can not honestly think of any other reason to use XML instead of FM. I should explain that diff/merge handles the typically programming situation. Two or more engineers must edit the same source file. They then have to check their changes back in. Inevitably, one gets there first, leaving the other to check in his or her changes on the changes made by the first one. Rather than having one set of edits overwrite the other, the SCM program runs a "diff" (named after the old UN*X command) on the files to find out what's different between the two. Based on this, it suggests a merge strategy. The engineer checking in the file works with the program to make the merge. Engineers quite often have to share source files. In the old days, they shared .h header files used by the C programming language. Nowadays, they may share a Java resource bundle, an XML configuration file, or other source file. In comparison, writers usually don't do this. We use SCM to make different versions (branches) of our files, back them up, and integrate them with the product build process. As I have said, FM files work fine in SCM, and PDF files also work. Show this e-mail to your engineer. I'd like to know what his response is. True, when they're applicable. But don't forget the two most important concepts in the technical communications field: (1) It depends. (2) Know your audience. When your audience includes HS grads and GEDs, and they may be under stress, in a hurry, or otherwise highly distracted, and the consequences of a communication failure may be grave -- well, that's a bit different, I suspect, from telling UNIX system administrators how to upgrade the boot server software for their teleconferencing bridges. Multiple Volume Documentation Set
Hello, We use Frame for basically what you're talking about, I believe. We have several versions of our main software product and the previous writers set up the documentation using variables and different color text to indicate which words/paragraphs belongs to what version. It works fairly well, but can be a tad confusing. One of the reasons for this is the color choices for the variable text. There are three shades of blue involved, and there's not THAT much separation between the shades. I think a better plan, if possible, is to use a number of files and pull them in where needed, if you have a large amount of common material between them. However, when you're talking about simply a paragraph here and there interspersed between paragraphs of common material, that approach probably isn't very feasible. I would like to see if someone can provide me with some direction on setting up a file structure and/or any gotchas awaiting me for setting up this documentation. I am faced with a project in which I think Framemaker was designed. To this point I have used framemake for the purpose of developing one book but never multiple books i.e., using the volume feature for each of the books. This project is going to require that I produce a series of books ie., maintenance procedures, safety procedures, code compliance issues etc., for multiple plants/locations. I would guess I am going to need to develop about 10 volumes and to further complicate things these volumes would need to be developed for multiple locations. My initial thought was to develop these documents and make extensive use of variables (for the purpose of inserting the various plant names where required) and conditional text to put information that is specific to the particular plants. As I mentioned I would be interested in any information on doing a large project like this. I have not been able to find much online for this type of project. Any help is greatly appreciated ___ You are currently subscribed to Framers as sam.beard at ctes.com. Send list messages to framers at lists.frameusers.com. Your solution would cause the PDF to *always* open on the specific page, whereas the requirement is only that it open there when launched from a particular link. Other links might require other pages as targets, and the pdf might also be used as a stand-alone document that should open at the cover or TOC. I think Rick Q. had the better approach with named destinations.
