Hi Erica,

You said:

*if* I went back to using dropbox, would I need to have the working .fdb in
the dropbox folder and direct the set Starting Family File to Always open
this file to open the dropbox .fdb ?

I can understand using dropbox as a safe off-site place to store zipped
backups, but if you wanted to be able to access your current Legacy file from
both PC and laptop (not both at the same time, I get that) you would need the
working .fdb to be stored and opening from dropbox, have I got that right?

My method is to store my working file elsewhere, not in Dropbox (it's
actual location doesn't matter, so I won't muddy the waters here by
giving details). *But*, when I back up my Legacy file, the backup is
directed to a folder under Dropbox. So the backup is in Dropbox, not
the working file.

I *usually* only work on my Legacy file from my laptop. However, if I
wanted to access it from my desk computer, or from someone else's
(online) computer, I just need to restore the backup file - either from
the Dropbox folder on my computer, or by accessing my online storage if
I'm elsewhere.

When I'm done on the other machine I back up to Dropbox again, and when
I'm next at the laptop I restore the latest backup before continuing.
That's the catch with this method, if you work on more than one machine
- you have to remember to restore the backup if you last worked on a
different machine to the one you're using now. I don't normally do
that, so it's not an issue for me.

Just like Legacy itself, there's more than one way to approach this
tool. Mine isn't necessarily any better than the other replies you've
had, just different. It works for me, and may be what works for you,
too. :-)

Kind Regards,
Wendy

Yes, this is essentially correct. However, to be precise, you put the .fdb file
in the Dropbox folder on your local PC, and while you are using Legacy you are
still interacting with your local PC. Only when you close Legacy will the
updated fdb file be uploaded to the Dropbox website for 1) backup, and 2)
synchronization with other computers if you choose.

And, yes it is very important not only to use Legacy on one computer at a time,
one must allow Dropbox to sync files after booting up the computer before
opening Legacy, or you could still get conflicted files.

All I did was move my Legacy Data folder to Dropbox, I left everything else in

So, it is far safer to assume that Dropbox is updated as one updates the
.fdb file.

I actually watched the Dropbox icon on the status bar (XP) immediately
after deleting an individual. The icon changes and if you hover over it
it says it is uploading. I paused for a minute and let it sync. When the
icon stopped uploading I shut Legacy down and Dropbox did not do any
further syncing with the .fdb. However it did sync the .ldb lock file
(removed it).

Remember that a database is a little different than say a Word file. The
database is constantly getting changed while a Word file may not
actually get written to disk until the very end (i.e. you close Word).

Dropbox works by detecting a file write and sending the updated portion
of the file to the cloud. It only sends the changed part of a file ...
not the whole file.

I'm not trying to convince anyone. I personally would discourage placing
the live .fdb in the DropBox folder. But directing backups to the
DropBox folder is ok IMO. Backing up, no matter where you place them, is
a good idea. And off-premise, in this case the cloud, is even better.

Keep in mind that there are security issues with placing your data in
the cloud. I believe DropBox recently had an issue with allowing
anyone who simply knew your email id to access your data (wasn't asking
for or checking the password).

RE: Legacy fdb in Dropbox was RE: [LegacyUG] some of my notes have disappeared

2011-10-26 Thread Paul Gray
Erica (and Dennis)

I stand corrected. Dennis is right, (I tried his test). Dropbox is being
updated each time you save a record, not just when you close Legacy.

I took it one step further. I updated (but did not close) Legacy while my
internet connection was disabled by powering off my modem. The little Dropbox
icon spun and spun until I re-established my connection, then the files updated
in the cloud. Confirmed by looking at event log in Dropbox.

Based on other notes in this thread, I can see that if the only purpose of
one's use of Dropbox is to provide offsite backup (not multi computer
synchronization) it is sufficient to simply store the backup zip files in
Dropbox. I would simply use the Dropbox directory in the File-Backup dialog.
This gives you two backups, the first is in the Dropbox folder on your local
PC, the second (created a few milliseconds later as long as you are on-line) in
your Dropbox folder in the cloud.

If you want to synchronize two computers automatically, you need to put your
working file in the Dropbox folder on both PCs. Yes, you do have to be careful
to ensure that 1) you only use Legacy on one machine at a time, and 2) you
allow the synchronization process to complete before using Legacy on the second
computer. More specifically,

1) At the end of a session working on PC1, one must allow Dropbox to finish
uploading changes to the cloud. If one is offline, one must go online at some
point to complete this step before moving to step 2.
2) Before opening Legacy on PC2, one must go online and ensure that Dropbox has
downloaded the latest fdb file as part of the automatic synchronization
process. Otherwise, one will be working with an out of date fdb file which will
effectively erase the latest changes made on PC1.

I don't want to put words in Dennis's mouth, but I am assuming that his
reluctance (at least in part) to endorse putting the live file in Dropbox is
because this process is user controlled and subject to error. It really
depends, I think on whether the two PC's are routinely used at the same time
and the user's knowledge level.

If it's difficult to control synchronization as above (let's say there are
multiple people using the computer and one is never sure what the other person
has done) the procedure of storing just the zip files in Dropbox and doing a
restore of the cloud copy of the backup zip file on PC2 (suggested by Wendy, I
think) seems like an excellent user controlled alternative.

RE: [LegacyUG] some of my notes have disappeared

2011-10-25 Thread Erica Portelli
Dennis, I went to the Legacy customise backup screen: Select name and location
for data backup: and directed the backup to the Dropbox folder, so the zip
backup went there each time I closed Legacy.
Do you mean you would have physically copied the .fdb and not made this
automatic selection to Dropbox? Where would you have saved your .fdb before
copying to dropbox?

I've now gone back to doing two backups - first to a removeable USB stick and
second to the c:\Legacy\Data, changing the location each time to suit.

I've gone to options : locations and made the Default location of family files
: C:\Legacy\Data
Default location for pictures, sound, docs etc are C:\Legacy\Pictures\ or
sound etc.
Location of temporary files is set at C:\Legacy\Temp

I then did a complete drive clean up and as I suspected would happen, the .fdb
in the Windows\Temporary Internet Files etc. has been deleted and Legacy has
asked which family file to open. I've opened the .fdb in the latest back up zip
(which by the way, adds a [1] to the name each time I open from here, so at the
moment my family file name ends in [1][1][1].fdb )

After doing all this, in the Family File Information (gen. info) screen under
File Information, my Family File Path is still showing as C:\Users\Tom
Erica\AppData\Local\Microsoft\Windows\Temporary Internet
Files\Content.IE5\9NMBQ1FW\ALL-family-current-OCT[1][1][1].fdb
Under this the Legacy Path is C:\Legacy

I don't doubt you when you say I'm probably causing the problem, but am now at
a loss - I don't think I've ever studied the general information screen so have
not noticed the path to the temporary internet file before and can't see
anywhere to change this - as far as that goes, why is it saving in a
temp.internet file anyway, couldn't I theoretically be using Legacy offline? So
where would the file go then?

If I have set my locations for the temp. files to C:\Legacy\Temp, shouldn't
this working file be saving there? I don't understand why is it still saving to
the C:\Users etc etc.

Apart from the incident with the disappearing notes, I would just like to know
that I've set up all the options and locations correctly, so any advice would
be appreciated.

Exactly HOW are you using DropBox as a backup? After closing Legacy, are you

When I look at the general info box, it tells me my family file path is:

automatic selection to Dropbox? Where would you have saved your .fdb before
copying to dropbox?

I've now gone back to doing two backups - first to a removeable USB stick and
second to the c:\Legacy\Data, changing the location each time to suit.

Let's leave DropBox out of the equation for now. I don't think it is the
problem and including it is just confusing the issue.

I've gone to options : locations and made the Default location of family files
: C:\Legacy\Data
Default location for pictures, sound, docs etc are C:\Legacy\Pictures\ or
sound etc.
Location of temporary files is set at C:\Legacy\Temp

This is fine.

I then did a complete drive clean up and as I suspected would happen, the .fdb
in the Windows\Temporary Internet Files etc. has been deleted and Legacy has
asked which family file to open. I've opened the .fdb in the latest back up
zip (which by the way, adds a [1] to the name each time I open from here, so
at the moment my family file name ends in [1][1][1].fdb )

After doing all this, in the Family File Information (gen. info) screen under
File Information, my Family File Path is still showing as C:\Users\Tom
Erica\AppData\Local\Microsoft\Windows\Temporary Internet
Files\Content.IE5\9NMBQ1FW\ALL-family-current-OCT[1][1][1].fdb

I don't know how your .fdb ended up here. Close Legacy and use Windows
to copy ALL-family-current-OCT[1][1][1].fdb from C:\Users\Tom
Erica\AppData\Local\Microsoft\Windows\Temporary Internet
Files\Content.IE5\9NMBQ1FW to C:\Legacy\Data and rename the file to
whatever the real name should be (ALL-family.fdb or whatever). Now open
Legacy and click File Open Family File and navigate to C:\Legacy\Data
and open ALL-family.fdb. Once you do this, go to Options Customize...
General (tab) and set Starting Family File to Always open this file
and select C:\Legacy\Data\ALL-family.fdb in the File Selection dialog.
Now save your option changes.

I don't doubt you when you say I'm probably causing the problem, but am now at
a loss - I don't think I've ever studied the general information screen so
have not noticed the path to the temporary internet file before and can't see
anywhere to change this - as far as that goes, why is it saving in a
temp.internet file anyway, couldn't I theoretically be using Legacy offline?
So where would the file go then?

I can't begin to guess how it ended up there.

If I have set my locations for the temp. files to C:\Legacy\Temp, shouldn't
this working file be saving there? I don't understand why is it still saving
to the C:\Users etc etc.

Your Legacy temp file setting has nothing to do with where your .fdb is
located. Don't worry about it, it is not the problem. When you open a
.fdb Legacy will save any changes you make to your family data
IMMEDIATELY and DIRECTLY to that .fdb.

Apart from the incident with the disappearing notes, I would just like to know
that I've set up all the options and locations correctly, so any advice would
be appreciated.

I don't know what you mean when you said earlier I've opened the .fdb
in the latest back up zip. You should never OPEN a Legacy backup. You
should use Legacy's File Restore Family File on a backup to recover an
.fdb.

Re: [LegacyUG] some of my notes have disappeared

2011-10-25 Thread Brian/Support
The key is that she is trying to open a Legacy file that is in a backup
(zip) file. In order to open the .fdb within that .zip backup file
Windows extracts the .fdb file to the temporary storage folder and it is
that temporary copy that Legacy is using. She should be looking for a
.fdb file that is NOT in a .zip folder.

Re: [LegacyUG] some of my notes have disappeared

2011-10-25 Thread Brian/Support
Erica,

Your problem is being caused because you are opening a .fdb file that is
in a zipped file. That .fdb file is in a compacted form that Legacy
cannot use. In order to make the file usable Windows extracts the full,
uncompacted, file into the Windows\temporary files folder and it is that
file the you are modifying as you work with Legacy.

Here is how you should be opening your file:
1. Open Legacy and when you are asked what file to open look for a .fdb
file that is NOT in a zipped file folder.
2. If you cannot find a .fdb file in a normal folder then do not open
any file.
3. Go to File, Restore Family File
4. Select your latest backup (.zip) file and click Open
5. When asked where to save the file open the C:\Legacy\Data folder and
save the file there.
6. Now when you open the file always open the .fdb file in
C:\Legacy\Data folder and NEVER open a file that is listed inside a .zip
folder.

Exactly HOW are you using DropBox as a backup? After closing Legacy, are you
copying the .fdb file to your DropBox folder? That is how I would do it.

When I look at the general info box, it tells me my family file path is:

Not really. Dropbox is fine so long as you don't try and edit what it happens to

Store your FDB files in one place, create backups in the Dropbox folder. From my
experience, this scenario doesn't cause any problems. Also, remember that from

A very big thank you to all who have helped me straighten this out, especially
Dennis and Brian for his instructions on restoring my file (which I've now
done) and Mike for his comment remember that from Vista onwards, Windows
tends to create ZIP files i.e. backups, as folders.
I think this was the root of the problem, I've had experience in the past
unzipping files but going from XP to Windows 7, I think I was lulled into a
different mindset by seeing the .fdb sitting out there in the open in the zip
folder and thinking I could just use it. I had accidently closed my working
file and opened the one in the zip folder when prompted for which to open.

I also still believe Dropbox to be a good option and certainly didn't mean to
sound like I was putting it down, I think now it was my inexperience and a
coincidence that all this started at the same time.

I am still not entirely clear on Dropbox but stop me if this is not the place
to ask the next (I know we are only supposed to be discussing Legacy):

At the moment I have everything in the C: drive Legacy folders as suggested by
Dennis and Brian and set to open from that location.

*if* I went back to using dropbox, would I need to have the working .fdb in
the dropbox folder and direct the set Starting Family File to Always open this
file to open the dropbox .fdb ?

I can understand using dropbox as a safe off-site place to store zipped
backups, but if you wanted to be able to access your current Legacy file from
both PC and laptop (not both at the same time, I get that) you would need the
working .fdb to be stored and opening from dropbox, have I got that right?

*if* I went back to using dropbox, would I need to have the working .fdb
in the dropbox folder and direct the set Starting Family File to Always
open this file to open the dropbox .fdb ?

I can understand using dropbox as a safe off-site place to store zipped
backups, but if you wanted to be able to access your current Legacy file
from both PC and laptop (not both at the same time, I get that) you would
need the working .fdb to be stored and opening from dropbox, have I got
 that right?

Erica,

Since this is still about using Legacy, I hope it will be ruled on topic

Yes, this is essentially correct. However, to be precise, you put the .fdb file
in the Dropbox folder on your local PC, and while you are using Legacy you are
still interacting with your local PC. Only when you close Legacy will the
updated fdb file be uploaded to the Dropbox website for 1) backup, and 2)
synchronization with other computers if you choose.

And, yes it is very important not only to use Legacy on one computer at a time,
one must allow Dropbox to sync files after booting up the computer before
opening Legacy, or you could still get conflicted files.

All I did was move my Legacy Data folder to Dropbox, I left everything else in
C:\Legacy.

Hi Alan
Have just replied to Ron so won't repeat it all again but in answer to you, I
wasn't using the family search interface, I was reading from jpgs on Ancestry
and typing the transcription into the notes field on legacy - no RAID0 on the
laptop. (I just had to google to find out what it was!)

I'll just take things slower and keep an eye on it (and lots of saves and
backups)
If it happens again I'll contact tech support
Thanks

Erica, I had this problem when using the New Family Search Interface, although
I am not so sure this was the only culprit. I also use Windows 7 64 bit and my
laptop is RAID0. Do any of these provide other common featrures for losing
data?

Exactly HOW are you using DropBox as a backup? After closing Legacy, are
you copying the .fdb file to your DropBox folder? That is how I would do
it.

When I look at the general info box, it tells me my family file path is:
C:\Users\Tom Erica\AppData\Local\Microsoft\Windows\Temporary Internet
Files\Content.IE5\ATZK0IED\ALL-family-current-OCT[1].fdb

This does not look good.

I think you are causing your own problems, but without more details I
cannot say for sure.

Re: [LegacyUG] some of my notes have disappeared

2011-10-23 Thread Ron Ferguson
Erica,

What happens with Dropbox should have no effect on on your Legacy Database.
As you enter enter data into Legacy Legacy's own database, on your PC, is
automatically updated, and, at least in theory, this can only be lost if
overwritten by a previous version, or say, a shut down caused by a power
failure spike - hence the need for spike protection!

I thought that the same had happened to me the other day, but I realised
that in a moment of confusion I had overwritten with an older version.
Fortunately I only lost two records.

It does send a message about the need for regular backups whilst one is
working.

Sorry, but I cannot offer an explanation for your problem.

I was looking at electoral rolls on Ancestry last night and entering names
addresses occupations etc into my Legacy research notes of various members
of the same family, intending to later go over each one and enter this
information in their events fields.
Suddenly the most recent (probably the last hour of work) disappeared, the
earlier notes from the first couple of hours is still there, but nothing I
added towards the end.
The notes field for 3 family members are totally blank and I know I had
entered information there.
This seemed to happen as I clicked between general and research notes
fields.
It may also have happened a week ago but at the time I put it down to being
overtired and thinking I was looking at the wrong person, but now I am sure
this has happened before.

By coincidence when the first incident happened a week ago I had just
started to use Dropbox as a backup after hearing so many good reports. I'm
wondering if this is somehow connected as I've never had this problem
before.
When I save each entry before moving to another screen, does this 'save' go
to Dropbox or to my temporary folder
When I look at the general info box, it tells me my family file path is:
C:\Users\Tom Erica\AppData\Local\Microsoft\Windows\Temporary Internet
Files\Content.IE5\ATZK0IED\ALL-family-current-OCT[1].fdb
Is this something to do with the internet connection to Dropbox - I'm not a
computer wiz but it looks to me that the file I'm relying on to open each
time I open Legacy, is likely to go if I do a clean up on my computer and
delete any temporary files.

On the scale of things, the missing notes are not a huge problem, I can
backtrack to see what is missing, but would like to know if it is a problem
with my programme that I should report as I would not like it to continue.

I'm also thinking that for the sake of being able to sit with my laptop in a
comfy chair may not have been worth Dropbox even though I do love the
concept, I might go back to the USB backups.

BTW I have the latest Legacy 7.5.0.112 and am running Windows 7 -64 bit.
TIA
Erica
