Hi All,

here are my thoughts about organizing the Conf in general as my own experience
is:
- time is running out fast but sponsorship deals are slow - so start early
- you (TDF) will need a detailed wish list (and a wish-not list)
- you (TDF) should be able to articulate clearly who is responsible for what
(local team vs TDF)
- mind the PR! this IS the biggest OSS app and community
- both party have to describe theres own goal (why this place is good for the
Conf and NOT because of the beautiful venue)

Hi all,

As per Florian request, I'm posting here the draft I made, feel free
to add your mandatory items to the list:

I understood your proposal was to actually announce the new location in Paris.
I think that's impractical. But I do think it's possible to start the
call-for-location process now, promote it in Paris, and announce the new
location in January. The timeline for 2012 would look something like:

September 1st : Announce the Call for Location for 2012
October 1st: PR about the process, announce details of the Selection Panel
Paris conference: Plenary slot explaining the process and timeline
November 15th: Applications close
December: Selection Panel reviews applications
January 15th: Location announced

And for 2013:

September 1st: Mention in PR there will be a 2013 selection process
November 15th: Announce the Call for Location for 2013
January 15th: Include news of 2013 process in PR
March: Promote 2013 Call for Location
May 31st: Applications close
June/July: Selection Panel reviews applications
August 30th: 2013 venue announced
October: @013 team attends and helps with 2012 conference

Points to take into account for the next proposal
+ main venue
- easy to access from international transports
- easy to access from accommodations
- at least 2 big rooms for conf hosting + one for meetings/others +
one place for community gathering

+ team
- at least 5 persons are necessary for the whole organization
- one should be dedicated to sponsor relations and to
invitations/visa, administrative tasks (it's very time consuming).
- have a local NGO for expenses and sponsoring and deal with the money

+ it could be along another event, but should have enough room/meeting
points for our own conf

---
Questions for the proposal:
- describe the location
- describe your team
- why would you like to host the conf
- have you local sponsors/organizations
- ?

Kind regards
Sophie

I think this is smart. It would have been better to have the 2012 location
selected in advance of the 2011 conference, but it's not and the time available
isn't adequate. The event used to have to be in easy travel distance of the
Hamburg team, but now that's no longer essential I would personally be
delighted to see the conference held on other continents.

I propose we make a call for location for the 2012 /and/ 2013 conferences now,
with a selection deadline of January 2012 for the 2012 event and a selection
deadline of August 2012 for the 2013 event (assuming we keep the date of thee
vent in October each year). We can then in future select the next location one
year in advance and ensure the current team are able to involve the next team

Well... here's the reason why I was opposing this in the first place.
Maybe it's just my perception but I found the advertisement of the

another conference will blur the message.

It can also be used as yet another link, to get attention for this years

yes and no. I agree that we can spend our time with lots of other
important things. However, keep in mind that if we wait until the Paris
conference is over, first the next year's team misses the opportunity to
collaborate with this year's team, plus the preparation time for the
teams gets shorter day by day, not to forget the Christmas vacations.

I'm not saying we need to announce the next year's venue at Paris, but I
would like to at least start the process.

My suggestion is that we raise the question for discussion: Should the
conference always be in Europe or should we circulate it. Or should we
perhaps have a main conference circulating and separate "local" conferences
on each continent. Many thoughts could come around, but we can't make a
final decision before Paris. In the future it could be a good idea to
announce next years revenue on this years conference but not this year.

That's indeed a tough question. I recall it from OpenOffice.org times as
well. IMHO Louis had the proposal of having a fixed set of countries or
even cities, amongst several continents, organizing the conference, so
people can plan and every continent has a chance.

However, looking at last year's proposals, it became harder and harder
to find a well balanced proposal, with financial support and the like,
plus reachability by the target audience.

There has also been the proposal of hosting a "RegiCon", a regional
conference, besides the main conference.

These are indeed proposals we can look into. First, however, I would
like to see who would like to apply at all. If we only get proposals
from, let's say Europe and the US, we don't need to think about hosting
a conference in Asia, because no organizer is there

But, indeed, it's a tough question, I totally agree, and I really would
like to give everyone a fair chance of participating at our conference,
which is Europe-centric at the moment.

Re: [libreoffice-marketing] call for location 2012

2011-08-17 Thread Leif Lodahl
Hi all,
The Paris conference is in October and honestly, can we make a decision
before that? If not, lets leave it for the moment.

To propose a conference requires lots of preparations for a local community.
After that it requires a lot of work work and grreat thought from the global
community. One very important question came from Vitorio Furusho, proposing
circulation on different continents.

I from my own point of view would very much like to propose my own country,
but not without some preparations. I need to know if I have financial
support and support from the community etc.

Until we make a long term decision we could ask for proposals with a
deadline before Paris. Decision could be at new year or something. That
gives us a few months extra time to think.

Just my three cents,

Cheers,
Leif

How about Malta?

The nation is not so strict on VISA applications, and we now have biometric
passports, which is great for the US and Aussies, Malta is also a Schengen
country meaning most nations may not even need to show a passport to enter,
our goverment is working on bringing International IT communities and
companies to Malta (namely for smartcity and its SMARTplan), hence i think,
that if you do choose Malta, we need to write a document to declare where
the event will be and roughly how many member may be coming, that way the
Maltese government could update its embassies for a faster issue of visa.

not only that there are alot of low cost airlines to the Maltese islands,
besides that if you manage to organize for may, june you may be in the week
of the ISLE of MTV, now i know we're all serious about the project, but we
could mix in some fun?

in case its for the same time next year there is always the Maltese night
life in Saint Julian's, how ever i do suggest a more summer month for the
fact that Malta would have lots of nationalities here for learning English,
cultural studies and much more.

Besides that we have a very rich history, and this event may also be
sponsored by the government, should the TDF like to make an agreement with
the government on Office software.

here's a list of local OSS groups:

ossmalta.com - which is mine
Linux.org.mt - which i am a member of since its the Malta Linux User group -
though i use more windows for adobe products
oss.org.mt - Goverment of malta open source end user group (i know a mouth

the jury must response to all of applicants after selecting a location.
(I

applied with the help of local institute in 2010 but the conference
selection comity did not mentioned why they were refused choose my
application.)

Since this is a global community it would be better select a location for
the 2012 event out of Europe (this year 2011-France , 2010-Hungeria). But
we need to think about VISA issues as well. Some of the countries very
strict on issuing visiting VISA.

I would like to wait until the end of the conference so that it does not mix
with the present messaging... Anybody agree with that?

Re: [libreoffice-marketing] call for location 2012

2011-08-16 Thread Florian Effenberger

Wait, wait...
At the moment, we are discussing, whether we should issue a call for
location for 2012.
We need to define a set of criteria, a jury and a deadline, and then
organizers can apply. That's the way it should work ;)

Hi all,

I would suggest Brazil, Paraná state and the city of Foz do Iguaçu.

More precisely PTI - Itaipu Technological Park. The place is held Latinoware
.

It is an attractive place and has international airport and has good
infrastructure of hotels.

It is a beautiful place: http://miud.in/TB5
